VADA of
CHARLOTTESVILLE, INC.
I hope all our members had a good Christmas and wish you all a
Happy New Year.
We have lots of interesting things planned for 2015, I hope y’all
come and join in.
Beginning Dec 1st 2014, (which means they are in use already)
we have the new USDF tests Training thro 4th level. To help our
members get acquainted with the new tests before the onset of
the show season we are in the process of organizing an “Up
Through the Levels” clinic with one of our resident judges, Carter
Bass. We will need riders to ride each test and Carter will
explain how the judges would like to see the movements, what
they are looking for etc.
We are still finalizing the venue, dates etc, but it is beginning to
look like March 14th at either Glendower or Pasmore Stables.
The organizer is Jan Templeton, if you are interested in being a
test rider please contact Jan and let her know.
We will have our Spring schooling show at Cedar Creek Stables in
Staunton, and plus our licensed show at Commonwealth Park in
August.
There will be more clinics and events, watch our website for
information.
I hope you all have a productive Winter and that it isn’t too cold.
Myself, I’m off to Florida until March. Nancy Lowey the VP, is
going to hold down the Fort, way to go Nancy.
Have fun!

Board Meeting Minutes
Submitted by Annan Hepner
Clinics for 2015: Jan Templeton and Nancy
Lowey agreed to organize the Up Thru the Levels
clinic. We received available dates from Carter
Bass for March 1st, March 7 or 8th, or March 14th.
We will be checking with local facilities and
event calendars to pick the best available date.
The other clinicians being considered for 2015
are Olivia Weltz and Jim Koford.
Attendance: Lee Scott, Annan Hepner , Kim
Schmidt, Nancy Lowey, Jan Templeton, Melyni
Worth, Sherri Booye, Laura Berne, Cindy
Faulconer, Susan Ellis.
Treasury: We have $19,592 in the account and
this does not include 2015 membership checks
that we have already received.
Winter Schooling Show: We discussed the
possibility of hosting a winter schooling show
series, but concluded there is no interest with
weather and location concerns.
Membership: There was no new report from
Carter, but we packaged and stamped renewal
letters for our past members.
Jeremy Steinberg Clinic: Overall clinic expense
was $4,745.06 with an income of $2,450, total
loss on the clinic was $2,295 which includes
airfare and rider subsidies. We could not get the
Dressage Online to discount because they were
already scheduled at another clinic to film, but
Gardy is trying to get the log-in information for
Dressage Online training.
VADA-CH Awards Banquet: Lee Scott
volunteered to have it at her home again in
Charlottesville and it will be on February 21. Lee
will do a main dish and the rest will be potluck.
More information will be in the newsletter.
Announcement for Election Result: The results
are: President - Melyni Worth, Vice PresidentNancy Lowey, Treasurer - Tina Lowy, Secretary Annan Hepner, Awards - Lee Scott, Newsletter Laura Berne, and Membership – Sherri Booye,
Regional Representatives – Tina Longaker, Nancy
Lowey and Gardy Bloemers, with past President
Sherri serving as a Board Alternate.
Scholarships for 2015: We voted to do 3
scholarships this year. One at the upper levels,
one at the lower levels, and we will reserve the
third scholarship to assign to the category with
the largest number of participants. $300 per
scholarship and the rules will stay the same as
previous years.
BLM Wrap Up: VADA made money and more
information will be reported later. The VHC is
going to continue working to try to get the Wiley
Arena (grandstand) footing draining correctly.
Awards Rules for 2015: The group agreed to
keep the year-end award rules basically the
same, but modify the method of reporting the
results to Lee. Melyni made a motion that
emailing a score spreadsheet or summary format
can be used, Kim seconded. The rules will be
modified and will be published in a future
newsletter.
State Business: We voted on Alison Douglas as
our chapter’s selection for the Shel Gafford
Award

Next Meeting: There will be no meeting in
January and the February meeting will be on
February 19th via teleconference.

VADA - CHARLOTTESVILLE CHAPTER
SCHOLARSHIP RULES FOR 2015 and BEYOND
Scholarships must be authorized annually at the December or January Chapter meeting to
ensure adequate funding availability. The amount and the number of scholarships to be
offered will also be established at that time. The number and value of the scholarships
will be published no later than the February newsletter and will be posted on the Chapter
web site.
