1 Objectives
These Logistics Guidelines set forth the basic requirements that a supplier must fulfill in order to
maintain a supplier relationship with MAHLE Behr Group. These stipulations must be complied with
when developing, structuring and planning logistics concepts.
The MAHLE Behr Logistics Guideline is provided with the proposal documents to candidate
suppliers of the MAHLE Behr Group. This Logistics Guideline supplements the MAHLE Behr
Conditions of Purchase in the current version. Upon signing the minutes of the supplier kick off
meeting or accepting the letter of intent or another agreement, the supplier agrees to comply with
MAHLE Behr’s general and specific logistics requirements.
When submitting proposals, the other applicable documents as listed in the Appendix must be
completed and returned to the buyer. The Logistics Datasheet and the general logistic agreement
are not included in the Appendix of these Guidelines. If these documents have not been made
available by the buyer, they must be downloaded from the MAHLE Behr-homepage. Only complete
offers including the other applicable documents will be considered:

MAHLE Behr reserves the right to conduct routine logistics audits at suppliers’ premises to verify
and assess the logistics systems, including compliance with all logistics requirements of this
Guideline. The purpose of the audits is to promote continuous improvements in quality, supplier
performance, flexibility and cooperation with the supplier. As a general rule, suppliers that meet in
full the requirements of the Logistics Guideline, and supply products and services of high quality at a
competitive price on schedule will continue to be considered for supplying ongoing and new
products.
Please carefully read through this MAHLE Behr Logistics Guideline. Should any questions
concerning it arise, please contact your assigned contact person.

2 Structure of Guideline
The Logistics Guideline is presented in three sections with its first part – Section 3 – describing all
requirements that apply generally worldwide.
Specific requirements in various economic regions of the EU are described in Section 4 and then
plant-specific parameters are presented in Section 5. Defined in the subsequent section are the
requirements for the USA (Section 6,7), Brazil (Section 8), South Africa (Section 9, 10) and Asia
Pacific (Section 11).
The Contact Persons for the MAHLE Behr Central Functions are named in Section 12. The
concluding Section 13 gives an overview over all MAHLE Behr Production Sites.

3 Globally Valid Standards
3.1 Rules for Cooperation
To more effectively structure cooperation, the following rules must be observed.

Obligation to provide information
Inquiries and clarifications shall be answered immediately by the supplier. If the required
information is not immediately available, a deadline for sending this on must be agreed with
the contact person.

Availability of contact persons
For the supply process, contact persons and their representatives who are in a position make
decisions competently and reliably shall be listed as contacts representing MAHLE Behr. It
must be possible to personally contact the assigned persons during MAHLE Behr’s
production times. They are to be assigned at the time of bid submission (Appendix 3). One
contact that is available 24 hours must be named for emergencies.


The persons responsible for materials planning and supply shall be informed immediately if
any shortfalls in deliveries are anticipated.

Notification of changes
Notice must be given of any plans to change the production or shipping location, and these
must be approved by MAHLE Behr’s buying, dispatch, quality assurance and logistics
functions.

Factory calendar
The supplier has to submit the factory calendar as well as the working shift models biannual
to the respective MAHLE Behr plants. Moreover changes must be announced early.

