Adam Oldfield - President Adam Oldfield is the founder and President of FPM Marketing & Design Inc. Adam has over 20 years working and building Internet strategies for SME. Adam was responsible for building the first website and e-newsletter campaign for top radio stations in Hamilton and Toronto to become a key revenue source. Adam created software and tools for measuring online communications. Adam has launched over 400 websites, including e-commerce, online inventory management systems, mobile applications and linked social media systems to drive traffic and increased ranking on the websites for clients. Sukhdeep ‘Deep’ Chaggar – Account Coordinator Deep Chaggar comes to FPM3 from McMaster University with a degree in Business Commerce and has been with FPM3 since March of 2011. Deep has not only gained a wealth of knowledge from McMaster University in the realms of Marketing and Project Management, he also continually improves himself and completed his first step for the CIW Web Foundations Certification course in October 2011, and continues to study for his next designation. Deep is managing the growth and development of three of our major accounts, which include an online inventory management system with Northend Floral Inc., a strategic management software for Manage With Success, and lastly and more recently Sound Orthotics’ online order management system. With his experience in overseeing development stages of these projects, Deep understands the complexities of technical hurdles and is able to conclude to sound solutions. He is very keen on keeping up to date with the latest trends in web and consumer technologies, marketing, and social media trends. With his persistence in always improving himself, Deep applies his knowledge to his projects, big or small, and helps define the best-suited tools for the job. With a technical view on the world, Deep is able to manage a project from beginning to end by foreseeing technical loopholes at the beginning of the project and providing sound solutions and ideas before the start of the project. Danny McInnis - Senior Graphic Designer Danny McInnis, Senior Graphic Designer, has been at FPM3 for over 6 years, overseeing the key design concepts of many of FPM3’s accounts. As the senior graphic designer for the FPM3 creative team, Danny has worked with high profile clients such as SC Johnson, Lacoste, Sara Lee, and Tim Horton’s to develop youthful and cutting edge designs and was awarded 1st place at the American Design Awards as part of FPM3. All of his design work is done in the latest version of Adobe Design Suite CS6 including Photoshop, Illustrator, InDesign, Acrobat and more. Danny is a graduate from Mohawk College’s Graphic Design where he learned to apply his eye for design and creative ideas to all forms of media, using the latest software. Proposal for NBPSDHU - Website Redesign and Implementation | 04 Hasan Cosgun - Senior Web Programmer/Coder Hasan Cosgun, Senior Web Programmer/Coder, has been at FPM3 for over 5 years, and has helped to create some of the best programming systems, including; Manage With Success, Sound Orthotics, and The Mingle®. Hailing originally from Turkey, Hasan Cosgun brings 17 years experience as a web programmer to FPM3. After weeks of searching for the best talent, FPM3 turned to SISO, an organization that helps integrate new immigrants into the City of Hamilton, to find Hasan. His in-depth knowledge of web programming languages, simulation languages and custom script coding in most web languages with strengths in PHP and LINUX servers, is a valuable asset in the continuing development of http://www.themingle. net. Kelly Jones – Web Developer Kelly Jones is an experienced Wordpress developer with 15 years experience in creating websites and building customized content management systems. His experiences include and are not exhausted in HTML, Search Engine Optimization, CSS, PHP 4.x.x, 5.x.x, Javascript, Joomla, and MySQL databases. Not only having skills in the web, Kelly also has knowledgeable experience in using Adobe Dreamwever, Photoshop CS5/CS6. Salena Fox - Production Supervisor Salena came to FPM3 in 2010, with a year of experience as a Junior Graphic Designer for mostly print related projects to assist the Senior Graphic Designer in a part-time support role. Her previous experience included working in the Canadian Armed Forces as an Imagery Technician Recruit for just over 2 years. Salena’s experience there included leading a platoon of up to 140 recruits, assisting senior non-commission members in daily tasks, scheduling and disciplines, as well as performing various barrack duties for pod inspections, suicide watch and night roundsmen guard watches. Salena became the Production Supervisor at FPM3 in January of 2011, where she was bestowed with the challenge of making over the entire Creative Department by instilling new policies, procedures and practices amongst all designers and web developers, as well as any interns. Today, she continues to improve as a professional and team player in assisting all departments with challenges and troubleshooting, all the while analyzing the company operations and developing new plans and strategies to improve current processes and procedures. Her top skill sets are: time management and organization, information management, prioritizing, problem solving and analysis, meeting objectives as a team player, interpersonal encouragement and assisting, fundamental agency operations, high motivation for success, initiative, logical, accountable, reliable, straight-forward, and most of all, objective. Other skill sets