FREQUENTLY ASKED QUESTIONS RightFax and Xerox General Questions about RightFax and Xerox Integration Q. Why has Xerox chosen Captaris and the RightFax product as their partner for network faxing? A The RightFax product from Captaris is the industry leader in enterprise network fax and e-document delivery solutions. Xerox is the industry leader in multi-function products in the office. By combining the expertise and leadership position of each company, we are able to create a new offering that leverages not only each other’s respective products, but also our sales and support infrastructures as well. The RightFax offering is very complementary to Xerox. Captaris has a proven track record for providing superior, innovative, featurerich products as well as excellent support and service coupled with solid business practices. These are characteristics that have described Xerox throughout their history. Q. Why has Xerox chosen to implement this type of fax offering with their Document Centres/WorkCentre Pros? A. Many factors drove the development of the integrated Xerox/RightFax solution. Most importantly, we listened to what customers were telling us they wanted in a fax solution for these products. • Customers want to centralize the management and control of as many network functions as possible. By integrating with RightFax, customers can leverage the investment in their Document Centre or WorkCentre Pro and still maintain centralized management and control over the network fax function. • Customer requirements for workgroup and departmental fax solutions are evolving quickly. They often include the desire to provide functions like Least-Cost Routing, automated inbound fax routing, Direct Inward Dial and many others. RightFax is an industry-leading product that has pioneered network and application faxing. • Because of their speed and capability, Xerox Document Centres and WorkCentre Pros are most often placed in large workgroups or departments, serving a large number of people and handling a large volume of printing and copying work. Customers like the idea of leveraging the copier into a fax function, but they do not want it to interfere with their primary print/copy functions. Using the Document Centre/WorkCentre Pro as a capture station, while offloading the processing-intensive transmission/reception functions to a network server, makes optimum use of the Document Centre/WorkCentre Pro. It does not burden the Document Centre/WorkCentre Pro with any additional processing requirements that might ultimately impact its performance as a high-volume printer/copier. Q. What RightFax solutions are available for Xerox Document Centres and WorkCentre Pros? A. The Captaris RightFax product line offers network faxing and e-document delivery capabilities from Xerox Document Centres and WorkCentre Pros as well as the desktop, hand-held devices and back-office applications. By integrating a RightFax Business Server or RightFax Enterprise Server with Xerox Document Centres and Work Centre Pros, users have easy walk-up access to fax directly from the Xerox Document Centre or WorkCentre Pro on their network. In addition, companies can take advantage of cost saving features such as Least Cost Routing as well as a host of other capabilities such as inbound routing, advanced notifications and easy fax management. Q. RightFax integrates with which Xerox Document Centres and WorkCentre Pros? A. RightFax can be configured to work in conjunction with Xerox Document Centres DCS 265, 460, 470, 480, 490 and DC 425, 432, 440, 535, 545 and 555, and Xerox WorkCentre Pro 32,40, 65,75,90,35,45,55. Q. What versions of RightFax integrate with Xerox Document Centres and WorkCentre Pros? A. To leverage the most current features of RightFax, version 8.5 is recommended. Q. Can one RightFax Server support more than one Xerox Document Centre or WorkCentre Pro? A. Yes. One RightFax Server can support multiple Xerox Document Centres or WorkCentre Pros. RightFax can be expanded to handle additional capacity depending on the level of fax traffic. Q. When using RightFax with a Xerox Document Centre or WorkCentre Pro, how is it administered? A. RightFax is easy to use and manage, with an extensive array of administrative tools and resources such as FaxUtil and Enterprise FaxManager. Intuitive interfaces for system management allow administrators to manage RightFax servers whether local or remote. Synchronization with Active Directory, and MMC Snap-in ensures ease of customization. Load balancing capabilities help maximize performance by pre-venting bottlenecks and delays in processing high volumes. Capabilities such as Least-Cost Routing minimize telephone charges, letting a company see even faster return on investment. Q. When RightFax is installed with a Xerox Document Centre or WorkCentre Pro can my company take advantage of all the features of RightFax? A. Most of the features of RightFax are available to users of Xerox Document Centres or WorkCentre Pros. For a complete overview of these features consult your sales representative or documentation about RightFax. Q. When using RightFax with Xerox Document Centres or WorkCentre Pros can you use billing codes? A. Yes. Billing codes can be added with the fax number. Q. Can RightFax help track Document Centre or WorkCentre Pro fax activity based on users or department? A. Yes. To track fax activity, RightFax 8.5 with the Xerox patch must be used. To take advantage of this feature, the user scans documents into their RightFax FaxUtil, types in the routing codes, and sends it from RightFax so that the standard RightFax reports are then available for both users and departments. Q. Can copies of faxes sent via a Document Centre or WorkCentre Pro, and their related metadata, be exported from RightFax to an archiving or cost capturing system, such as Equitrac? A. Yes. The Walk-Up user (the default RightFax user/account) can be set to “archive sent faxes”. This ties with the device, however it is possible to tie this in with specific users. To do this, RightFax 8.5 with the Xerox patch must be used. The user scans documents into their RightFax FaxUtil, types in the routing codes, and sends it from RightFax so that standard RightFax reports are available. Q. Can copies of successful or failed faxes be printed by RightFax on a Document Centre or WorkCentre Pro? A. Yes. By turning on the auto-print option and having a RightFax user account set up for each Xerox device.
