WHAT ARE PARTICIPATION DAYS? Participation days are events held by BMX Australia affiliated clubs as part of membership initiatives (membership drives) for attracting non-members to the sport of BMX. Any member from the general public can attend the BMX event and try the sport of BMX free of charge. Riders are covered under BMX Australia’s insurance, as long as the club has applied to hold the event through BMX Australia and filled out the appropriate paperwork. If relevant paperwork is not sent to BMX Australia then the cost to the club will be $100. For more information see page 28. The club can order show bags that include the below for just $8.00 per bag (including GST and freight) which would retail at $50 per bag. BMX Hat Coaching DVD Wristband Pen Brochure 4 WHY ARE PARTICIPATION DAYS IMPORTANT? Increasing the number of members and participants in our sport is of key importance to our success. Our strength, as well as our diversity and impact of our initiatives / events, is a result of the number of members that contribute and actively participate in our sport. More members equals: Membership revenue Volunteers to assist the club Spectators Greater funding pulling power Potential Sponsorships Raising the profile of the Club Greater awareness of sport in the local area Keeping kids off the street Community approach to the sport DID YOU KNOW? Statistics from your club’s membership, events and participation days can be extremely helpful when applying for funding or sponsorship. Documented information can be attached to funding and sponsorship applications to paint a picture of who the club is. Local councils and governments are always interested in boosting their economy through tourism. A key example is holding large State or National events like the State Titles, National Series or National Championships. The companies who you approach for sponsorship want to find out how many people they can potentially reach to promote their brand. This in turn will provide benefits to club members and help build a relationship between sponsors and clubs for further negotiations on sponsorship opportunities. For more information see page 20. 5 TYPES OF PARTICIPATION DAYS NATIONAL SIGN ON DAY National Sign On Day is a national campaign organised by BMX Australia for three weekends in February each year. The aim of the campaign is to reach people Australia wide who haven’t seen or experienced BMX before and hopefully have them involved with the sport in the future. BMX Australia invests in TV commercials, social media and promotional giveaways during the lead up to National Sign On Day to better publicise the event and direct interest to clubs. As a club, you play a key role in the success of this campaign and the future of memberships for your club. Click here for the Club Promotional Poster COME & TRY DAY Come & Try Days are held by the club all year at a time and date that suits the club. There are no limits as to how many Come & Try Days a club can hold and we recommend that you hold 4 per year. Some clubs hold Come & Try days the weekend after a large event like their State Titles. Click here for the Club Promotional Poster 6 HOW TO RUN A SUCCESSFUL CAMPAIGN SUGGESTIONS FOR ENSURING YOUR CLUB RUNS AN EFFECTIVE AND FUN CAMPAIGN Below are a few suggestions to assist clubs in running a successful campaign and getting information out to the public. Nominate a Coordinator for your club. This will help avoid double handling and also give States and BMX Australia a direct contact person. Make sure all Coaches and Officials accreditations and BMX Australia memberships are valid. Encourage your current members to bring friends and family along to try out the sport. Involve some of your club’s riders in the day, they can partake in demonstrations as well as provide assistance with administration requirements. The club could run a race meeting before or after the event to showcase what the sport is about. Approximately one week before you intend to run a participation day; - Prepare give away show bags for participants including as much information about your club as possible. - Confirm all helpers for the day. - Have marker cones and coaching equipment ready. - Make sure First Aid kits are topped up and everything is in date. - Contact BMX Australia with any last minute questions. Have a briefing for all helpers involved at the start of the day to confirm everyone is fully informed about what is going to happen during the day. Make sure details are taken for each participant. This will enable the club to build a database for future participation events, as well as help to complete attendance lists of riders who participated which MUST be provided to BMX Australia. Make sure track conditions are safe and suitable for riding. Provide enough shade for riders and spectators to be comfortable. Ensure all people involved in the day are well presented and friendly. Remember, this is the first time many people have been involved in the sport so you want to give the kids, parents or older riders a good impression. 