3.2 Basic Requirements of the Delivery Service






Agreed delivery dates are binding. The determination for meeting the delivery deadline is
dependant on the agreed conditions of supply, the time at which the goods are received at
the unloading location named by MAHLE Behr or that the goods are made available on time.
MAHLE Behr is under no obligation to accept shipments arriving prior to the agreed date or
part-shipments for which no agreement has been made. This applies even if there are
obvious deficiencies in the load carriers and containers.
The supplier must record all premium or replacement shipments that are required that are
initiated and the responsibility of the supplier. The supplier must log the ordering
data/information and the reason for the special shipment, along with corrective measures for
submission to the contact person in the MAHLE Behr plant. The supplier must immediately
put in hand corrective measures, and any resulting extra costs shall be borne by him.
The supplier must ensure that all data and information required for shipping are completed in
full and error-free. (packing list, invoice, country of origin information, etc.) Information sent in
EDI format must match the data on the packing list.
The supplier must ensure throughout the supply process chain that information on the supply
status can be obtained at any time. For this purpose, contact with the supplier must be
possible at all times, including with the carrier.
If the goods supplied are in excess of the released quantity, the MAHLE Behr Group
reserves the right to place the excess material into storage at cost to supplier along with all
associated handling and associated costs. Alternatively, acceptance of the shipment can be
refused.
3.3 Electronic Data Interchange in the Customer-Supplier Relationship
Electronic Data Interchange (EDI), generally understood as the electronic exchange of structured
business data between information systems, is in MAHLE Behr’s view essential for working
efficiently together with suppliers. For this reason, the capability of transmission by way of remote
electronic data transmission is a prerequisite for all suppliers of the MAHLE Behr Group. At the time
of contract award, this form of transmission is considered as a basic condition for the services to be
rendered.
For this purpose, depending on location, the worldwide standard formats VDA, Odette, ANSI X.12
and EDIFACT shall be used. Exact definition of the information formats and technical connection
possibilities in each of the production locations are given in the plant specifications for individual
countries, starting in Chapter 4.0 of these Guidelines.
All adaptation hardware and software, and communication with the MAHLE Behr IT systems is
solely the responsibility of the supplier. For all EDI solutions, a provision shall be made for an
emergency strategy. Briefly explained in the following paragraphs are the two essential items of
exchange information that the supplier must transmit and receive via EDI.

-5Supplier call off
The supplier call off is a communication to the supplier updating the plants' changes in material
demand with regard to quantity and delivery deadlines by rolling these over in both the short and
medium terms. Supplier call offs are based on the agreements made in the purchase order.
Suppliers without an EDI connection receive their call offs automatically via WebEDI. Regarding
responsibility for materials planning, a distinction is made between two concepts: either the receiving
plant itself is responsible for transmission in good time of the call-off communication or a “Vendor
Managed Inventory (VMI)” arrangement is agreed, in which the supplier manages the materials
inventory of the customer. In this case, the stock levels available at the customer must be kept
within defined limits by dispatching shipments at the right time.

Incoming orders and supplier call offs must be checked for plausibility, in particular with regard to
quantities, delivery dates and master data (unloading location, load carrier etc.). Furthermore, it is
always assumed that the supplier will immediately check the deliverable quantities for whether or not
they can be fulfilled by quantity and delivery date. If data is not plausible or there is a shortfall in
deliverable quantities, the member of staff responsible for supply must inform the corresponding
MAHLE Behr plant immediately. A written confirmation of the order is not required.
Electronic Delivery Note
Suppliers will always send Advanced Shipment Information by EDI or via WebEDI notification of the
delivery in parallel to the shipment. The delivery information shall be filled out as stipulated in the
relevant standard formats.

3.4 WebEDI
Alternatively to EDI, suppliers can communicate with MAHLE Behr by using the internet application
WebEDI. The WebEDI system deposits the transferring data (delivery instructions, purchase order,
etc.) to the business partner on a web-server. With an individual keyword the supplier can log in and
view, print or download the deposit data. Furthermore it is possible to collect the advanced shipping
notes, to create an electronic delivery sheet and to print the corresponding delivery papers.
In comparison with EDI, WebEDI is the lower-cost alternative. If you choose this form of transfer
please find the corresponding application form in the attachment. Please send back that application
form to the corresponding purchaser at MAHLE Behr.

3.5 Payment Procedure
Depending on country and plant, the evaluated receipt settlement is the preferred form of payment.
In this case, the supplier does not submit a bill but instead receives from the customer per EDI
credits for the supplied goods, for example in accordance with standard message VDA 4908. The
supplier must make the necessary preparations to receive and further process the relevant
document. The decision on how payment is to be made will be agreed individually beforehand with
the Buying Department.
3.6 Accompanying Documents
All documents and labels must be written in the national language and maybe additionally in a lingua
franca.
Bar code labels - Materials Tags
Products and shipping units must be clearly identified by unambiguous and systematic labeling. The
packaging units must always be labeled with standardized material tags on which barcodes can be
printed, for example to VDA 4902 or the compatible Odette V3 material tag. The label shall be so
designed that, despite environmental influences and wear and tear during transportation, the
barcode label will be clearly visible and effectively scan. Bar code labels must be printed on self
adhesive labeling stock with clear lettering and bar code readable data. If bar code labels are
missing, illegible or incompletely filled out, MAHLE Behr reserves the right to bill the supplier with
any resulting extra costs. This applies for extra costs due to non-removal of old bar code labels,
incorrect attachment or other violations of MAHLE Behr policy. A sample label and legal alternatives
for the fixing of labels are shown in Chapter 4.3.

