Exhibit Assignment Policy
Exhibit locations will be assigned on May 1, 2015, in accordance with the following criteria:
1. Date of registration. Applications received after May 1, 2015, will be assigned in the order they are received.
2. Full payment of exhibit space per Terms of Payment
Registered exhibitors will have an opportunity to select an approximate exhibit location, the week of April 20, 2015. The meeting
organizers reserve the right to reassign exhibit space when deemed in the best interest of the meeting.
Cancellation Policy
Requests for cancellation of reserved exhibit space must be made in writing. Refunds less a $1000 administrative fee will be granted for requests
received on or before May 20, 2015. After this date, refunds for reserved space will not be granted. No refunds will be given for space left
unoccupied during the symposium.
Badge Policy
Exhibitor badges are reserved for company staff and will be labeled EXHIBITOR, along with the name of the registered company. All
exhibitors are required to clearly display the official meeting badge, which allow access into the Exhibit Hall and educational
sessions. Exhibiting companies will have the opportunity to register their staff after completing exhibit registration on the Exhibitor
Center. Each Table-Top exhibit is entitled to two (2) exhibitor badges, and additional badges may be purchased for $595 each. The
deadline to register/change/cancel representatives is June 15, 2015.
Mailing List
Each registered exhibitor will receive a pre-registration list via e-mail the week of June 8. A final registration list will be sent
approximately three weeks following the meeting. The list will include the names, designations, mailing address and specialties of
FIU International Medical Congress attendees. Use of the lists is restricted to one time and limited to information directly connected
with the meeting.

EXHIBITOR TERMS AND CONDITIONS
Organizations and companies exhibiting at the 2015 FIU International Medical Congress must comply with the terms and conditions
outlined below. The meeting organizers reserve the right to make decisions onsite regarding exhibit layout and conduct of
exhibitors that detract from the overall presentation of symposium and if necessary will ask exhibitors to make adjustments in order
to maintain the integrity of the Exhibit Hall.
The 2015 FIU International Medical Congress observes the official International Association of Exhibitors and Events (IAEE) display
rules and regulations for exhibits.
Exhibit Regulations

Name and addresses of the Company Representatives must be provided to the FIU exhibit coordinator no later than June
15, 2015.

All installations and removal of equipment and supplies must be done by the registered Exhibitor representatives (the
“Exhibitor Representatives”).

Exhibitor must abide by all Hotel policies. They are available to Exhibitor by request to the Hotel. The Hotel is entitled to
remove any Exhibitor who fails to abide by Hotel policies and / or Florida law without recourse to the Exhibitor. In the

The Exhibitor hereby indemnifies and holds the Universities harmless from and against any liability, damages, actions,
causes of actions, claims, judgments or settlements arising out of Exhibitor’s failure to meet the requirements of applicable
State of Florida, federal and local law.
Americans with Disabilities Act
All exhibits must comply with all applicable State of Florida, federal and local laws including, without limitation, the Americans with
Disability Act (“ADA”) governing the construction, and use of exhibit space. Florida International University Herbert Wertheim
College of Medicine and University of Miami Miller School of Medicine will not be responsible for exhibits that are not in compliance
with ADA Requirements.
Attendance in Exhibit Hall/Badge Control
Exhibit Hall attendance is restricted to qualified exhibitors, those certified by exhibitors and those covered under the symposium
general registration procedures. The official meeting badge must be worn whenever an exhibitor is in the Exhibit Hall. Badges must
be clearly displayed at all times.
Conduct of Exhibitors
• Exhibits must be staffed at all times during Exhibit Hall hours.
• Distributing advertising materials outside the exhibitor’s own exhibit is prohibited.
• Noise associated with electrical and mechanical equipment must be at a minimum and may not interfere with other exhibitors.
• Exhibitors may not enter another exhibitor’s exhibit without permission.
• Entertainment or demonstrations of non-product items or services must be approved in writing by meeting management.
CME Compliance
All exhibitors are expected to comply with the Accreditation Council for Continuing Medical Education (ACCME) Standards for
Commercial Support.

Distribution of Product Information
Distribution of printed materials by industry or its agents is limited to the exhibit area in the Exhibit Hall. In accordance with ACCME
standards, product information cannot be distributed at any scientific sessions or in hotel lobbies. Companies may not display or
demonstrate products, solicit orders or distribute advertising materials at any location other than their assigned exhibit space.
Distribution of product information by companies that are not registered exhibitors will not be permitted.
Exhibit Hours
Exhibitor agrees to follow the official move-in and move-out schedules as outlined in the Exhibitor Prospectus. The meeting
organizers reserve the right to make modifications to the schedule if it is determined to be in the best interest of the meeting.
Exhibit hours will be strictly enforced. Early breakdown of exhibits will not be permitted for any reason.
Fire Protection
All materials used in the Exhibit Hall must conform to local fire ordinances and be in accordance with regulations established by the
National Association of Fire Underwriters. All displays are subject to inspection by the fire marshal. Aisles and exhibits must be kept
clear at all times. Access to fire extinguishers and fire hoses may not be obstructed at any time.
Liability
The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of exhibitor’s activities within
the hotel premises, and will indemnify, defend and hold harmless the Eden Roc Miami Beach, Complete Conference Management
and the ISVS, their management companies, as well as their respective agents, servants and employees from any and all such
losses, damages and claims.
Photographing, Videotaping and Audio Recording
Written permission is required for videotaping, photographing and audio recording in the Educational Sessions and Exhibit Hall. This
includes the use of cell phone cameras.
Sales and Order Tracking
Exhibitors selling or taking orders must adhere to all business licenses and sales and use tax regulations that vary from state to state.
The meeting organizers reserve the right to restrict sales activities that it deems inappropriate or unprofessional.
Security
Company Representatives are expected to provide exhibit coverage during the viewing hours of exhibits. Neither hotel nor the
Universities assumes responsibility for the security or safety of the property placed at the Exhibits. Damage to the site property or
premises occurring as a result of actions of Exhibitor Representatives or their guests shall be paid for by the Exhibitor and Exhibitor
hereby indemnifies and holds the Universities harmless from and against any liability, damages, actions, causes of actions, claims,
judgments or settlements arising out of or in connection with the Exhibitor’s exhibit space or Exhibitor’s use of Hotel premises.
Terms and Conditions Compliance
Completing the online Exhibitor Registration acknowledges a binding contract when submitted and indicates the applicant’s willingness to abide by
all terms, conditions and general rules and regulations listed in this exhibitor prospectus. The terms and conditions may be amended at any time by
the meeting organizers and such amendments will be deemed binding. The representative submitting the application agrees to share the terms
and conditions with all exhibiting company representatives who attend the 2015 FIU International Medical Conference.