The rules for the scholarships are as follows:
In order to qualify for a scholarship, applicants must have completed a minimum of 8
hours of volunteer service for the Chapter separate from the volunteer hours performed
for year-end awards. At least 4 hours of the 8 hours must be performed at the Chapter’s
licensed show in the same year as the Scholarship awards. The remaining 4 hours can be
performed at the licensed show, or at any other VADA-CH activity for which credit is
given by the Chapter. Any of the hours of volunteer service performed in excess of the
hours performed at the licensed show in order to reach the total of 8 hours can be
performed at any time during the one year period beginning on August 26th of each year
and ending August 25th of the following year. (Thus, for the scholarships awarded in
September, 2015, the volunteer hours not performed at the 2015 licensed show can be
performed at any VADA-CH volunteer activity beginning August 26, 2014 through
August 25, 2015.)
These volunteer hours are separate from and in addition to the 4 hours of Volunteer
service that are required to qualify for end of year Chapter Awards. Volunteer hours
must be reported using the volunteer hours report form. This form is available on the
Chapter web site or from Chapter officers. This volunteer hours report should be sent to
the person running the awards program, the identity of such person is available on the
Chapter web site, and must be received by August 15 each year for the scholarship to
awarded at the Chapter meeting in September of each year.
The winners of the scholarships are required to write an article for the Chapter newsletter
detailing the use to which the scholarship was put and the experiences of the winner in
the use of the scholarship. The article must be submitted to the newsletter editor within
60 days of the completion of the use of the scholarship. If a scholarship recipient does
not submit the required article; they will be barred from future scholarships awards.
The winners of the scholarship must use the scholarship within 1 calendar year of the
date of the drawing for the scholarship or the scholarship shall be forfeited, unless an
extension is granted by the Board of Directors by a majority vote.
If financially able, the Chapter will award 3 scholarships per year. One scholarship shall
be available for award to Chapter members who have not shown above Third Level. The
second scholarship shall be available for award to Chapter members who have shown at
Fourth Level and above. Depending on the level of participation in the scholarship
drawing, the third scholarship will be drawn for the level of riders with the most
applicants that year. Thus, if there are 4 applicants for 4th and above and 10 for 3rd and below,
the third scholarship drawing would come from the Third and below pool.)
All current Chapter members are eligible for the scholarships, whether they ride or not.
If a non-rider who has met the volunteer requirements wins a scholarship, they may give
the award to another current Chapter member if they so desire. The winner of the
scholarship will remain liable for writing the newsletter article, but it can be written by
the actual user of the scholarship on behalf of the non-rider winner.
The scholarship may be used by the winner to pay all or part of the cost of a clinic(s),
lesson(s), the USDF convention, educational videos, or whatever other equestrian activity
they elect to pursue to further their dressage education. The winner does not have to use
the scholarship at the level for which they were awarded the scholarship. Thus, a rider
that is at Third Level or below desires to take a clinic to help them to move up to Fourth
Level or above, they may do so. Similarly, a rider at Fourth Level or above may use the
scholarship to attend a clinic or lesson at a lower level, for example if they have a young
horse they are trying to bring along.
In order to obtain a scholarship, current Chapter members must first submit their names
to the Chapter President or other designee as stated on the application form, by August
25th of each year indicating which scholarship are applying for, i.e., Third Level and
below or Fourth Level and above. The application form will be available on the Chapter
web site and will be published periodically in the Chapter newsletter. To be considered a
current chapter member, the submitting rider must have paid their dues for the
membership year in which the scholarship is awarded by the date they apply for the
scholarship. (I.e., for an award to be drawn at the 2015 Chapter meeting the rider must
have paid their 2014 dues by August 25, 2015.)
Winners of scholarships in a given calendar year are not eligible for a scholarship for the
next calendar year.
A random drawing will be conducted at the September chapter meeting. The winners of
the Scholarships will be presented with a Certificate that they can submit to the Chapter
Treasurer to obtain their scholarship award payment when they need to pay for their
scholarship activity. The winner must state with their submission of the Certificate what
activity for which they will use the scholarship money so that the Chapter can keep track
of the types of activities for which the money is being used.