include: working with Adobe Creative Suite CS3-CS5 including Dreamweaver (basic HTML/CSS), working with Microsoft Office 2007 and above, working on Mac or PC, Wordpress, BaseCamp Project Management software, FileMaker Pro Docket System Software, Photo editing & colour correction. Dallas Malone – Web Developer As a graduate of the graphic design program and the multimedia design and production from Fanshawe College, he is extremely adept at using creative communications and utilizing professionally prepared designs. His experience is not limited to only design, but also has skills in web coding. With over 8 years of experience in design and also website development, Dallas is capable of handling coding languages and platforms such as PHP, SQL databases, Wordpress, HTML, XHTML, Javascript, and CSS. As an experienced developer on today’s web technologies, Dallas is always ready to embrace the next step of website technologies. Kevin Chrysler - Web Developer Kevin Chrysler has been working in the IT industry for over 10 years and is now working with FPM3 as a web developer with an extensive background knowledge in website development and various programming languages. Total Access Medical www.totalaccessmedical.com Total Access Medical (TAM) is a website that allows clients to be in touch directly with their doctor’s office with a simple click or two here and there. TAM incorporates numerous features built into it’s Wordpress CMS, by managing slideshows, contact forms, all copy for their website, integration with social media, and much more. Northend Floral - Online Ordering Management System www.nefloral.com Northend Floral Inc., a wholesale business-to-business distributor of floral products, knew that being online was the way to manage their inventory and orders but needed a custom solution to do so. Northend Floral are leaders in their industry by adapting the OpenCart system which is an open source platform to bring their old paper based/fax/ordering inventory management system to the 21st century, online! The system is able to manage thousands of products, hundreds of manufacturers, multi-level account logins for both clients and administrators, and batch processes. The website also incorporates a tablet friendly design for yearly planning for store owners to be able to manage their orders throughout the growing season with relevant statistics. Tourism RTO 13 & OTMPC André (as Partner of the MAKC Communications) was involved in the development of the Northern Digital Strategy and Support for the new Northern Ontario Portal. The team was hired as consultants to develop a playbook for the future of the portal and conduct the following: • Analysis of the current Northern Ontario Portal • Identify and address issues over the course of the 4 years • Overview of the current digital landscape of Northern Ontario • Consult with partners, sub-regions and operators • Outline the challenges • Develop a digital marketing strategy • Deliver the playbook to the Digital Strategy Committee Niagara Grape & Wine Festival 2004 - 2006 The Niagara Grape and Wine Festival consists of more than 100 events including winery tours and tasting, concerts, Niagara cuisine, wine seminars, live entertainment and parades. The hub of the Niagara Wine Festival can be found in historic Montebello Park in downtown St. Catharine’s. Wines can be purchased by the sample, glass or bottle. This represents an increase of 22% over the same period of the previous year. Niagara Ice Wine Festival Web Summary A total of 1,238,719 hits were logged on www.niagarawinefestival.com for the months of December 2003 and January 2004 peaking on January 12 with 68,767. This represents an increase of 74% over the same period of the previous year. Niagara Wine Festival Web Summary A total of 3,962,926 hits were logged on www.niagarawinefestival.com for the period from July 1 to September 31, 2004 peaking on September 17 with 233,410 (a new single day record almost doubling the previous high of 137,979). This represents an increase of 26% over the same period last year. Promotional Marketing Several promotional pieces were used in this campaign including: Niagara Ice Wine Festival Brochure, Niagara Ice Wine Festival Passport, Niagara New Vintage Brochures, Niagara New Vintage Rack Cards, 2004 Program of Events, and 2004 Festival Poster. FPM3 Not-for-Profit Involvement Here at FPM3, we’re driven to help support the community. We’ve done an extensive amount of charity work to help local foundations and non-profit organizations, including marketing for: Dr. Bob Kemp Hospice The Dr. Bob Kemp Hospice is a not-for-profit organization incorporated in 1991. The Dr. Bob Kemp Hospice offers an interdisciplinary team of staff and professionally trained volunteers who provide supportive services to families who are living with life-threatening illness. FPM3 has provided the Bob Kemp Hospice with quality print materials for the past 3 years. Along with creating awareness through print development, FPM3 has assisted in the success of the “Paint the Town Red” event, which has been a huge success for the Bob Kemp Hospice, selling out yearly to over 600 attendees. Community Involvement North Bay Summer in the Park André is the Marketing Chair of the festival. His major responsibility is organizing all media advertising, promotions and social media/web presence throughout Northern Ontario. The festival has successfully signed a contract with Marianas Treanch and Meat Loaf to perform this August long weekend. This will be Meat Loaf’s only Canadian concert of the year. Our target goal is 8000 people to