REQUEST FOR AN INTERN (EXECUTIVE ASSISTANT) Save the Children saves children’s lives, fight for their rights and help them fulfill their potentials. Save the Children started work in Liberia in 1991 with an emergency program focusing on the immediate needs of children affected by the conflict. Save the Children currently operates in eight counties across Liberia and works in: education, health and child protection, child rights governance and response to humanitarian emergencies. INTERN - EXECUTIVE ASSISTANT We are seeking fresh graduates or candidates about to complete graduate school in communication, information and/or IT who would like to have work experience. Save the Children is seeking women candidates only who would be interested to work as an intern as outlined below. Relevant mentoring and coaching will be provided and the internship would be initially for three months. Key areas of Responsibility: 1. To manage incoming and outgoing communications for the Country Director, maintaining a high degree of understanding of the work and priorities. Receiving and reviewing all incoming communications as determined by the Director (by email, phone etc or from staff), handling them directly where possible, referring them to others where appropriate, preparing and following up items that need to be handled or seen by the Director. Coordinating the preparation of relevant papers for meetings and discussions whenever necessary. Act as the information and communication focal person at the country programme and liaise with the Regional office and the SCI Centre. Focal person for the Liberia intra net page manage and update the intranet page on a continuous basis. Following up actions required from others for the Country Director, and actions required by the Director from others, to ensure that they are completed to meet deadlines set. Coordinate the production and distribution of monthly updates for SMT & SLT from the Director. Planning and implementing appropriate electronic and manual filing to ensure that key papers are accessible when needed. Working with other teams to ensure that e-filing increasingly becomes the norm. Responsible for planning and taking minutes at the SMT and SLT meetings. Supporting events and training Draft letters and communications materials. Support to the SMT members as required 2. Plan and manage the effective use of the Country Director’s time. Planning the Director’s diary in line with agreed priorities, initiating and arranging external and internal meetings, handling and prioritising requests for the Directors’ time, ensuring relevant papers are available, and follow up actions are seen through. Liaising with the relevant parties to facilitate meetings and good flow of information. Coordinating the Country Director’s travel arrangements for programme visits and meetings, ensuring that all necessary travel and accommodation, visas and health precautions are arranged, itineraries appropriately planned, research and background preparation supplied and expense claims processed in a timely manner. Demonstrate understanding of and compliance with the requirements of Save the Children’s Child Safeguarding, Code of Conduct and Safety and Security policies and other Save the Children global policies. QUALIFICATIONS AND EXPERIENCE Essential The candidate must be a final year student majoring in media, communication and /or information studies. The ability to fluently speak and write in English to an effective standard Interest on Save the Children’s work and enthusiasm to learn organisation and administrative skills.. Confident self motivated with initiative and judgement to be able to contribute significantly to assisting the Country Director to prioritise, delegate and generally manage diary commitments and workload. Excellent communication skills and the ability to deal with a wide range of people at all levels and situations, both verbally and in writing, including in relation to highly confidential and sensitive material. Ability to draft and edit documents, produce accurate minutes of meetings, and compose own documentation competently. Strong PC skills, including Outlook, Word and PowerPoint; and an interest in appropriate use of current information and communication technologies. The personal circumstances to be able to work occasionally outside normal hours to meet immediate deadlines or to liaise with people in other time zones. Desirable Knowledge and skills in Information Technology (IT), will be an advantage.