7 TIPS FROM OTHER BMX CLUBS Start early with local advertising: newspaper, schools, council ‘Whats on guide’, community noticeboards, bike shops, shopping centres, banners. There is a lot of leg work involved in getting information out to the community, but once it is all set up next year is a little easier. Ask your experienced riders to wear club uniform and have them talking/explaining the sport to the children then provide a racing demonstration. Don’t forget the parents! Engage parents and provide information on what is happening. Remind participations to wear the correct clothing (long pants, long sleeve shirt etc). Try to round up spare equipment – helmets, gloves, bikes for potential new members to borrow on the day. Hold a basic bike maintenance workshop. Have your local bike shop come and bring a bike in each size that riders could try. Ask the local bike shop for discount cards for people who participate. Promote the sport as a family fun day with a friendly atmosphere. Have coaching sessions between 9am-12noon in age groups then finish with a sausage sizzle for lunch. Try to get local Junior Elite, Elite or Olympians to attend the club’s participation day. Have a structure/format for the day. Have information on your club website or Facebook page for the best contact. Don’t stress, the people who come on the day are there to have fun. 8 CLUB RESOURCES SUGGESTED CLUB PERSONNEL To ensure Participation Days are run in a safe and fun environment, BMX Australia requires all tracks to have the following staff available for the day as a minimum: Coach - The coach as a minimum must hold a National Coaching Accreditation Scheme (NCAS) BeginnerBMX accreditation with a valid BMX Australia Membership for on track activities and off track basic skills. Depending on the number of riders you expect depends on the number of coaches you will require. BMX Australia recommends a coach rider ratio of 1:8 per group. Officials x 2 - The officials must hold a National Officiating Accreditation Scheme (NOAS) Level 1 Accreditation with a valid BMX Australia Membership. Gate Start Operator - A member of the club who has had experience with operating the gate start mechanism and who holds a National Officiating Accreditation Scheme (NOAS) Level 1 Accreditation with a valid BMX Australia Membership. First Aid – A member of the club who holds a valid First Aid certificate. BMXA also suggests clubs have the following staff to make your club’s Participation Day a success; Club Registrar - It is important for the registrar to be available for registration, especially if there are participants who are interested in joining the club. Volunteers - To assist with the registration of participants, the number required will depend on the expected number of people attending. They will also be able to assist with show bag distribution (only applicable if your club has ordered show bags). 9 Club Committee - To allow prospective members the ability to meet those involved in the running of the club and to encourage new members; especially parents of younger riders, to join the committee. Riders from your club will be able to assist with general enquires and give a riders perspective to interested members. Encourage current member families to attend the day. They can help out around the club as well as offer a great social atmosphere for the other mums and dads on the day. They can answer parents’ concerns from a parent’s point of view. Once you have confirmed that you have the required Coaches and Officials you can forward your application to hold a Participation Day to BMX Australia. A copy of the Application form can be downloaded from the BMX Australia website bmxaustralia.com.au or by contacting the National office. WHAT DO PARTICIPANTS NEED TO BRING All those who wish to participate will need to wear: Long sleeve top Long pants (fitted at the ankles) Enclosed Shoes Gloves* Full Face Helmet* *Clubs should assist where possible to help new participants who do not have a full face helmet and a pair of gloves. Clubs may have spare helmets and gloves to loan while riders take to the track, if sharing helmets the use of hairnets is recommended. Participants will require a BMX bike and if they are under 18 they need to be supervised by an adult. If the club has spare bikes that can be utilised for the day these can be used, but a full safety inspection of all bikes needs to be completed before they are used. Please ensure riders have water with them. Otherwise a drink station should be utilised on the day by the club. 10 FAQ’S If our club does not have an accredited coach can we still hold a participation day? Yes, if your club does not have an accredited coach you can contact your state office for a full list of coaches and ask a coach from another club to attend. If your club is interested in getting a committee member accredited as a coach, also contact your state office regarding possible training opportunities. You can also still hold a participation day, but showcase the club and the sport without new members actually getting on the track and being coached. Riders from your club can provide demonstrations, information can be handed out and a sausage sizzle put on, making it into more of a social event. What are the First Aid requirements? Clubs are required to have at least one person who holds a First Aid certificate in attendance on your participation day. Please note that all accredited coaches are required to have a first aid certificate. What do participants have to bring along? Participants can ride on any 20” or 24” bike. Officials and Coaches must do a check of the bikes before they are allowed on the track. For safety reasons all participants must have a full face helmet, long pants and long sleeve tops. They must also wear gloves, flat soled shoes and socks that cover their ankles. Having second hand equipment is a great way to encourage your local community to participate. How many people can we expect to attend? The number of people attending a participation day varies per club. The clubs that have had the most success are those that put as much information out to their target market as possible. Is the club required to purchase insurance? BMX Australia provide free insurance for clubs who hold participation days on the proviso that clubs return all paperwork. A $100 invoice will be sent to clubs for the insurance component if paperwork is not completed and returned. 