08 DEGREE CEREMONY Information Brochure Dear Student/Former Student This brochure has been sent to you as you have indicated that you wish to have your degree conferred at one of the 2008 ceremonies, which will be held in the Great Hall. This brochure is designed to inform you of the detailed arrangements for the day. Further on in this brochure, you will find a full schedule of all the ceremonies taking place. If you are in any doubt as to which ceremony you should attend, please call the Degree Ceremonies Office (0113 3434117). No further information will be sent to you regarding your ceremony. The fact that you have received this brochure means that we expect you to attend your ceremony. It is your responsibility to check with your Department that you have successfully completed your award. If for any reason you are now unable to attend your ceremony, it is important that you let us know as soon as possible. Please complete the degree conferment change form enclosed and return it to the address detailed below. The ceremony is a formal occasion and you will, therefore, be required to wear the academic dress of the University (further details on pages 7-9). Please direct any queries regarding your academic dress to the robemakers; not to the University. To provide you with a lasting reminder of your achievement, the University has also secured photography, video, certificate framing and other services. AM I ELIGIBLE TO ATTEND? You are eligible to attend if you have: Successfully completed your award If you have received this ceremony brochure you are currently registered to attend your degree ceremony within this ceremony period. This does not mean that you have successfully completed your programme of study. It is your responsibility to check with your School or by logging onto the portal that you have successfully completed your award. If you are due to receive your results in the Summer you can check your award status on the portal from 1st July for a limited time only. If you are due to receive your results in the Winter you can check your award status on the portal from 26th November for a limited time only. In the event that you have been unsuccessful, your invitation to attend a degree ceremony will be considered withdrawn. What if I have lodged an appeal? If you have lodged an appeal that is unresolved it is not advisable to attend your degree ceremony as your appeal will be void. Paid all outstanding fees Any student who is in debt to the university on 13th June (for July Ceremonies)/ 14th November (for December Ceremonies), will no longer be eligible to attend their degree ceremony. I don’t know if I have outstanding fees, how do I check? You should have received a reminder from the University regarding any outstanding debts. Please respond to this urgently. All cheque payments must have cleared by 13th June/ 14th November. If you are uncertain of your fees status please contact both the Accounts Receivable Office on 0113 343 6054 or 0113 343 6055 and the University Library on 0113 343 5663. It is your responsibility to check that your account is clear. What do debts to the University include? Unpaid academic fees and charges, residence fees and charges, examination fees, registration charges and library fines (including unreturned books). Please note that a debt will be recorded on your account if your sponsor has not paid your fees. 4 CHANGING YOUR DEGREE CONFERMENT CHOICE Can I attend a ceremony on a different day to my department? No, unfortunately you must attend on the allocated day and time within this ceremony period. Can I attend within an alternative ceremony period? Yes, the University holds ceremonies in both July and December. If the allocated date within this ceremony period is inconvenient, you will be eligible to attend whichever alternative ceremony period is applicable. Do I need to notify the ceremonies office if I can no longer attend my ceremony? YES. Please fill in the change of conferment form included in this brochure or email the ceremonies office (ceremonies@adm.leeds.ac.uk) to inform us of your change of plans. You will be given a choice of graduating in absentia or attending a ceremony in the future. College students need to contact their own college to inform them of any changes. What happens if I’m registered to attend my degree ceremony and I don’t turn up on the day? If you have chosen to attend a degree ceremony but find you are unable to come on the day you will be recorded as absent. You will receive a letter at your registered permanent address, asking you to amend your conferment choice. If you do not respond by the specified deadline, you will be conferred in absentia and your certificate will be posted to you. You will not be eligible to attend a future degree ceremony. I have already had my certificate posted to me, can I still attend a degree ceremony? NO. If you have already received your certificate via the post you have been conferred in absentia and are no longer eligible to attend a degree ceremony. If you did not wish to be conferred in absentia and believe this has taken place in error then please contact the ceremonies office for further advice. PREPARATION TICKETS WHAT DO I NEED TO WEAR? Both graduands and guest tickets are free of charge for the degree ceremonies. Graduands will be allocated a specific seat at the tickets desk. Guests may sit anywhere in the Great Hall excluding the area reserved for graduands as guest seating is not numbered. To participate in the ceremony you are required to wear Academic Dress. Academic dress for bachelors and masters degrees consists of a black gown with the appropriate hood for your degree. For details on how to order your academic dress please see page 9. Here are some examples: How many tickets am I entiitled to and how do I get them? In addition to your own ticket you will be allocated two guest tickets. They are available for collection from the Degree Ceremonies Reception Desk in the Parkinson Building on the day