Packing Slip
The supplier is responsible for correctly preparing the shipping documents in accordance with
standards (see sample delivery note in Chapter 4.3). Packaging slips must be prepared in duplicate
and submitted by the carrier before unloading at goods receiving. Packing slips must be attached to
the loading/unloading side of the load unit in a clearly visible spot. Should shipment be administered
by a forwarding agent, the accompanying documents must always be complemented by a shipping
order. Packing slips must contain the information required in order to process the unit packages
through the customs process without delay. In every case an EDI- delivery note is required.

3.7 MAHLE Behr Global Delivery Concept
3.7.1
Basic Requirements
Delivery systems are agreed on between the receiving plants and the respective supplier for the
entire spectrum of parts. Deliveries must always be carried out synchronized (see Chapter 3.7.2) if
delivered nationally. International deliveries are decoupled with a consignment store (see Chapter
3.7.3).

The respective, binding delivery frequency for each material group/part category is defined in the
specific plant requirements (from Chapter 5). Deviations from the stipulated delivery frequencies are
only permitted after consulting the responsible logistics functions at the MAHLE Behr Group and
must be documented in writing. MAHLE Behr reserves the right to change the selected delivery
frequency after consultation with suppliers.
The MAHLE Behr Group will select from the terms of delivery currently in use that are described in
the following. The delivery system used for the different plants can also be found in the plant-specific
section of these guidelines (from Chapter 5).
The delivery system is first defined in the logistics data sheet at the time of the bid submission
where the supplier always submits a free works offer (DAP/DDP).

The objective of synchronized supply is to obtain as much process synchronization as possible
between the supplier’s processes, the delivery processes, and the production processes at MAHLE
Behr in order to balance out demand and deliveries. The type of demand communication (EDI,
WebEDI, E-Kanban) and the form of evaluation (deterministic, consumption-driven or stock-driven),
as well as the representation (LAB, stock visualization) of this demand do not play a role. The
concept of synchronized supply thus aims to bring the range of stock in the process chain down to
the level necessary to supply MAHLE Behr production.
A parts (i.e. parts with a high value and high level of consumption) should thus remain in MAHLE
Behr's purchased parts warehouse for max. 2 days and be delivered daily. B parts have a maximum
storage duration of 4-6 days in MAHLE Behr's purchased parts warehouse and C parts have a max.
of 15 days. This maximum range is determined by the capacity of each delivered container and by
the average daily consumption at MAHLE Behr.
The supplier's delivery quantity corresponds to the call-off quantity, which is oriented towards the net
demand of production and rounded up to full packing units.
If, due to lot size effects in production or transport lot sizes, the supplier wants to deliver more than
the average that MAHLE Behr can accept to maintain its stock objectives, the supplier will
separately indicate the costs for a consignment warehouse at an external provider in his offer (see
also Chapters 3.7.2 and 3.15).
3.7.3
Terms of Delivery for Synchronized Supply
For synchronized supply, MAHLE Behr will select one of the following terms of delivery.
1. “FCA” Delivery
FCA is an abbreviation for Free Carrier delivery at the named location. Incoterms 2000 apply.
This system implies that the supplier is solely responsible for keeping deadlines. The supplier is
also responsible for shipping the correct product on a timely basis using the carrier selection
provided by MAHLE Behr, commissioning of a carrier stipulated by the customer to pick up the
goods on schedule and in turn deliver them to the customer according to the plan.