attend the outdoor concerts. The Rotary Club of North Bay-Nipissing Lobster Shindig This is a new Major Fund-raising Event for the club to raise money in support of the Children’s Safety Village within the new North Bay Waterfront Development. We have sold out for our 1st annual event. André was the Marketing Chair and developed the branding, prepared all radio scripts and newspaper advertising. The City of Hamilton Hamilton Communities in Bloom Description: Communities in Bloom is a Canadian non-profit organization committed to fostering civic pride, environmental responsibility and beautification through community involvement and the challenge of a national program, with focus on the promotion and value of green spaces in urban settings. Proposal for NBPSDHU - Website Redesign and Implementation | 07 FPM3 has assisted Hamilton Communities in Bloom for over two years by creating all of their print advertisements, including programs and brochures and assisting them with all of their promotional aspects. FPM3 also created their logo, which helped brand them and give the community a chance to take action and realize that they can do their part in this environmental movement. Extreme Park Makeover Description: Extreme Park Makeover is a very successful program due to the sponsorships and volunteer support from the Rotary Club of Hamilton. Working with volunteers from AAT School, this month long park makeover has helped improve shrub beds, plant trees, apply mulch and turf grass seed, remove graffiti, install benches, and refurbish signs and pathways. FPM3 had assisted with Extreme Park Makeover for two years in 2008 and 2009 by creating their logo and all printed materials including brochures and flyers, which promoted both events creating constant awareness of the campaign. The Flyers also promoted a “Green Outdoor Gym” which allowed the public to workout for free outdoors and keep maintaining the environment in mind. Team Up To Clean Up Description: The Team Up to Clean Up Program is intended to help maintain beautification and cleanliness throughout areas of the City of Hamilton all year round. These areas include local neighbourhoods, municipal properties, community parks, trails, parking lots, alleyways, streets and so much more. The program involves volunteers who are very passionate about keeping the community they live in, clean for future. Section A-3 - Technical Proposal (Services) (i) NBPSDHU main focus is of values to community engagement, organizational culture, educating health population in preparation, promotion, and preventative measures to improve health and overall quality of life. The website is to be a foundation for Health Unit to be able to provide the right direction/information to its community and as a resource pool for anyone to reference in taking the first steps for a healthy lifestyle or keeping up to date with the latest health developments. The website will also take advantage of social media avenues currently available and as more and more become available FPM3 will be there every step of the way, to help guide and advise on its marketing value for NBPSDHU. In order to maintain up to date with the latest information, news, articles, references, and government guidelines the system will allow for multi-level user logins with approval, editing, subscriber, and administration rights - all manageable through the CMS by members of NBPSDHU to add/remove users at will. Lastly a major component for any marketing efforts is being able to understand the impact of their website is to implement metric/measurement tools for the website. This includes Website Server AwStats, Google Analytics, and the latest in metric measurements, using a Heatmap. This Heatmap overlays pages of the website that monitors a user’s mouse movement to better understand where user’s are clicking, what they are clicking, even viewing what sections of the site they are scrolling to and where they stop. Please reference Appendix A for a sample of how the Heatmap technology will show when viewing your hotspots of mouse clicks on the site. (ii) Please refer to our module section of the proposal on Page 10 for a full outline of FPM3’s ability to manage and outline projects of this scale. (iii) Please refer to the critical path outlined in Appendix F and in conjunction the module breakdown description on Page 09 Modules of this proposal. (iv) This section can be referred to the following sections, Page 09 - “Approach to Deliverables Outlined”, Page 10 - Modules that outlines the management description for each area of development; and also Appendix F (as well as a separate, high-resolution print of the critical path). (v) Please refer to our “FPM Marketing & Design (FPM3) Key People” section of this proposal on Page 03 - 06 which refers to the team’s qualifications, experience, and commitment to the project. For communication tools and software to be used, please refer to Page 09 - “Approach to Deliverables Outlined”. Proposal for NBPSDHU - Website Redesign and Implementation | 08 (vi) Adam Oldfield, André O’Bonsawin, and Deep Chaggar will be appointed as NBPSDHU point of contact for all aspects of the project on consultation and marketing review of the companies current marketing and website efforts; and more specifically Deep Chaggar is appointed as the technical representative for any questions in regards to functionality of the website. Please also reference Page 09 - Modules section which outlines a descriptive approach for managing milestones and development for the website; as well as our outlined critical path in Appendix F (as well as a