of the ceremony. Tickets will not be posted to you What if I would like more tickets? We work on the basis that the hall will be at its full capacity if all graduands attend the ceremony with two guests and therefore it is not possible to determine in advance how many spare seats there will be. Where tickets are available, they will be allocated on a first come first served basis from the Degree Ceremonies Reception Desk in the Parkinson Buillding. Graduands will only be able to obtain a maximum of two extra tickets. Should extra tickets be available, they can be collected at the following times on the day: CEREMONY TICKETS AVAILABLE FROM 9.45 am 8.15 onwards 11.30 am 10 am onwards 1.45 pm 12.15 pm onwards 3.30 pm 2.00 pm onwards 5.00 pm 3.30 pm onwards BACHELOR OF ARTS (Honours/ Ordinary) BACHELOR OF SCIENCE (Honours/ Ordinary) BACHELOR OF ENGINEERING (Honours/ Ordinary) MASTER OF ARTS MASTER OF SCIENCE MASTER OF ENGINEERING What do I do if I am not allocated the extra tickets I would like? There will be a live screening of the ceremony in a Lecture Theatre in the Parkinson Building for any guests who do not possess a valid ticket for the Great Hall. Guests do not need a ticket to view this. This faciility may even be more suitable for some guests due to a clear visibility of the stage when the graduands are presented with their award. Higher degrees often wear coloured gowns and hoods and in some instances, a velvet hat. PHD Please visit www.leeds.ac.uk/ceremonies for more examples of gowns. 7 PREPARATION WHAT DO I NEED TO WEAR? What else should I wear? Due to the nature of the event it is appropriate for men to wear a dark suit or jacket and trousers. Women can wear a dark skirt or trouser suit, dress or skirt. It is recommended that ladies wear a buttoned blouse to secure their hood. HIRE YOUR GRADUATION OUTFIT ON-LINE AND SAVE £5 How do I order my gown? You can order it from www.gownhire.co.uk, or through the link on the University website: www.leeds.ac.uk/ceremonies www.gownhire.co.uk Please see the Ede and Ravenscroft flyer on the next page for details. Remember, you will need to wear the correct robes to attend your graduation ceremony. When do I need to order my gown by? • Please order your gown by the following dates: Before you start, make sure you know your head circumference, chest and height measurements and have your credit/debit card details available. • If you do not have access to a computer, you can hire or buy your outfit from our call centre on 01223 861854. Open from 9 am - 5 pm Monday to Friday. PLEASE NOTE: you will not receive the on-line hire discount if you order via the call centre. CEREMONY PERIOD DATE JULY 13th June 2008 DECEMBER 21st November 2008 Calls may be monitored for staff training. Facilities for the deaf & hard of hearing or those with a speech impairment are available using your Textphone dial 1800101223861854 to access the RNID Typetalk system. • What if I order my gown on the day of the ceremony? Orders received on the day of the ceremony will be subject to an extra charge. See below for on the day hire rates: Bachelors and other First awards - £45 Masters and other Postgraduate Awards - £50 Print out the order confirmation and take it with you when you collect your outfit on the day of your ceremony so we can process your order quickly. Book early to be sure of your order! We cannot guarantee to supply you with an outfit if you leave your booking later than 21 days before your ceremony. However, you can still try to place an order through our website or call centre after this date. We take a limited spare stock to the ceremony, but this is charged at a premium rate on a first come first served basis. Doctorates - £55 Ede and Ravenscroft, Unit A, Denny Industrial Centre, Waterbeach, Cambridge CB25 9QD 9 ON THE DAY ARRIVING ON CAMPUS BEFORE THE CEREMONY What time should I arrive? Where should I go once I arrive on Campus? You should arrive on campus at least 1½ hours before your ceremony is due to commence. Please allow time for extremely busy morning traffic in the City Centre and on the incoming Motorway routes as ceremonies will not be postponed or delayed. When you arrive on Campus you need to go straight to the Parkinson Building. From here you can collect both your tickets and your academic dress (please see pages 7 - 9 for the section What do I need to wear?). What happens if I arrive late? No Graduand will be admitted to the Hall once the ceremony has commenced. Please note that you need to be outside the Great Hall 30 minutes before the ceremony is due to commence. Where do I go to find out about graduation photos and videos/dvds? You can discuss these requirements at the stands set up in the Parkinson Building. Where can I park? Free parking will be available for all graduands and their guests during the ceremony period at the Woodhouse Moor car park on Woodhouse Lane. It is approximately 1/2 mile from the main entrance and 20 to 25 minute walk to the Great Hall. What hours will it be open? It is usually open between 8am and 6pm. On days when a 5pm ceremony is taking place, the car park will remain open until 7pm. Please see the map on page 30 for further information. Are disabled parking facilities available? The University has 34 designated disabled parking bays for drivers and passengers. You must have your disabled parking permit on display. Parking attendants will be available for guidance. For further information please see the section on Disabled Access and Special Requirements (page 14). See page 27 for Media services graduation products and services including DVD and Video. See page 26 for Ede & Ravenscroft Photography services. When do I need to be ready to go into the Great Hall? You must be waiting at the gates to the Great Hall 30 minutes before the ceremony us due to commence. At this time the doors should open and allow you to enter. All graduands are expected to be seated 15 minutes before the ceremony. Where do I go once in the Great Hall? As you enter