Executive Director / co-CEO Rock Surfers Theatre Company Position Description and Application Pack Formed in 1997, Rock Surfers Theatre Company is one of Australia’s leading new work companies, Resident Theatre Company of Bondi Pavilion Theatre at Bondi Beach, through the support of Waverley Council. As the company approaches a sixth Bondi Pavilion season and 18 years of operation in 2016, the Rock Surfers are seeking an experienced manager to take on the role of Executive Director to head up management and strategic direction of the organisation, alongside recently appointed Artistic Director/co-CEO Shane Bosher. Governance Rock Surfers Theatre Company is a company limited by guarantee, and is governed by a Board of Directors. The Executive Director is a Board Member as co-CEO. The Artistic Director is also a Board Member as co-CEO. Together these roles develop and realise the company’s strategic, financial and artistic goals. Reporting / Working Relationships: Reporting The Executive Director is co-CEO, with the Artistic Director. The Executive Director reports to the Rock Surfers Theatre Company Board. Direct Reports Administration Assistant, Marketing and Program Coordinator Production and Front of House Casuals Project based staff report to the Executive Director EMPLOYEE ENTITLEMENTS AND EMPLOYMENT CONDITIONS Engagement This is a permanent part-time position, four days per week. The Executive Director will commence in late May 2015 (pending availability) and will initially lead strategic, financial and funding development in collaboration with the Artistic Director in planning the 2016 season. Remuneration $60,000, pro rata 4 days per week (actual annual wage $48,000) Superannuation Superannuation is paid to all full-time and permanent part-time employees, 9.5% of salary (increasing to 10% of salary from 1 July, 2015). Annual Leave This position is entitled to 16 days annual leave per year. Personal Leave This position is entitled to up to 8 days personal leave per year. Please submit applications directly to Michael Brown Executive Director, Rock Surfers Theatre Company michael@rocksurfers.org If you wish to discuss details of the role prior to submitting your application, please do not hesitate to contact Michael Brown Executive Director, Rock Surfers Theatre Company michael@rocksurfers.org 0403 004 037 POSITION DESCRIPTION & RESPONSIBILITIES Management and Strategic Direction • Manage Rock Surfers staff and office operations. • Develop and deliver the company’s business, strategic and financial plans, supporting the artistic vision. • In consultation with the Artistic Director, manage the planning and delivery of an annual artistic program of works that supports the vision, mission and goals of the organisation. • Manage the Company’s relationship with Waverley Council and all matters regarding the Bondi Pavilion Theatre and the company’s appointment as Resident Theatre Company. • Manage internal staff and Board relationships and external relationships including but not limited to: theatre sector, local business, Waverley Councillors, etc. • Manage the company’s compliance with all relevant legal obligations and other requirements from funding bodies, legal entities, government regulators e.g. ASIC, ACNC and ATO. Financial Management • Responsible for overall financial management of organisation. • Develop and monitor the annual operating budget and long term financial plans; monitor and maintain the budget, cash flows and balance sheet, in consultation with Accounting contractors, and provide reports as required. • Responsible for financial management of projects, including ensuring all artistic projects run to budget. • Manage the company’s revenue generating activities including bar/function hospitality business of Bondi Pavilion, and Bondi Pavilion Theatre venue hire. • Manage day-to-day operational financial processes e.g. banking, petty cash, floats. Personnel and Human Resources • Negotiate or delegate the negotiation of all staff contracts and guest artists and support personnel contracts, including conditions of employment, rates of pay, Certified Agreements and royalties where appropriate. • Responsible for recruitment, ongoing management of staff and contractors. • Responsible for management of staff team including Company Manager, Marketing and Program Coordinator, and Front of House and Production casuals. Management and maintenance of these roles includes recruitment, induction and training, Performance Appraisal and Professional Development processes and provision of a positive culture of the organisation. • Ensure the organisation engages in best practice employment practices including but not limited to Award Rates, upholding National Employment Standards, Equal Employment Opportunity and Anti-Discrimination. Producing • Co-ordinate for Rock Surfers artistic program including project management; contract development and negotiation; management of contractors; and supervising contract producers. • Manage Marketing functions of