11 MARKETING HOW TO MARKET YOUR PARTICIPATION DAY There are various techniques clubs can utilise to promote their event. Below is a brief outline of different initiatives that clubs can implement to increase attendance to their participation days. School newsletters Go and speak/demo at school assemblies asking kids if they are interested Share Social Media from BMX Australia via Facebook, Twitter, Instagram, YouTube Sending a press release to the local paper/local TV (see page 13) Advertising in the local paper Putting up posters in your local bike shop Having a stall in your local shopping centre to showcase your club TRY TO OBTAIN LOCAL SPONSORS FOR THE DAY Two months before the club’s participation day, the club should be trying to obtain sponsors for the event to add items to your show bags or so you can include lucky door prizes which will bring more people to the event. For more information see page 20. 12 PUBLIC RELATIONS Public Relations is a great way to inform the public about your club and events without having to pay for any advertising or marketing. This is a cheap easy way to promote your club and events by working with journalists from newspapers, radio and local TV stations. Because journalists are time poor and want to spend as less as time possible researching stories you can call them and pitch a story idea about a local rider or your event. One way to do this is to write a press release. A Press Release (see page 13) is usually a brief one page story on what you want to communicate to your local community. Get to know the journalist at your local paper and have a good relationship with them. DO DO NOT Ensure there are no grammatical errors in the press release Keep it to one page Ensure you include some of the achievements of the club and/or riders that highlights success Always include a quote from a president or high profile rider in the second or third paragraph Include a photograph relevant to the release making sure to caption the image of who the photo is of Include contact details on the bottom of the page so the journalist can contact you for further information Send it in a format that everyone can open. Not everyone has the latest version of Microsoft Word on their computer - PDF is great as it can be opened on virtually every single device Try to sell your event too much, just state the facts and benefits Have spelling and grammatical errors Make the press release too long Use terms or references those outside of BMX would not be familiar with 13 PRESS RELEASE ‘For immediate release – [INSERT DATE MONTH 20XX]’ Come and Try BMX at [INSERT CLUB NAME] [INSERT CLUB NAME] BMX Club will be holding a [INSERT EVENT] on the [INSERT DATE] at the [INSERT TRACK NAME & ADDRESS]. BMX is one of the fastest growing sports in Australia, and is one of the only sports where total family participation can take place. It is a fast, fun action sport with jumps and turns on a dirt track that can be between 300 and 400 metres long, incorporting the excitement and spectacle of motorcycle motocross without the noise. The sport does not discriminate between boys, girls, mums and dads, and with riders as young as two and as old as seventy competing in organised race meetings, it provides great exercise for kids and adults alike. The upcoming [INSERT EVENT] at [INSERT CLUB/LOCATION] is an excellent opportunity for any member of the community who is interested in BMX to try the thrill of BMX racing. Club President [INSERT NAME] said the [INSERT EVENT] has been put on for the public to experience the sport and gain a better understanding of what is involved. “BMX is such a fun sport that can be enjoyed by the whole family. We are inviting anyone who has wanted to give the sport a try to come down to our track for the [INSERT EVENT] to experience first hand the excitement of BMX racing.” 14 [INSERT QUOTE ABOUT THE CLUB, HOW MANY MEMBERS, ACHIEVEMENTS THE CLUBS RIDERS HAVE RECEIVED] BMX in Australia continues to grow on the back of fantastic international success thanks to stars like reigning world champion and Olympic silver medallist Sam Willoughby (SA), and 2013 world champion and reigning world cup series champion Caroline Buchanan (ACT). Unlike other sports BMX riders of all levels and abilities have the opportunity to compete each weekend in events coordinated by Clubs and Zones and annually at the State, National and World Championships. The [INSERT EVENT] is a great way to try the sport in a fun, safe environment with coaches giving expert tuition and assistance for those new to the sport. There is no cost involved in taking part on the day. Anyone who would like to attend can bring their own bike; otherwise the club may have some bikes and equipment available for those who do not have either (subject to availability). Participants that attend will receive a show bag filled with products including a BMX Australia hat, “BMX with Wade Bootes” DVD, pen and wristband (numbers are limited). There are regular funding programs available in each State/Territory which are usually conducted in rounds. Funding can assist to help clubs grow, support sport and recreation at the grassroots level, improve facilities, promote participation in sport and physical activity and provide a focal point for community building and engagement. Most funding programs are aimed towards not-for-profit community organisations with specific criteria that must to be met. Although specific criteria may vary with each funding program, all funding applications require similar types of information: Contact information The program/project description A brief description of the club applying The program/project budget The amount of assistance being applied for All other sources of funding for the project How the applicant’s club meets the grant criteria A guarantee that the program will proceed and monies received will be spent on the purpose the money was given Copies of the latest annual report and a copy of the audited