Closing date for entries is 12 noon Tuesday 3rd March 2015.

Please note that no paper confirmations will be sent out to competitors. A list of processed entries
will be available via the online entry front page and will be updated automatically after completing
the entry procedure.
Competitors are requested to check their details carefully and inform the National Entries
Administrator, Barry Saunders, immediately if there are any errors on 01423 885 326 (after 6pm) or
email national.entries@swimming.org (at anytime).

4. You will not be able to enter the event without uploading a photo first. This photo will be used for
your accreditation.
5. On the front page there is a link to the online entry; please follow the instructions completely to
the end of the process and ensure you submit your entry.
6. Please note that cheques will not be accepted as payment for entry fees.

All entries and the appropriate entry fee must be received online by 12 Noon on Tuesday 3rd March
2015. Entries will not be processed until payment has been received. Entries without fee and entries
incorrectly completed will not be accepted.
Additional Swims
Additional Swims, for swimmers who have already entered before 12 Noon on Tuesday 3rd March
2015 will be accepted after the closing date subject to availability and event timing, up to the
conclusion of the Technical Meeting accompanied by payment of £24 per event.
Time Trials
The entry procedure for the Time Trial events in the programme will be confirmed in the Team
Confirmation Pack issued after the initial closing date.
Data Protection Statement
British Swimming will use your personal data for the purpose of your involvement in British
Swimming events and I understand that by submitting my entry, I am consenting to receiving
information about the British Swimming event I am involved in by post, email, SMS/MMS, online or
phone unless stated otherwise.

Doping Control
Swimmers are warned that random doping control may take place during these championships.
Please ensure that you keep your accreditation on your person at all times, which incorporates your
photograph and will be needed for identification.
Baku 2015 European Games
Boys born 1997/1998 and Girls born 1999/2000 must complete the form on page 12 of this entry
pack and return to sarah.kennedy@swimming.org with a passport scan and passport style photo
head shot. Until this form is returned you will not be able to enter the British Championships. These
details are part of the VISA requirements for the Baku 2015 European Games.
Accreditation
Athletes will not be able to enter the competition without uploading a photo that will be used for
accreditation. If a photo was uploaded for the British Gas Swimming Championships 2014, British
Gas ASA National Age Group and Youth Championships 2014 or British Gas International Swimming
Meet 2013 this will be used. Swimmers who have uploaded photographs prior to these dates will be
required to upload a new up to date photograph.
Competitor & Coach accreditation will be issued from Monday 13th April at the Accreditation Desk
at the London Aquatics Centre.
Accreditation must be worn at all times inside the complex and swimmers will not be allowed to gain
access to the competition facilities without it. Accreditation is non-transferable and only one
accreditation pass will be issued - if this is lost or mislaid during competition you should report to the
British Swimming Accreditation Desk where a replacement accreditation will be issued at a cost of
£10.
Coach and Chaperone Pass
All coaches, chaperones and physiotherapists must have a valid photo accreditation to gain access to
the pool deck. Applications for coach/chaperone passes will be available online, please look out for
further details on the British Swimming website.
Applicants are advised the online Disclosure & Barring Service (DBS formerly CRB) process could take
up to 1 month to complete. All applicants must be registered with an ASA/SASA/WASA affiliated
club.
All applicants will have to complete a DBS (CRB) application regardless of any previous check carried
out through another organisation unless this has been registered with the DBS Update Service
www.gov.uk/dbs-update-service. All applicants must enclose 1 passport sized photograph.
'If you hold a disclosure that has been registered with the DBS Update Service, and you have not yet
given the ASA/SASA/WASA written consent to check the status, please submit your original
disclosure certificate along with a completed consent form to Sam Massey, DBS Coordinator,
Membership Services, British Swimming, Pavilion 3, SportPark, 3 Oakwood Drive, Loughborough

Consent form.
All passes will be sent out via the post, if you have not received your coach/chaperone pass one
week prior to the championship, then please contact Janice Munning on 01509 640261 or via email
at janice.munning@swimming.org It is the responsibility of the individual coach to ensure their pass
is received prior to the event.
Video and Photography Policy
British Swimming and the ASA is becoming increasingly concerned about the new wave of mobile
telephones with a photographic capability, enabling the capture of both static & moving images.
Used responsibly, such devices are perfectly safe, but sharing images widely may betray a
confidence or even an identity & such information may help those who might want to harm children.
The use of such equipment is difficult to control but we can all be vigilant & if you have any concerns
in this area, please bring them to the attention of someone responsible.
This event will be photographed and videoed. Static images will be displayed on the website
www.swimming.org at the venue and used to promote the sport at this event and events in the
future. Moving images will displayed at the venue and on the live stream via www.swimming.org.
British swimming and the ASA work closely with our experts to ensure that in making these images
available to enhance the presentation of the event; we are not putting any children at risk in any
way. If you have any concerns please refer to ASA Wavepower document section 2.5, pages 8485.The document can be found HERE.
The following is taken from the new ASA Data Protection notice and relates to photography and
video images for all events. Recording images: The ASA and British Swimming may record the
competition events in which you participate and general images of swimmers will form part of the
information we hold and use. In addition to the purposes for general information set out above, the
ASA and/or British Swimming may use these recordings and images for the purposes of education
and training, swimmer analysis, performance, development, selection and event promotion.
If Parents/Guardians/Swimmers have any concerns with their child/themselves being
photographed/filmed at our events please complete the Refusal of Consent Form, which can be
found at the end of this pack and return to British Swimming Events Department, Pavillion 3, Sport
Park, 3 Oakwood Drive, Loughborough University, Leicestershire, LE11 3QF.