2. Direct Delivery “DDP” – Free Works
DDP conditions of delivery stands for Delivery Duty Paid at the named location. Incoterms 2000
apply. Additionally, or in deviation from the Incoterms, the following conditions apply: the supplier
bears responsibility for his shipment to the unloading location named by MAHLE Behr. The
supplier is also responsible for on-time delivery at MAHLE Behr and bears all shipping costs and
risks. If the supplier is responsible for the delivery, MAHLE Behr may stipulate an exact delivery
window. With “Free Works” freight terms, a carrier may only be commissioned after its
performance has been assessed. Appropriate criteria, like the condition of vehicle fleet, reliability,
creditworthiness, flexibility and compliance with environmental protection regulations, must be
routinely checked by the supplier. MAHLE Behr agreements are established with the service
provider for particular pickup times, contact persons, emergency procedures, exception permits
when delivery runs are forbidden (e.g. prohibition of truck traffic at weekends) and customs
regulations. All trucks used must be suitable for loading and unloading from the side.
3. MAHLE Behr Regional Freight Forwarding
For this freight forwarding concept, carriers are assigned to regionally grouped suppliers who
consolidate the individual procurement transactions and deliver to the MAHLE Behr plant
concerned in collective shipments. The carrier performs a consolidation and distribution function
when collective orders are issued for all the suppliers assigned to a carrier.
3.7.4

Decoupled delivery via a consignment store is suitable for international/intercontinental shipments or
shipments preferably sent in larger lot sizes. This is a warehouse – near the MAHLE Behr plant –
where goods are stored as the property of the supplier until the customer removes them. The goods
are removed from the store by MAHLE Behr as needed.
The supplier is required to ensure that a previously determined minimum stock level is not fallen
below and also that the previously determined maximum stock level is not exceeded. Thus, the
supplier is responsible for the stock levels and the associated supply security.

- 11 Consignment goods are controlled via delivery call offs and fine call offs. Additionally, each material
withdrawal by MAHLE Behr triggers a consumption message for the supplier. This means that both
partners are informed of the range of the store, which helps to avoid the need to create two
independent minimum inventory levels – particularly with large distances.
An advantage for the supplier is that he determines the delivery quantities and times himself and
can thus optimize his production and transport logistics.
However, the costs for a consignment store at an external provider must be separately indicated in
the supplier's offer (see Chapter 3.15). Chapter 3.13 must be taken into account for deliveries from
overseas.
3.7.5
Terms of Delivery for Decoupled Delivery
For decoupled delivery, MAHLE Behr will select one of the following terms of delivery.
1. Consignment Store Concept:
The consignment store concept may be used for specific finished materials after consultation. In
this case, the supplier maintains a store with an indicated provider, where he delivers the goods
needed by the receiving plants at his own responsibility. The supplier is responsible for the
inventory and warehouse movements. Furthermore, he also assumes the costs for storage and
handling at the named provider. MAHLE Behr is responsible for the transport. The goods become
the property of the MAHLE Behr Group from the goods issue at the provider’s store. The logistics
provider generates a daily report of movements and furnishes it to MAHLE Behr and the supplier
every day. Outgoing goods are accounted for in a daily collective shipping note. This collective
shipping note is the basis for supplier credit. In isolated cases, MAHLE Behr will set up
consignment stores at its plant site.
2. ESP Warehouse
Only in exceptional cases: By setting up an ESP warehouse near the MAHLE Behr plant, the
supplier assures supply to MAHLE Behr in the case of long supply chains/high lot sizes and
provides for delivery to MAHLE Behr based on demand in accordance with Incoterms Delivery
Duty Paid (DDP). The warehouse is set up by the supplier and the costs fully assumed by the
supplier. MAHLE Behr is informed of this, however, the parts in the warehouse are usually not
available to MAHLE Behr for planning purposes. The goods become the property of the MAHLE
Behr Group from receipt of goods at MAHLE Behr.

