Planning A well planned event will always run smoother so remember to be organised. 2. Safety Safety must come first. So check to see if there are any rules or regulations that apply to your event and see if you need to do a risk assessment or apply for special licences. 3. Budget Be realistic about your budget, set targets and cover your costs. 4. Dates Double check your dates in advance, you don’t want it to clash with a major event. 5. Location Think of your event’s needs and find a location that reflects these. 6. Invitations Make sure you are practical with the number of invitations you send out. An overcrowded event is never a good event. 7. Fundraising Lots of big events can often compose of smaller fundraising ideas, such as competitions, raffles and sponsored events. 8. Donations Getting people to donate items or their time is a great way for people to help charities and make themselves feel better. 9. Sponsors Companies love being green and helping charities, so why not ask around to see if you can get any aspects of your event sponsored. 10. Advertising Advertise your event on our social media sites and events page. Halloween Party Pack Bat Conservation Trust Dates Remember Halloween parties don’t necessarily have to take place on the 31st October. Sometimes it is better to wait until the weekend to maximise the people who can come to the event. Choosing the right venue for your party Where will you hold the party…. At home? In a public hall? Office or Students Union? Is the building big enough or maybe even small enough for the party. If paying for a venue, see if you can be cheeky and get a deal as the party is for charity. The atmosphere makes a good party, so see if you can get free decorations as part of the hiring or approach local businesses and see if they can lend/donate something. Remember to have a strict budget on the venue as well as all other aspects of the party. You need to end up with funds in order to fundraise after all. If you are holding the party in a public building you will need to make sure you are covered for alcohol consumption and competitions, such as raffles. So do check if you need special licences. Promoting your event If your event is open to the public, such as a party at a community hall or student union then advertising is a great way to inform the public about the event. There are a number of ways you can do this, via local news papers, radio and local “what's on” websites and remember to email your friends asking them to forward your emails on. We have downloadable invites and posters for you to print off and stick up everywhere too. You can add your event to our fundraising event section too and use our Twitter and Facebook pages to let bat fans know of any public events. Halloween Party Pack Bat Conservation Trust Tips on how to raise the most amount of money from your party Charge an entrance fee to your party Charge for the food and drink at your party Fine people if they do not come in fancy dress Why not pre-make some batty items to sell Set up a donations box and ask people to bring all their change with them Ask local companies or friends to bring unwanted gifts, these can be used for prizes in raffles or auctions Hold a bat themed pub quiz and get people to pay an entrance fee, the winnings could be split between the winners and the Bat Conservation Trust Little things can make a huge difference to the atmosphere of the place. Central and South America 4. Which directions do bats turn when they leave the roost? Either they are not fussy. 5. Approximately how many insects can a pipistrelle bat eat in one night? 3000 Ingredients: 1 cup of ice 1 shot of vodka* 4oz cranberry juice 2 lime wheels Preparation: Place all the ingredients in a blender (including the lime wheels). Blend for 3-5 seconds (ingredients will not be completely blended). Pour into a chilled glass *For the non alcoholic version simply remove the vodka. Things to make and do Food Flat bat finger puppet Gingerbread bats Draw a Flat Bat onto thick paper or card, colour him in any way you please, and then cut him out. Affix a strip of paper about 6cm long onto the underside of Flat Bat, leaving a loop big enough to slip one or two fingers through. Make creases in the wings to replicate the bat’s fingers, bend his head up and gently pinch his ears to bring Flat Bat to life! Take a picture of you & your Flat Bat roosting in interesting and random locations and send them to us to add to our social networks. You will need: • 100 grams treacle • 85 grams butter • 100 grams sugar • 200 grams plain flour • Teaspoon of ginger • Lemon juice You will also need a card template. 1. Mix flour and sugar in a large bowl 2. Gently melt the butter, sugar and treacle together and then add to the large bowl 3. Mix the contents of the bowl well until a smooth consistency 4. Roll the mixture our thinly and cut into bat shapes 5. Bake in a very low oven on a lightly oiled tray at around 160°C, until the gingerbread is crisp. 6. Adorn the bats with cake decorations and enjoy! Always ask an adult’s permission to work in the kitchen, and to use the oven. Wear oven gloves when taking out hot trays. Halloween Party Pack Bat Conservation Trust Health, Safety and Legalities When planning for your events there are a couple of health, safety and legal issues that you should consider to ensure that everything runs smoothly and complies with local authorities regulations. Risk assessing and First Aid Before the event you should try to identity any hazards and note any risks which may affect your event. You should ensure that there is adequate first aid coverage for the event, for more information you should contact your local authority or visit (www.hse.gov.uk). Before the event(s) please brief all participants (where relevant) of any risks, fitness requirements, special equipment or clothing required and standards of behaviour expected. Supervision Ensure that your event is properly and adequately supervised. Where children are included, this includes, providing proper adult supervision, checking that the child’s parents/guardians have given their permission for their child to take part and carrying out appropriate background checks if adults are to have unsupervised access to children. Photography Please ask permission from a parent or guardian before taking pictures of any children and if you wish to use the photo for publicity or to upload it to our media sites, written permission will be needed (see our photo permission form). Licences and legalities You should check with your local council to make sure you do not need to apply for any special licences for your event. i.e. to collect money, sell alcohol, hold a lottery or raffle and to make sure you meet food hygiene regulations.