separate, high-resolution print of the critical path). (vii) Please refer to our section labelled “FPM Marketing & Design (FPM3) Key People” from pages 03-06 which outlines all individuals who will be responsible for the project and their relevant experience for this proposal. NBPSDHU focuses on the values of community engagement, organizational culture, the health population and the individuals it serves. Not only does the Health Unit cater major components for their vision and service. The approach to build and manage the site will be a step-by-step module approach to allow multiple sections and functions of the site to be worked on at the same time by different team members and ensuring quality control. Approach to Deliverables Outlined FPM3 proposes the use of Wordpress CMS technologies for the NBPSDHU website redesign and implementation. The approach to build and manage the site will be a step-by-step module approach to allow multiple sections and functions of the site to be worked on at the same time in order to meet the proposed deadlines. The details and explanations of both Wordpress and Module approach for the project are outlined in the text and pages below. FPM3 will be using BasecampHQ to monitor and keep all parties (FPM3 and members of NBPSDHU) up to date for the project as this is an online tool that can be accessed 24/7. Using this system allows end-users to view the deadlines, progress reports, tasks assigned to individuals, and files and images can be uploaded to be shared across all members involved in the project. The website itself will be built on a testing server (while leaving the current public site as is) which is invisible to public access (i.e., you cannot search for the website through a search engine), and can only be accessed with a known URL which will be provided to the client for reviewing purposes and hitting milestones. One key feature that we are including in this proposal is the use of our proprietary technology called The Mingle® which is a personal recorded message that plays on top of the website to greet the end-user and grabbing their attention right away with a message you want them to hear. FPM3 also proposes to include a Team page that showcases the committee members and key personnel listed with a short biography, a profile image, and their background and commitment to NBPSDHU’s goals and visions. This team page will help bring a face and identification to the end-user and bring a sense of community to be able to reach out and contact individuals of the team. The overall goal is to have people have a face they can relate to the organization and that the organization cares about who they are and that they are there for them; in part with the Mingle® on the homepage as well! Wordpress Wordpress started out as a blogging system, but over the years has expanded to a full content management system and is so much more with the growing expansion of its support base and community involvement. It is now the most popular and widely used CMS; from your basic mom and pop shops that have simple text and images about their business and posting pictures, to Fortune 500 website that allows for multiple-level user account logins, full authorization of posting, comment reviewing, simplistic social media integration, management of your database, and so much more. In recent years more and more people, small, large, and government organizations are using Wordpress as their CMS to manage their website. Please refer to Appendix A for a graphical representation of the uprising trend of Wordpress, data taken as of August 2012. Proposal for NBPSDHU - Website Redesign and Implementation | 09 Modules Managing an overhaul for a website that contains a large sitemap of pages/links within just the website’s navigation, managing/ coordinating website development is made easy when working with FPM3. Ensuring the project is kept on a timely manner is always a daunting task and FPM3’s approach to managing a project of this scale is by breaking down the components of the website to manage quality control and to create efficiencies by having teams working on multiple sections of the site at once. This approach is broken down in a descriptive manner for each module in the following pages. Please see Appendix B for a breakdown of costs for each module. I. Initial Meetings and Sitemap Layout II. Hosting This module encompasses the review, introduction, planning stages of the website which will by reviewed by the expertise staff of FPM3. These initial meetings are crucial in outlining the requirements, the direction, the website sitemap, and functions of the website. Project management of this stage will outline expectations and responsibilities of both parties throughout the duration of the project, and confirming critical path for both parties. Once an established critical path is set and meetings conducted for the website sitemap and both parties are in agreement, the first major step is to design both the main website homepage concept and subsequently the mobile homepage concept once direction is set forward with the main website homepage concept. Included in the design of the homepage is the placement of a Mingle®, which is our very own proprietary software of overlaying a video on your website in the latest web technology in HTML5; and as always the video also can be placed under Flash technology but as times are changing mobile device support for Flash is slowly dwindling and FPM3 is moving with the times. As development for the site is being put forward and functionality is being implemented, it is imperative both parties