Administration Officer - Yarra Ranges
Eastern Community Legal Centre seeks equality and social justice within the legal system for
disadvantaged members of the community. This is addressed through legal services and community
development initiatives provided by volunteers, professional staff and community partners. The service
covers six municipalities in Melbourne’s east and has been operating as an independent non-profit
community agency since 1974.
POSITION CONTEXT
ECLC operates from three bases in the eastern region. The Inner East office is located in Box Hill and
provides assistance to residents in the Cities of Boroondara, Whitehorse and Manningham. The Outer
East office is located in Boronia and provides assistance to residents in the Cities of Maroondah and
Knox. The Yarra Ranges office is located in Healesville, and services residents in the Shire of Yarra
Ranges and surrounds. All offices work closely together.
The Centre is committed to working with its community utilising a variety of direct legal services and
community development strategies. While this role has an administration focus to support the
organisation as a whole and the legal team, all staff are expected and encouraged to have some
involvement in the community development and education work of the Centre.
This role will be a key member of the Yarra Ranges (Healesville) team, working closely with
administration staff at other locations, while having some agency-wide responsibilities.
KEY RESPONSIBILITY AREAS
1.
Information Provision and Reception
1.1.
Co-ordinate reception and front office services and areas to ensure clients and other
service users receive a high level of customer care.
1.2.
Provide people who contact the Centre with relevant information, appropriate referrals to
other agencies or appointments.
1.3.
Maintain and update referral register of information about other community and
government agencies.
1.4.
Maintain and update the Centre’s legal library, based on advice from relevant staff.
1.5.
Assist volunteers in performing front office reception, administration and data entry.
1.6.
Formulate and implement strategies to improve information management.
1.7.
Ensure that policies and procedures relating to the provision of information services are
adequately administered and followed by staff and volunteers.

Administration
2.1.
Maintain appropriate filing systems and administrative procedures.
2.2.
Ensure that the records and files of the service are administered within the policies and
procedures of the Centre.
2.3.
Co-ordinate regular file destruction of archived client files.
2.4.
Provide some administrative support to Centre staff including filing and preparing
correspondence.
General
3.1.
Maintain a teamwork approach at all times.
3.2.
Ensure compliance with Centre policies and procedures.
3.3.
Provide input to the review and development of the Centre’s policies and procedures.
3.4.
Undertake training/professional development where appropriate.
3.5.
Participate in Centre planning and evaluation.
3.6.
Other relevant duties as directed.
KEY SELECTION CRITERIA
Essential









High level of written and oral communication skills with a diverse range of people,
community groups, agencies and government departments.
Demonstrated organisational and administrative skills.
Demonstrated ability and/or willingness to share a key administration role.
High level computer skills, including utilising online systems
Demonstrated capacity for resourcefulness, self-motivation with an ability to manage
competing and complex work priorities.
Ability to work with volunteer staff.
Ability to work independently as well as under the direction of a supervisor.
Ability to deliver services in a culturally sensitive manner to all sections of the
community.
Commitment to the principles of equity, access and social justice.

EMPLOYMENT CONDITIONS
Position:
Administration Officer – Yarra Ranges
Accountability:
Employees are accountable to the CEO on behalf of the Board.
Supervision and support is provided by the Co-ordinator – Yarra Ranges.
Location:
Healesville.
Conditions:
Part-time / 2-3 days (15-22.5 hours) per week by negotiation from June
2015 to July 2016.
A 3-month probationary period applies.
This position is a parental leave replacement position and any extension
beyond the contractual period is dependent on both the continuation of
external funding and staffing considerations.
Terms and conditions are based on those contained in the Eastern
Community Legal Centre Enterprise Agreement 2013-2016 and applicable
legislation.
Remuneration:
Salary package in the range of $46,700 - $56,800 per annum (pro rata) will
be negotiated with the successful applicant based on qualifications, skills
and experience. This comprises cash salary ($38,000 - $48,000 per annum
pro rata), plus employer funded superannuation in accordance with the
Superannuation Guarantee (Administration) Act 1992 and salary packaging
available as soon as practicable from commencement.

Self Referral:
It is Centre policy that no staff member or volunteer shall, under any
circumstances, refer work to themselves, their families or other members of
their firms.
Travel:
The position will require attendance at alternate locations, including other
Centre offices (Boronia and Box Hill), in addition to occasional evening
commitments. Generally, employees utilise their insured and roadworthy
private vehicles with travel costs reimbursed.
No Smoking Policy:
It is Centre policy that smoking is prohibited in all buildings leased, owned,
or otherwise under the control of ECLC.