Stipulations for MAHLE Behr-Specific Shipping Containers and Packaging
Suppliers are responsible for the packaging (incl. inner packaging) of materials for shipment to
MAHLE Behr plants using the MAHLE Behr packaging agreement that has been approved by
MAHLE Behr and the supplier. As a general rule, the MAHLE Behr Group uses returnable load
carriers of recyclable materials. The objective is to set up a system-wide logistical chain and to
exploit the resulting potentials for efficiency enhancement in partnership. Furthermore, in this way
the MAHLE Behr Group together with its suppliers fulfills the waste management objective of
environmental protection legislation in accordance with the ecological precept “waste avoidance,
then waste reduction, then materials recovery”, so making a lasting contribution to waste avoidance.
Possible MAHLE Behr standard packaging types are defined in the packaging manual. Deviations
from these may be made for overseas shipments (see Chapter 3.11.4).
Irrespective of the type of packaging, attention must be paid to the following:
 parts must be delivered without damage
 delivery only in clean packaging
 stability with regard to condition, geometry and volume
 optimum use of space
 unloading without problems using a forklift
 stack-ability
 easy part removal / optimum handling during production
 correct identification by standardized label (see Chapter 4.3.2)
 conformance with delivery frequency.
MAHLE Behr corporate is responsible for the final approval of all containers used for shipping from
suppliers. Suppliers are required to provide a signed form indicating verification of the container size
and adherence to the packaging specifications as agreed to. Along with the signed document, the
supplier is required to send a photograph of the materials packed in the specified container. MAHLE
Behr corporate and the associated MAHLE Behr plant location reserve the right to modify or change
any packaging specifications to reduce cost and or improve the quality of the product received.
Agreement must be reached with MAHLE Behr plants on deviations from the prescribed packaging.
If packaging is used that differs from what is stipulated, MAHLE Behr reserves the right to bill the
supplier with the resulting handling and repacking costs in the form of a processing fee. Where there
are good reasons for such deviations, like alternative packaging at series startups and out-of-theordinary preliminary production runs, agreement shall be reached with the plant in good time. A
comment to this effect – “alternative packaging” – shall be made in the delivery note.

3.8 Technical Changes and New Products
All new products, tooling prototypes and changes thereof are the responsibility of the corporate
MAHLE Behr group. It if the responsibility of the supplier to keep the MAHLE Behr change
management group informed of a status of all changes. Suppliers are required to inform MAHLE
Behr of any material composition, equipment or process changes prior there implementation.
For new startups and changes, the following information in updated form shall be conveyed:
1. Time line scheduling and changes in deadlines
2. Quantity scheduling and changes in quantities
3. Budgeted costs and changes in costs.
MAHLE Behr requires that all non-conformances from the supplier be conveyed to the project leader
at MAHLE Behr in a timely manor.
3.9 Capacity Planning
Suppliers are expected to maintain the capacity required to meet the needs of the releases,
including increases in the schedule which may been contracted for in the purchasing agreement as
a percentage or an amount. MAHLE Behr expects that at minimum the supplier must be capable of
supporting the normal fluctuations of the OEM. Generally, the fluctuation of demand will be included
in the purchase order contract, with the associated costs of increasing capacity beyond the originally
agreed amount.
3.10 Management of Emergencies
As a prerequisite for supplying MAHLE Behr with materials, the supplier must develop and publish
contingency plans for any emergency situation that disrupts the continuous flow of materials. If an
emergency situation arises that may disrupt the flow of materials to MAHLE Behr from the supplier,
the supplier is expected to inform MAHLE Behr immediately and provide a detailed recovery plan
that includes a timeline.
MAHLE Behr requires that suppliers take preemptive measures to minimize any issues that may
arise from production downtime. Suppliers must maintain an inventory of product that will alleviate
any production disruption in the short term, especially if the nature of producing the product implies
a percentage of normal downtime.

3.11 Deviations for Overseas Shipments
3.11.1 Consignment stock
Generally Oversea Shipments are realized as decoupled delivery via consignment stock (see
Chapter 3.7). In that stock the expendable packaging for the oversea transport are repacked in
corporate packaging. If a supplier hasn’t a place of business in Europe, he has to name - if
necessary - a fiscal representative. Beyond that, the supplier has to present action plans how the
supply can be guaranteed in case of short-term increase of quantities or immediately changes.
3.11.2 Planning for Customs Formalities
The supplier is responsible for properly preparing the documents required for customs clearance in
line with the current legal status as well as for planning for customs formalities – tariffs – for
importing goods into the recipient country. Any costs and consequential damage resulting from
missing or improperly prepared customs documents and/or planning for customs formalities will be
charged to the supplier, e.g. duties paid due to deficient proof of preferential imports.
3.11.3 Certificate of Origin
At the request of MAHLE Behr, the supplier must produce a detailed certificate of origin for supplied
parts in accordance with current import regulations.
3.11.4 Overseas Packaging
In general containers for international shipments will be expendable. The expendable dunnage used
will be approved by corporate packing at the respective development location. As depicted below,
expendable containers may be wooden or corrugated. All strapping, carton sizes and wooden
containers will be pre-approved by MAHLE Behr logistics. The used inner packaging should be as
small as possible.

