Title:
Coordinator, BC Peace River Grain Industry Development Council (Council).
General Responsibility: Administration of Council Business

Engagement Status:
Service Agreement reviewed after six months and annually thereafter.

Council is seeking an individual with Agriculture industry knowledge, self-motivated, with good customer relations to
assume the duties of Coordinator. It is expected that a new Coordinator will begin to assume duties in September 2015,
working with the current Coordinator over a period of six months to learn the role during the busy part of the year.
Target date for selection is June 2015.
You will assist Council by providing administrative assistance including:







Preparing meeting agenda, information packages for directors, booking venues and associated items, recording
minutes, correspondence, and completing actions assigned. There are normally 6 to 8 meetings per year.
Receiving and depositing funds, monthly reports to book keeper, reviewing and reporting financial status to
Council.
Recording grain levy data in MS Access database, monitoring grain companies for compliance, and reporting levy
totals to Council.
Receiving and reviewing applications for funding, presenting to Council, communicating results to applicants,
preparing approval documents and forwarding funds, monitoring projects for final reports and fund
reconciliation.
Annually receive and review producer requests for refund of levy, verify requests which also comprise an audit
sample of grain company reports.
Preparing annual reports to Ministry of Agriculture, assisting auditor and book keeper with annual audit.
Maintenance of Council files and documents, update Policy & Procedures, correspondence and other assigned
tasks.
Preferred experience will include:





Ability to communicate orally and in writing; and work with directors to fulfill Council mandate.
Demonstrated experience in the agriculture industry.
Program management.
Intermediate ability with MSOffice programs, particularly Word, Excel, and Access.
Understanding of standard financial software & reports. Book keeper maintains financial records, but
Coordinator presents to Council.
Terms of Engagement:






Initial Service Agreement will be reviewed after six months, and annually thereafter.
Fees for service, travel, and expenses to be agreed upon in advance in the Service Agreement. Nominal Council
operating expenses to be paid by Coordinator and invoiced at each meeting.
Coordinator invoices for service and expenses as a self-employed contractor.
Coordinator is responsible for all Health and Safety, Payroll taxes and Work Safe BC requirements.
Hours per month required vary on work load. It has been anywhere from 20 to 70 hours per month.
Residence within the BC Peace region; travel within the region is expected.