accounts *if applicable 20 SPONSORSHIP Sponsorship for your club assists with promotional items for giveaways and funding for promoting a sponsor’s company by ways of signage around the track or logos included on event entry forms/booklets. Companies like to find new ways to differentiate themselves against their competitors and increase brand awareness amongst their target audience, specifically through charitable work or community clubs/activities. Clubs could sell naming rights for their participation event ie [INSERT SPONSORS NAME] National Sign On Day at [INSERT BMX CLUB] or [INSERT SPONSORS NAME] Come & Try Day at [INSERT BMX CLUB], which then the sponsor provides promotional items or funding in return. When requesting sponsorship, be sure to make a sponsorship proposal outlining what benefits the sponsors will obtain from promoting the event. Such benefits include: increasing brand loyalty, brand differentiation, awareness and visibility, highlighting corporate social responsibility (ie enhances a company’s credibility) and client entertainment. Local bike shops, butchers, bakeries, car dealers, building companies, plumbers and confectionary companies are a great place to start. Yours truly, <INSERT NAME> <INSERT CLUB POSITION> 23 EVENT DAY DRAFT SCHEDULE A minimum of 2 hours is required to hold a Participation Day. Step 1 Duration: 5 minutes Step 2 Duration: 15 minutes Welcome speech and introduce yourself: achievements, years racing, personal sponsors, explain the day’s events and thank the necessary people. Make everyone feel welcome, and remind everyone to have fun! Do not let riders on the track until a basic skills session has been completed. Have a bike safety talk and check bikes for faults. Coaches must check: brakes, tyre pressure, chain tension, make sure all nut & bolts are tight and wheels are moving freely, talk the rider through general bike maintenance they can do themselves at home to keep their bike in good shape. Important Notes: This is most important to assure the riders are not in danger due to a faulty/ miss treated bike. Have a basic bike mechanic on standby to assist coaches to free their time. Support and assist new riders by doing whatever it takes to get them organised and ready for the day’s events. Step 3 Basic off track warm up. Keep it fun and exciting. Refer to Activity 1. Duration: 10 minutes (Do not use the track to warm up) Step 4 Break groups up if required and send to designated skill development activities. Refer to Activity 2. Duration: 1 hour Allow 25 minutes for each activity and a 5 minute drink break when changing to next activity. 24 Step 5 Mini races. Refer to Activity 3. Duration: 30 minutes Important Notes: Keep it fun and exciting, point out any dangerous obstacles on the track, and demonstrate how to ride them safely before allowing them onto the track Step 6 Duration: 5 minutes Final words – Club information, make sure all participants receive a show bag (if applicable), supply new participants with information about available coaching sessions and club events, and invite all to stay for the social events (BBQ) or racing. Step 7 Have a fun activity and BBQ to allow for the parents/kids to socialise with existing club committee and members Remember with younger children it is just as important to impress the parents as it is to impress the children. They will be spending just as much time at the club as their children will. 25 ACTIVITY 1 - BASIC WARM UPS Objective To raise total body temperature and muscle temperature to prepare the entire body for vigorous activity Safety Make sure the participants aren’t too aggressive in warm up and that they don’t pull any muscles Area Suitable for a flat outdoor area 30 metres x 20 metres Equipment 1 x set of marker cones Activity Squats 2 minute Lunges 2 minute Butt Kicks 1 minute Leg Swings 1 minute Side Steps 2 minute Push Ups 1 minute Jump Squats 1 minute 26 ACTIVITY 2 - SKILL DEVELOPMENT ACTIVITIES Objective Encourages track awareness, control, coordination and agility while practicing the correct techniques of BMX Safety Monitor participants and instruct according to their skill level Area Suitable for a BMX track Equipment 1 x BMX bike per participant, 1 x full face helmet per participant, 1 x set of marker cones Activity Pumping 20 minutes Cornering 20 minutes Manualling and Jumping 20 minutes 27 ACTIVITY 3 - MINI RACES Objective Putting the correct techniques learnt into play which enhances the rider’s confidence Safety Have 3-4 riders per race to try and avoid any collisions Area Suitable for a BMX track Equipment 1 x BMX bike per participant, 1 x full face helmet per participant, Activity Mini Races 30 minutes 28 POST EVENT CHECKLIST On the following links you will find forms to assist with your club’s event registration. Please return these to BMX Australia within 2 weeks of holding your event. If participants discover after 4 months they would like to join the sport for a whole year, they can then upgrade their membership and receive a discounted fee. The latest BMX Australia Membership Form is available at bmxaustralia.com.au. Please ensure you use the latest version of the membership form. Alternatively, participants can register online. FOLLOW UP TOOLS A successful event requires a successful follow up plan. BMX Australia recommends clubs send out the below within 1-2 weeks after their event. Letter or email thanking participants for their attendance Post event editorial to local media of how your event went PARTICIPANT THANK YOU LETTER/EMAIL TEMPLATE Dear [INSERT NAME], Thank you for attending [INSERT CLUB NAME]’s [INSERT EVENT NAME] last week. We hope you enjoyed the day and got some great advice on how to improve your BMX skills. [INSERT CLUB NAME] would love to help you develop the skills you learnt and become a great BMX rider.