- 15 The supplier will be responsible for the quality and durability of the internal and external packaging.
So here the supplier has to consider for example the demands of a shipment per sea container or
per air freight inclusive the forerun and off-carriage. Each loading unit and each load carrier shall be
provided at two sides with material tags (see Chapter 3.6). For wood packaging, the legal
requirements of the recipient country must be complied with, irrespective of the stipulations of this
Guideline. Wooden packaging witch must correspond to the IPPC standard / ISPM15, may be only
heat treated (HT) for the deliveries with MAHLE Behr. Fumigation with methyl bromide is prohibited.
The MAHLE Behr standard for labeling must be adhered to by the suppliers.
3.11.5 Container Shipments
Not all MAHLE Behr plants are equipped to unload seagoing containers. In this case, it is the
responsibility of the supplier to unload the goods and reload them onto suitable trucks. When
making deliveries in containers is planned, the destination plant must be informed and agreement
reached on delivery before shipment.
3.12 Conditions When Commencing Shipments
Prior to the first shipment from any supplier, the following points must be agreed to and approved by
MAHLE Behr:
- Packaging
- Delivery concept/ see checklist process definition (Appendix 4)
- Data integration (EDI / Web EDI)
- Main contact person, back up contact person including off hours contacts.
- Emergency concept
The supplier must be knowledgeable with the generally applicable standards as issued by the
standards committees of the automobile and component supplier industry (VDA, Odette, EDIFACT,
ANSI X.12). All data transmission standards for MAHLE Behr Logistics Guidelines must be
structured and applied in accordance with the recommended standards. If the supplier fails to
comply with the required standardization of his documents, MAHLE Behr reserves the right to bill
any extra costs incurred from the resulting failure in the form of a processing fee.
3.13 Notes on the Logistics Data Sheet
The filled-out logistics data sheet represents an offer for a logistic form of delivery with the objective
of depicting all the costs necessary to supply MAHLE Behr based on demand. The offer is thus,
insofar as not otherwise agreed upon, a "free-works offer” (DAP/DDP) for MAHLE Behr.
3.13.1 Separation of the A Price
The A price (= part price) contains all internal logistic costs of the supplier (material- & information
flow) for the requested delivery condition including packing in the container. Costs for containers and
packaging are not included within the A price.

- 16 3.13.2 Separation of the B Price
In addition to the part price, the B price also includes the costs for packaging, i.e. costs for one-way
packaging (package and auxiliary packaging means) or costs for returnable packaging/containers,
for the part of the container circle that the supplier is responsible for, according to the delivery term.
It can be circulation costs, depreciation value or rental cost, including administration costs for
container management. Usually the circulation volume and amortization must be disclosed.
3.13.3 Separation of C Price
In addition to the part price and the packaging costs, the C price also includes the transport costs.
The transport costs include all costs that result from transporting the goods, i.e. loading onto the
means of transport at the point of departure to the named destination according to the delivery
terms. Included are both pre, main and post carriage, supply of containers and handling cost,
accumulation of the container etc. as they have to be paid by the supplier according to the delivery
term. The return transport of empties (return costs) must also be taken into account here.
The cost for supplying a MAHLE Behr plant from a MAHLE Behr logistics service provider (line
feeding, ship to line) does not represent transport costs in this sense and are not specified here.
3.13.4 Costs for consignment warehouse
All costs for the logistics service – within the scope of decoupled delivery (see Chapter 3.7.2) –that
are necessary for the fulfillment of the agreed delivery term (handling, warehouse, shuttle-service,
administration costs, etc.) must be considered in the field “Costs for consignment warehouse”–
insofar as they have not been declared under other costs (e.g. storage costs). This is done
independently of the place of fulfillment 1,.4
of the service within the supply chain. The appropriate
values must correspond to the specified costs for consignment warehouse per MAHLE Behr location
(see reference table) or be obtained from the provider.
3.13.5 Customs/Taxes
The following must be taken into account in the scope of custom duties and taxes:
- All custom duties (export and import duties), according to the current customs and of the
exporting and the importing country, in so far as it has to be paid by the supplier according to the
agreed delivery term.
- All costs and fees related to the customs clearance, in so far as they have to be paid by the
supplier according to the agreed delivery term (e.g. cost for the custom agent etc).
- All taxes that cannot be refunded according to the financial laws of both the exporting and
importing country, in so far as they have to be paid by the supplier according to the agreed delivery
term. Information concerning customs duties, taxes and fees of several countries can be obtained
from the financial or customs authorities or customs agent responsible for your production location.
Please observe valid legal regulations when calculating the logistics costs.

