GUIDANCE NOTES FOR:
YOUTH COLLECTIVE JUNE 2015
WITH MIKE PILAVACHI.
INTRO
Hi there. We are really excited to invite you to the first of our 2 summer term events
happening in June and July. Rev Mike Pilavachi, Leader of Soul Survivor church in
Watford, and leader at Soul Survivor festivals every summer, is coming to share his
thoughts on ‘The Holy Spirit’! We are delighted to welcome Mike, and we are delighted to
welcome you too!
Here in this doc, you should find all the details you’ll need in order to bring a group of
young people to the event!
WHY IS THIS YC @ HOLMSTED MANOR?
Holmsted Manor is the home of YWAM (Youth with a
mission) based right here in Sussex. It has established
itself as one of the best places to nurture young leaders
into the heart of mission and pioneers new mission
throughout the world. We will be using the beautiful
grounds for our event. Plus, it’s only 15 mins away from
St Andrew’s church, so hardly any change in travel time
(directions overleaf).
We are able to use Holmsted this year, as The Point
Church Burgess Hill, are holding their annual church weekend away here, and so we are
able to take advantage of facilities already set up. Mike P has also agreed to speak at their
weekend away too – which kind of made sense considering he was already on his way down
to see us at the Youth Collective. Joint up thinking!
EVENT DETAILS – WHATS GOING ON FOR YOUTH AND LEADERS?
This Youth Collective will be no ordinary one! Taking place at Holmsted Manor the event
consists of 3 fun packed hours, starting with extended social time to explore what
Holmsted Manor has to offer, Big inflatables, Graffiti wall and sports! As well as an open
Mic to showcase your talents! Afterwards, we will then enter the event Marquee for
worship, teaching and space to reflect. It will be the perfect opportunity for your youth
group to mix with other yp in their local area, as well as getting a slice of the ‘big church’
identity we so crave our young people to know the reality of. We are expecting a bumper
turnout, so it’s not one to miss! It will also act as a great follow on event for anyone who
attended MAY CAMP 15 or THE BIG CHURCH DAY OUT with young people.
TIMINGS AND COST
The event is taking place on SATURDAY the 20th of June, at an extended time of 6:00pm9:00pm. The event is still only applicable for young people in years 7-13 with
accompanying leaders.
The event costs £2 per person. This is as a contribution to subsidise the costs we will incurr
for the event.
Out of Mike Pilavachi’s heart to see young people thrive and grow in Jesus, He hasn’t
requested any form of payment. We will be covering his travel expenses, but as such, we
feel it is apt to gather together a gift for Mike if possible. If you feel you would like to
contribute towards a gift for Mike, then please either get in touch using the details overleaf,
or bring a gift marked in an envelope with your details and what it is for. Many thanks.
PARENTS:
We know it can be tricky arranging lifts to and from events, so if any parents want to stay
on site whilst it’s all going on, there will be a café space to relax in should you wish to use it.
EVENT SAFEGUARDING STRUCTURE
We run Youth Collective as an ‘Open event’, therefore, young people are fully responsible
for themselves whilst at the event. To break this down further, it is communicated to
parents via the individual leaders who bring young people, that it is at the parent’s
discretion to allow their young people to attend alone, and are fully responsible for
themselves whilst attending. NOTE: Holmsted Manor is responsible for the safety of the
whole site, and therefore they will still provide liability with regards to general health and
safety. Full Public Liability Insurance is in place through ‘Ecclesiastical’ Insurers. Because
it is an open event, this allows you to run the trip with your young people in two different
ways:
OPTION 1: Is to run Youth Collective as a ‘Trip’ on behalf of your own church, gaining
consent from parents and therefore taking responsibility for them whilst attending. There
are a few things you would need in place for this:
• Completed consent forms for each YP (Draft consent forms are available so you don’t
have to do the hard work).
• Correct leader ratios for the group you are bringing (no fewer than 2 leaders, Male
and female, and no more than 8 yp per adult (who holds a current CRB/DBS for the
church in question if applicable)
• Travel arrangements either arranged by yourselves, or made the responsibility of
the parents.
• Adoption of our risk assessments (availabe on request).
OPTION 2: Adhere to our ‘open event’ principle, making sure that Parents are fully
knowledgeable that although you will be present at the event, you are not responsible for
them and that the yp are fully responsible for their own actions. It is your responsibliity to
ensure that parents of the young people from your church know this, and therefore a letter
explaining this is advised before each event.
Both ways of operating are fine, however we recommend OPTION 1, as this provides the
best care for the young people whilst at the event, and also allows you to market the event
better in your church.
GUIDANCE FOR LEADERS WHILST AT THE EVENT
We believe that it is important that leaders are participative members of the event, and get
involved in any opportunity. Historically, we have found that the groups who bond best
with others, get involved quicker and feel a part of what’s going on, are the groups whose
leaders are not at the back, but who are willing to get involved with their group. We
sometimes feel that the best way to support them is to ‘stay out of the way’ and let them
‘get on with it’, but in reality they need us to lead the way. So we hope that when you come,
you come with the enthusiasm and freedom to worship and get involved that you would
like to see in the young people themselves!
LEADERSHIP MEETINGS
We are passionate about doing things together, and therefore we are increasing the
opportunities for leaders to have their say in how the Youth Collective is run and the
direction it takes. Therefore, if you feel you would like to be a part of the leadership