The applying members who have met the volunteer requirements will be segregated into
the Third Level and below member group and the Fourth Level and above member
group. The names of the applicants from a group will be put into a container for the
drawing of the winner of a group.
VADA - CHARLOTTESVILLE CHAPTER
RULES FOR ANNUAL CHAPTER AWARDS
The following system shall be used by the Board to determine award recipients:
a. Levels.
The applicable levels are listed below in the description for the Schooling and Breed-Restricted Division and
the Open Licensed Division. Riders may submit scores for more than one level and/or division, but they
must fulfill all requirements for each level entered. If the rider submits for two levels with the same horse,
the levels must be successive. There will not be separate brackets for juniors and seniors.
b. Award Period.
The award period runs from December 1 to the following November 30.
c. Submission of Scores.
Scores must be submitted to the Chapter Awards Coordinator within 30 days of the date of a show. A
different reporting scheme may be used for a particular awards year if it is agreed to in advance by the
Board and publicized early in the competition year in the newsletter.
For the submission of scores, the applicant can submit the scores from a show to the awards director in an
email. The email can either have an attached spreadsheet or the listing can be done in the email itself. The
information must include name and date(s) of the show, horse and rider names, and information on the
class(es) ridden including – test name and level, judge’s name for each class, and the raw score and
percentage score from the class. Alternatively, you can print out the results from the USEF or USDF website
and attach a copy to your email. No score below 50% will be accepted. The Chapter reserves the right to ask
for copies of the actual tests.
d. Volunteer Requirement
In order to be eligible for year-end awards, the rider must fulfill the volunteer requirement established for
the Chapter. The annual volunteer requirement will be established by the Board at the November,
December, or January meeting and published in the first newsletter published/posted after the
requirements are established.
e. Schooling and Licensed Breed-Restricted Division:
1. Levels for which Awards may be Earned
Introductory through 4th Level
2. Required Number of Scores
Four scores from any dressage schooling shows sponsored or sanctioned by any VADA
chapter or from any licensed breed-restricted show are required (such as a Morgan or
Andalusian, or Arabian licensed show). The four scores must be from at least two (2)
different judges. All scores must be from the same level (i.e., all from First Level), with the
same rider and horse, but must include scores from at least two different tests of that level.
The four scores submitted (for the same rider/horse/level/division) will be
averaged for the final score. For the Introductory Level, since no awards are
given in the licensed division at this level, any scores earned at the
Introductory Level at an open or breed-restricted licensed show may be
applied to the requisite scores needed for the schooling show Introductory
level division awards. In addition, the scores from the Adult Amateur and
Junior Team Championships, since they cannot be used for the licensed show
division, may be used for the schooling/licensed breed-restricted division also.
The Board, at its discretion, may determine that due to unusual weather events or other
unusual circumstances which resulted in multiple schooling show cancellations or
postponements, a waiver of part of the requirements for an award in the schooling show
program may be merited for a given awards year. Such determination shall be made by a
majority vote of the Board.
f. Open Licensed Division:
1. Levels for which Awards may be Earned
Training Level through Grand Prix, USDF Freestyle, FEI Freestyle
2. Required Number of Scores
Scores can be from any licensed dressage show authorized by the USEF or USDF (excluding
any shows that are breed-restricted, such as Arabian and part Arabian, Morgan, Andalusian,
or Quarter Horse breed only.) All scores must be from the same level, with the same rider
and horse. Scores from Championship classes will be accepted, with the scores of the
multiple judges averaged and the average counting as one score.
For USDF levels (Training through Fourth), five (5) scores are required from at least three
different judges, and at least one of the scores must be from either the second-to-highest
or the highest test of the level. (Training 2 or 3, First 2 or 3 , Second 2 or 3, Third 2 or 3, or
Fourth 2 or 3.) If the rider and horse have not earned at least one of their scores at the
highest or next-to-highest test of the level, they will not qualify for a year end award at that
level.
For FEI levels, FEI freestyles, and USDF freestyles, three (3) scores from at least two different
judges are required
3. How Score are Tabulated
For USDF levels (Training through Fourth Level), the five (5) scores submitted (for the same
rider/horse/division) will be averaged for the final score.
For USDF freestyles, FEI levels and FEI freestyles, the three (3) scores submitted (for the same
rider/horse/division) will be averaged for the final score.