3.14 Reclamation of delivery faults
For a smooth logistical process, deliveries in due time, labels and delivery sheets conforming to the
norm, clean and undamaged packaging are mandatory. Variations of that norm cause relevant
additional costs for us.
If a supplier offends culpably against the terms of the logistic guideline, MAHLE Behr reserves the
right to charge the additional costs (personal, area, resources) to the suppliers account. Furthermore
MAHLE Behr reserves expressly the right to demand advanced claims for damages.
Especially the following delivery faults cause additional work and expenses:

Non conforming delivery sheet/labels/ASN
Non conforming packaging
Delivery out of specified time frame
Non-compliance of dates
Non conforming amount
Transport Damage
It stands open to the supplier to prove that the claimed costs are excessively. MAHLE Behr is
authorized to debit the charges in the credit note procedure.

4.2 Information Flow / EDI
4.2.1
Supplier Call off
The supplier shall provide the necessary conditions for receiving and processing delivery call-off
messages in accordance with VDA standard 4905 and according to the EDIFACT standard
DELFOR D96A.
4.2.2
Delivery Note
The supplier shall invariably send in advance to MAHLE Behr a remote data transmission delivery
note per EDI in accordance with VDA standard 4913, Version 3, or the MAHLE Behr Guideline
based on EDIFACT “DESADV D96A” or, alternatively, by Web EDI, hence ensuring that the
availability of the required goods can be checked upon receipt.
4.2.3
Payment Handling
In general, the MAHLE Behr Group prefers payments to be made by the self-billing procedure
through EDI in accordance with standard message VDA 4908. If this form of payment handling is not
supported by the MAHLE Behr plant concerned, the invoice must either be sent as a conventional
hardcopy or via EDI in accordance with VDA 4906 or EDIFACT “INVOIC D96A” to MAHLE Behr.
The decision on the form of payment handling is agreed on a plant-by-plant basis.
4.3 Documents Accompanying Goods
4.3.1
Delivery Note
The following accompany papers are expected and should be handed over in the office of the goods
receipt:
 delivery note according to DIN 4991 in duplicate or alternative two goods receipt slip to VDA
4912
 shipping order.
The driver receives a stamped copy of the delivery note as notice of receipt for the delivered
material. Nevertheless, the acceptance is always under reserve.
Shown below is a sample delivery note including detailed field descriptions. It is expressly pointed
out that delivery notes without container figures cannot be processed and also give rise to an

and supply. This makes impossible payments and correct account management. Should the supplier
not be able to include his container figures on the delivery note, then a separate delivery note must
be prepared. In the event of missing or incomplete delivery papers, MAHLE Behr reserves the right
to refuse acceptance or bill the supplier with any resulting extra costs in the form of a processing
fee.

4.3.3
Correct labeling of standard and special containers
The shipping/parts identification label is inserted into the label bag/holder provided and may be
secured using self-adhesive dots. (see also recommendations of the German Association of the
Automotive Industry (VDA) “INFO Kennzeichnung VDA KLT.pdf“)

If no label bag/holder is provided, the shipping/parts identification label must be fastened to every
corner with 4 self-adhesive dots. Care must be taken to ensure that all details remain visible on the
label.
Alternatively a self adhesive document bag format DIN C5 made of polythene film or a protective
pouch for shipping documents may be used with racks or steel containers.

Full surface gluing is not permitted.
MAHLE BEHR will charge back the supplier any costs incurred for removing adhesive-backed
labels.