are involved in quality assurance and testing for the website. This will be handled by setting milestones in BaseCampHQ to create deadlines and testing phases for sections of the website and modules outlined. With the development of the website in PHP language, the flexibility of this language is open-sourced and allows for no additional cost for the language to be used; with it’s open-source nature, new solutions, new methods, and new development practices are always pushing this language to the forefront of web technology. With the advancement of tablets and mobile devices becoming more powerful as time goes on, you don’t want to be left behind in the Stone Age. To keep a consistency in branding and overall look of the website, the design will be catered to fit both desktop browsers and tablet devices for optimum viewing on major portable devices. As social media has taken off in the recent years and doesn’t show any signs of slowing down, FPM3 is going to keep focus on these giant social networks to help leverage the base already created by NBPSDHU efforts. FPM3 will update the designs of the associated Facebook/Twitter accounts to carry the brand and feel of NBPSDHU across and into the social media realm. Facebook has limited the amount of customization with their newly implemented Timeline as only small aspects can be customized, one being the cover page and secondly the icons underneath the cover called app covers. Twitter allows you to fully customize your background, profile picture, and overall theme of your site by changing URL colours and icons. As other social media avenues open up, FPM3 will advise and judge whether using the social media would be beneficial for NBPSDHU marketing efforts. Please reference Appendix C for samples of our social media designs. With the current staff of NBPSDHU stepping into the modern age of website’s it is critical that training is to be conducted with the staff members who will be maintaining the website. Training will be provided via webinars, in-person training, video training, and basic documentation. Training can be divided into segments or done all together at one time and as well as training/support can be provided post-launch of the website as needed. With a new website to be designed from the ground up, you want to match your hosting so that it too is up to speed and a part of today’s technology. FPM3 highly recommends moving to a PHP based server which allows for the installation/support for the installation of Wordpress CMS. Please see Appendix D for more details of the technical specifications for the hosting server. Proposal for NBPSDHU - Website Redesign and Implementation | 10 Summary of Budget Breakdown FPM3 proposes a retainer budget that includes a monthly cap that will be monitored on a biweekly basis. NBPSDHU will be provided with monthly timesheets on the work that was completed when invoiced. The first initial months will be the highest monthly retainers for the overall contract as the foundation is set in motion for the website to begin development which includes initial meetings, designs, and setting foundation for the backend of the website to match our outlined critical path. An example of this monthly retainer is as follows: a monthly ceiling cap is set at $15,000 (before taxes) along with a biweekly budget report provided to keep the client up to date in terms of expected costs for the end of the month. Once reaching 80% of the budget ceiling cap, i.e., $12,000, the client will be notified that they have reached this warning ceiling cap as FPM3 continues working vigorously on the project, once the ceiling cap reaches its limit, FPM3 will advise the client and hault any further work for the remainder of the month. Only with written consent, in the form of a fax and or e-mail by the client, will FPM3 exceed the cap for the month as both parties will have an extended agreement for that month. This method allows NBPSDHU to more accurately budget and plan their accounting practices and projections for the following months with expected costs. Please see Appendix H for the proposed retainer cost breakdown over the 4-month period of this contract and FPM3’s hourly rates. Hosting for the website is charged over a 12 month period only and is renewed every year and billed on the launch date of the site. This approach also gives NBPSDHU the possibility of saving money below the monthly cap as both parties work together in a more efficient and cohesive manner, as long as instructions, and meetings - the goals and objectives are outlined clearly. Please note, all values and assessments are based on no accessibility to the client’s current website hosting server, website code, and website statistics. Currently FPM3 is only able to establish the website is hosted on an ASP server and advise moving to a PHP server for the most security, flexibility, easy-to-maintain maintenance for North Bay Parry Sound District Health Unit’s fully functional CMS website through Wordpress. Critical Dates and Related Result FPM3 has provided a critical path for the project in correspondence of the outlined dates as presented in the RFP. In the critical path, specific dates outlined by NBPSDHU have been included as well as our projected timelines for the project and other responsibilities for both party members during the development of the website. Please see Appendix F for the full scope of the critical path. A timeline for maintenance is not included in the critical path as it will vary from month-to-month once the website has launched live and will be discussed and reviewed at this time.