EVENT CONDITIONS
1. General Conditions
a) The British Swimming Managing Board (“the Board”) reserves full powers over the British
Swimming Championships (50m).
b) The Competition shall be held under FINA Rules and the British Swimming Judicial Code.
Where FINA Rules do not provide (e.g. Health & Safety Regulations or Child Protection
Guidelines) the requirements of the ASA shall apply to events held in England.
c) Entries may only be accepted from competitors registered as members of the ASA, SASA or
WASA, or competitors from one of the countries affiliated to FINA. Where required to do so,
competitors shall present their passport for age verification to the National Entries
Administrator, or other authorised person, not later than 15:00 hours on the day before the
Competition begins.
d) A competitor must be a registered member, or equivalent, of the club in whose name he is
entered, at the date of making the initial entry. This club must be offered by the online entry
system. Swimmers may enter in the name of one club only.
e) Junior competitors - for the European Games (EG) male competitors will be born 1997 or
1998 and female competitors born 1999 or 2000. For European Youth Olympic Festival
(EYOF) male competitors will be born 1999 or 2000, and female competitors born 2001 and
2002.
2.
The Events
a) Individual events:
50m, 100m, 200m, 400m, 800m (Female) and 1500m Freestyle (Male),
100m, 200m Backstroke, Breaststroke, Butterfly
200m, 400m Individual Medley
b) Individual Time Trial events:
800m (Male) and 1500m (Female) Freestyle, 50m Butterfly, Backstroke, Breaststroke
Time Trials will be restricted to the fastest eight (8) swimmers who must also have entered
one of the competition events (see 2a above)
3. Entries
a) Entries shall be received by the appropriate Entries Administrator (“the Administrator”) by
no later than the ‘closing date’ i.e. 12 noon on Tuesday 3rd March 2015, accompanied by the
appropriate entry fee (£12). Additional entries submitted from existing entrants after the
closing date may be accepted, subject to availability and event timing, up to the conclusion
of the Technical Meeting accompanied by payment of twice the appropriate entry fee (£24).
b) There will be no entry fee payable for Time Trials.
c) Only times achieved in a 50m pool are accepted for entry, no converted times will be
accepted.

d) Entry times for all individual events from ASA, SASA, WASA entrants must be recorded in the
British Swimming Rankings from Swimming Competitions designated or licensed for entry
into National competitions since 3rd March 2014.
e)
Entry times from competitors of other countries affiliated to FINA must submit times that
are recorded in the Long Course FINA Rankings or Long Course Swim News rankings; or in
official meet results from a National Governing Body sanctioned competition in a 50m pool
and be achieved since 3rd March 2014.
f)
Split Times, either intermediate distance or first leg of a relay race are not acceptable for
entry.
4. Meet Procedure
a) All events shall have heats and finals, with the exception of the Mens 1500m & Womens
800m Freestyle which shall swim the Fastest Heat in the appropriate Finals Session.
b) Heats – Heats shall be seeded in accordance with FINA rules.
c) Finals - Only competitors eligible to represent Great Britain may progress to any Final.
d) There will be one Open Final and two Junior Finals (an EG Final and an EYOF Final) in all
events. The two Junior Finals will comprise one for European Games (EG) age groupings
(male competitors born 1997/1998 and female competitors born 1999/2000) and one for
European Youth Olympic Festival (EYOF) ages (male competitors born 1999/2000, and
female competitors born 2001/ 2002).
e) The fastest eight competitors from the heats irrespective of age shall be allocated places in
the Open final, plus two reserves.
f) The next fastest eight age-eligible Junior competitors shall be allocated places in each of the
two Junior finals, plus two reserves. A competitor in a Junior Final may also be a reserve for
the Open Final and will be moved to the Open Final as necessary, with the respective Junior
reserve taking the vacant place in the Junior Final.
g) If a Junior withdraws from the Open Final, they will no longer be eligible to progress to the
respective Junior Final.
h) Competitors whose entries have been accepted will be expected to swim unless they have
complied with the withdrawal procedure.
5.
Withdrawal from Heats
a) Withdrawals must be made by the end of the Team Leader Meeting for day 1 swims, and by
12 noon on the day before for all subsequent days.
6.
Withdrawal from Finals
a) Finalists and Reserves, not wishing to swim, shall notify the Chief Recorder of their intention
to withdraw no later than 30 minutes after the conclusion of the last individual event in the
Session in which they have qualified for the next round. The withdrawal shall be made on
the official withdrawal form.
b) Competitors withdrawing on medical grounds after the expiry of the imposed deadlines shall
have their withdrawal endorsed by the Executive Director.
c) Reserves will be released 1 hour prior to the start of the finals session.
d) Where a reserve is brought in at short notice, the event will not be reseeded.

7.
Call Room
a) Swimmers must report to the competition stewards in the call room for heats and finals and
follow their direction. It is your responsibility to report in good time for your event.
b) Finalists are required to report to the Call Room in sufficient time and be available to parade
for their event. They must enter the Call Room ‘race ready’ as under normal circumstances
having entered the Call Room they should remain in its confines until lead onto the pool
deck for their race. Upon entry, the athlete must ensure that they report to a Steward and
be registered as being present in the Call Room.
c) Coaches/chaperones will not be allowed in the call room area during the finals at anytime.
8.
Medals
a) Medals shall be awarded to the competitors placed first, second and third in the Open Final
only
9.
Officials
a) Technical Officials shall be selected from lists approved by British Swimming.
10. Doping Control
a) Competitors taking part in the Championships may be subject to random doping control
b)
Competitors are required to bring and have with them at all times either a passport or other
form of identity incorporating their photograph.
11. Team Leader Meeting
a) It is a requirement for a representative from all clubs with swimmers entered in these
Championships to attend the Team Leader Meeting which will take place on the evening of
13th April 2015. The time and location will be notified in the competitor confirmation pack