the company to ensure ticket sales and revenue targets are met. • In conjunction with the Artistic Director, develop the company’s programs and activities with particular attention to budgets, schedules, logistical planning, resourcing and analysis, including managing staff and contractors to deliver required outcomes in these areas. • Manage co-productions, co-presentations, transfers and local, and national tours of Rock Surfers productions. • Oversee the successful negotiation and management of all contracts for performance rights, copyright and other rights. • In collaboration with the Artistic Director, proactively pursue and secure future opportunities for new Rock Surfers works e.g. national touring opportunities. Venue Management • Ensure the upkeep, cleanliness, and safety of the Bondi Pavilion Theatre and Bondi Pavilion bar. • Manage venue hire programs including enquiries, quotation, calendar management in consultation with other users of the venue e.g. the Artistic Director, • Manage the relationship with Bondi Pavilion services staff with respect to theatre and bar maintenance Fundraising / Funding • Manage the Philanthropic and Sponsorship fundraising activities of the company, in consultation with the Artistic Director and the Rock Surfers Board. • Strategise and prepare for funding and philanthropic grant applications in line with the artistic and strategic plan, and respond proactively to changing funding priorities and opportunities. Marketing • In consultation with the Artistic Director, develop and manage marketing, branding and publicity strategies for the company, retaining audience development as central to business and program planning. • Manage Marketing team (including Marketing Coordinator and Contract publicists) in the delivery of marketing supporting artistic programs, including e-news, social media, photo shoots, development of print materials, etc. Advocacy and Company Development • Represent the company publicly as a spokesperson in media, and public speaking engagements as required. • Build and manage relationships in the theatre sector including with artists, other theatre companies and festivals, peak bodies, unions; and with other stakeholders at various levels including three tiers of government, and private sector e.g. sponsorships • In consultation with the Artistic Director, develop business initiatives and build and maintain relationships that support the company’s business and strategic goals including venue hire and hospitality. Governance • Take a leadership role in development and establishment of company policy and strategic and operational business plans, in consultation with the Artistic Director and as approved by the Board of Directors. • Plan, attend, and participate in Board meetings and strategic planning sessions. • Manage efficient Board function and legal reporting obligations. KEY COMPETENCIES / PERSONAL QUALITIES • Ability to provide leadership and work in a highly collaborative manner in a small team environment. • Ability to work autonomously and develop, implement and evaluate plans, procedures, and policies. • Ability to maintain effective interpersonal and professional relationships across a wide range of internal and external stakeholders in the performing arts and wider networks. • Highly developed negotiation and conflict resolution abilities. • Ability to communicate clearly, concisely and effectively, both verbally and in writing. • Sense of humour. • Ability to problem solve. • Strong organisational and time management skills including ability to prioritise, multi task, and deliver results under pressure. • Strong degree of self-awareness and ability to use strengths, and address and work on weaknesses. • Strong computing skills in a range of programs and online tools including but not limited to Microsoft Office Suite, Dropbox, Google Apps, Wordpress platform and (desirable) Adobe Creative Suite. SELECTION CRITERIA Applicants must address each of the Selection Criteria in the Letter of Application Essential • At least five years experience in the performing arts sector, with at least three of those years in a similar position, and evidencing a thorough working knowledge of the Australian theatre and live performance sector. • Demonstrated experience in team leadership and/or management in the performing arts sector. • Demonstrated experience in project management/producing including high level organisational and time management skills; and demonstrated ability to plan, deliver and evaluate programs/projects. • Demonstrated financial management competency including budgeting, financial planning, and reporting. • Demonstrated high level written and verbal communication and interpersonal skills, negotiation ability, and experience in managing a wide range of stakeholders. • Demonstrated experience in marketing, audience development and publicity. • Demonstrated experience in business planning and government funding. Desirable • Degree Qualifications in an Arts or Management discipline.
