The Bloorcourt Business Improvement Area Request for Proposals for Website Re-Design & Social Media Co-ordination Bloorcourt BIA Background: Located along Bloor Street West, from Montrose Avenue to Dufferin Street, Bloorcourt, which has been an established BIA since 1979, is well known for being a well-balanced neighbourhood with a great variety of shops and services, catering to all tastes and ages. Our multicultural community includes Portuguese, East African, Italian, Greek, Japanese, Korean, Ukrainian, and Jamaican to name just a few. A well-known shopper attraction is the Long & McQuade Musical Instruments store, a strong supporter of the musical arts community. As of May 2015, the Bloorcourt BIA is comprised of approximately 300 businesses. Project Description: The Bloorcourt BIA will retain a consultant/agency to re-design the existing website and build our social media presence. Target audiences include residents, visitors, businesses (existing & potential), property developers and investors. This Request for Proposals includes both the redesign and social media co-ordination. An “About Us” page which will list our vision & mission statements, history & Board of Directors 2. BIA Business Directory 3. BIA Events section 4. BIA News section 5. BIA page specifically dedicated to our Annual Bloorcourt Arts and Crafts Fair 6. BIA Map 7. BIA page dedicated to our Streetscape Initiatives 8. A login page for our Membership where member-specific information can be found and shared 9. A live “feed/link” to social media channels accessible on the front page of the new website Deliverables of the Web Designer Carry out the project goals as outlined above and others as may be jointly agreed upon over the term of the contract Provide monthly progress reports to the BIA Board of Management Migration of existing website content to new website Re-design of the new website by September 1, 2015 For Social Media Co-ordination: Building the following of the existing Facebook page through encouraging new “likes”& facilitating BIA business participation and interaction online. The creation of Twitter & Instagram accounts and building a following by posting Bloorcourt BIA related “tweets” and posting pictures on Instagram of locations/items within the BIA boundary. Monitoring posts and feedback on all three social media channels. The creation & distribution of a flyer/poster to BIA members informing them of all three social media channels The creation & distribution of a flyer/poster directed to the community informing them of all three social media channels. Deliverables of the Social Media Coordinator Carry out the project goals as outlined above and others as may be jointly agreed upon over the term of the contract Provide monthly progress reports to the BIA Board of Management Contract will be for a 6 month period The Bloorcourt BIA has limited funds for this project. Proposals must reflect this accordingly. Bloorcourt BIA Website & Social Media RFP May 2015 Page 2 Deadline for submissions: Deadline for submissions is 5:00 p.m. on Tuesday, May 12, 2015. It is our goal to award the contract by the end of May 2015. Proposals and enquiries should be submitted electronically to: Simone Weir, Bloorcourt BIA Coordinator: info@bloorcourt.com TERMS & CONDITIONS (1) The B.I.A. may accept or reject any or all Proposals, at its absolute discretion. Proponent’s Obligations (1) Each proposal must be based on the information contained herein and the Proponent’s own knowledge, information, skill and judgment. (2) By submitting their proposals, Proponents will be taken to have agreed to be responsible and liable for all aspects of the Services to be performed and assume all risks inherent in providing the Services based on reasonable commercial expectations and best business practice. Agreement (1) This RFP is not to be construed as an agreement, offer or undertaking to acquire Services. (2) Any award of any agreement resulting from this RFP will be in accordance with the by-laws, policies, and procedures of the B.I.A. (3) The award of any Agreement will be at the absolute discretion of the B.I.A. and no Proposal, or part of a Proposal, will necessarily be accepted. (4) The B.I.A. reserves the right to enter into negotiations with a Preferred Proponent in the event that its Proposal does not entirely address the requirements of the B.I.A. (5) The B.I.A. shall have the right to request clarifications of any Proposal and negotiate with the Preferred Proponent where it considers appropriate, for any reason. (6) Negotiations may relate to changes of technical nature or content, Agreement details and payment schedule, and may address Proposal content with respect to performances of Services, scope of Services, delivery, and other requirements and expectations of the Proponent and the B.I.A. (7) Any agreement resulting from this RFP will be drafted in form and content satisfactory to both parties. (8) Proponents are required to identify any terms and conditions they wish to take exception to and provide clarification of the exception in their proposal. (9) Any changes to the Services shall be executed under the conditions of the original Agreement once the Vendor has obtained written approval from the B.I.A. to proceed with such changes. (10) A Vendor shall not have the right to assign its Agreement nor any interest therein nor subcontract the performance of any service or the supply of any product without the prior written consent of the B.I.A.