the building you should access the hall via the back staircase (this will be signposted). Once in the hall you will be directed to a seat bearing your name and seat number. You must be in your seat no later than 15 minutes before the start of the ceremony or you may not be able to take part. Please see page 14 for the section on Disabled Access and Special Requirements. Where do my guests go once in the Great Hall? Your guests will part from you in the lobby and will be directed up the front staircase to the hall where they will be directed to the guest seating area. ON THE DAY THE CEREMONY PHOTOGRAPHY AND MEDIA How long will the ceremony last? Can I take my own photos during the ceremony? Each ceremony will last approximately one hour (depending on how many graduands are attending). Yes. All graduands and their guests are entitled to take photographs and make videos throughout the ceremony. However, guests and graduands are expected to behave in a way that is considerate to others and respectful of the solemnity of the occasion. Where do I sit? The University will be filming a video of each ceremony which will be transmitted simultaneously on the web. Photos may be taken during the ceremony and around the campus and these may be used in future publications. By attending the ceremony all graduands and their guests are deemed to accept this practice and waive any right they may have in these activities. Graduands are seated according to their qualification and programme of study. You will be given your own graduand ticket when you collect your guest tickets. The ticket will specify a particular seat number. You MUST sit in the seat allocated to you, this ensures the correct distribution of certificates during the ceremony. Under no circumstances should you sit in any other seat during the ceremony. Guest seating is not numbered and therefore guests may sit anywhere in the hall, excluding the area reserved for graduands. What happens during the ceremony? At the appropriate time you will be directed onto the stage by a ceremony marshal. Graduands are ‘admitted to the degree’ with a handshake; it is customary for men to bow and women to curtsey. You will receive the certificate on stage and return to your allocated seat. At the end of the ceremony you will process out of the hall behind the academic procession and can meet your guests outside. For webcast details see page 17. FURTHER CELEBRATIONS All receptions and parties are organised by individual departments, schools or colleges. Please refer any queries directly to the department. Alternatively you can phone Leeds Tourist Information who should be able to give you a list of other hotels and nearby guesthouses (please see the contacts page at the front of the brochure). Information regarding accessible accomodation can be provided by Disabiility Services (Equality Unit) on 0113 3433927. 13 DISABLED ACCESS AND SPECIAL REQUIREMENTS UNIVERSITY CATERING FACILITIES Staff, Student and Visitor facilities (Fairtrade Products are available in all outlets) Both the Great Hall and Lecture Theatre in the Parkinson Building are wheelchair accessible and fully equipped with induction loop systems. SPECIAL DEGREE SERVICES How do I contact the University about special requirements? The University is able to provide assistance for you and your guests. Please complete and return the enclosed form as soon as possible so that appropriate arrangements can be made in advance. Please contact us at least two working days before your ceremony to enable us to prepare the Great Hall. How can I access the stage? If you are unable to use the steps, or if you do not wish to use them, a platform lift is available. It is wheelchair accessible and porters will be available should you require assistance. I do not wish to go onto the stage, is there an alternative? Yes, if you do not wish to go onto the stage to receive your certificate, you must inform the Degree Ceremonies Officer at the start of the ceremony so that the appropriate arrangements can be made with the presenters. Please note that a Ceremony Officer will be on hand at all times throughout your Ceremony however by filling in the Special Requirements form, we can adhere to your needs more efficiently. Where are the disabled parking bays? There are 15 parking bays situated alongside the School of Design which are reserved for badge holders and are situated as close to the Great Hall as possible. Access to these bays is via Clarendon Rd, then via University Road (See map on page 30). For more information on disabled parking bays and access routes on campus, please see the website: www.leeds.ac.uk/ceremonies During July ceremonies only • During the Degree Ceremonies we will be offering our ‘Colonnade’ Services adjacent to the Great Hall where we will be serving various food items including Gourmet Sandwiches, Baguettes, Strawberries and Cream and our Hot Food Selection, plus Hot and Cold Beverages, Special Beers and Wine plus Champagne and Jugs of Pimms. REFECTORY • Open between 09.00 and 11.30 hrs. for morning goods and then from 11.30 hrs. until 15.00 hrs. providing a selection of food offers including, Theatre style cooking, Deli Fusion, Tastes of the World, Fresh Salads, Soups, Jacket Potatoes and many more including traditional food choices. LEVEL 9 CAFÉ BAR located within the former Senior Common Room Building • Open between 09.30 and 15.30 hrs. Stylish Bistro service offering coffee and morning goods and between 11.30 and 14.00 hrs. hot and cold lunches. Licensed Bar facilities also available. Webcast see http://www.leeds.ac.uk/webcast For those people who cannot view broadcasts as they occur, each ceremony will be archived on the webcast server for viewing at a later date. The archive can also be found on the link above. Ceremonies are best viewed using Microsoft Media Player 10 or above. Viewers within the campus who do not have media player loaded on their PC will need administrator rights to download the software from Microsoft.