Exception:
For the purpose of marking Multipack containers, self adhesive shipping/parts identification label
approved by the company MAHLE Behr may be used only.
Suppliers, who deliver less than 4,000 Comepack containers per year, may use also self
adhesive dots for the fixation of the shipping/parts identification label.

To prevent parts getting mixed up in the production process, only the currently valid shipping/parts
identification label may be used on the container.
Any old labels, including glued on labels/stickers, have to be removed. In the production department
anyone who removes the last part from a container is obliged to remove the labels or any other
markings. If the containers are resold at Comepack, removing from labels is void.

4.5 Handling of Empty Containers / Accounting for Empty Containers
Unless provided for otherwise, on the first day of each month, statements of the packaging accounts
are prepared and sent to the suppliers for their assent. This statement of account lists all bookings
made since the previous statement and has to be checked within 14 days. If within this period no
objections are raised by the plant responsible for the booking, the book inventory balance is deemed
to have been accepted. Any corrections must be submitted in writing to the MAHLE Behr plant
concerned. Relevant booking documents must be appended, such as copies of delivery notes,
corrected remote data transmission protocols, bills of lading etc.

4.6 Shipping Instructions for Deliveries “Ex-Works”
The additional form of delivery “ex-works” is currently being rolled out in Germany. In this case, the
supplier is informed of an in-company carrier who organizes the shipment under contract to MAHLE
Behr. Should MAHLE Behr require application of this concept, to simplify matters, MAHLE Behr has
devised a standard procedure to ensure on-schedule deliveries.
The following procedure applying for successive working days is anticipated: notification of the
logistics service provider on Day A by 14h00, pickup by the logistics service provider on Day B by
15h00 at the latest, and delivery to the recipient plant on Day C. The costs of any actions, like
special trips, that arise due to failure to follow the procedure and that are necessary for on-schedule
delivery will be borne by the supplier. In such a case, we recommend that prior agreement be made
with the responsible MAHLE Behr materials planner. Notification of goods shipment is made by the
supplier to the carrier by fax, e-mail or telephone.
The shipment pickup order must be placed one day prior to pickup – Day A – by no later than
14h00. The shipment must be ready for loading on the pickup day – Day B – by no later than 15h00.
Should goods or documents not be ready in time on the designated loading day, the carrier reserves
the right not to have to wait for the shipment. Any actions thereby arising and any extra costs shall
be borne by the supplier.
Deviations from the prescribed times, like changes in notification or pickup times, can be agreed
with the logistics service provider. Such agreements must be in writing to be valid. However, in
these cases too, on-schedule deliveries are still the responsibility of the supplier.

ESP Procedure with MAHLE Behr – Neustadt Plant
General
MAHLE Behr Neustadt operates a consignment stock at its plant site for deliveries to provide a
single-stage warehousing procedure. The goods stocked there are destined for MAHLE Behr.
Deliveries to this consignment stock initially remain the property of the supplier and are in MAHLE
Behr’s safekeeping on behalf of the supplier. No handling costs accrue to the supplier for
administration of the consignment stock by MAHLE Behr.
Stock Control
MAHLE Behr will continue to send delivery call offs to the supplier (net requirements). Additionally,
agreement is reached between MAHLE Behr and the supplier on minimum and maximum stock
levels referred to part numbers. The supplier will undertake stock control in the consignment stock
on this basis of minimum and maximum stock levels as well as with the help of information on
delivery call-off quantities so that the inventory lies between the minimum and maximum stock limits.
Scope of Services
Goods receipt into the consignment stock is recorded by MAHLE Behr with the aid of remote
transmission of delivery and shipment data in accordance with VDA 4913. The supplier is notified of
these goods receipt data as current acquisition on the subsequent day by bundled remote data
transmission (VDA 4913, VA30). MAHLE Behr removes the goods from the consignment stock in
line with production call offs exclusively in full load carriers. The supplier is likewise notified of this
goods removal on the subsequent day by bundled remote data transmission (VDA 4913, VA36). For
the delivery notes for removal of the goods from the consignment stock, a consecutive increasing
delivery note numbering sequence without gaps is used by MAHLE Behr. Upon removal of the
goods, they are no longer in MAHLE Behr’s safekeeping. The supplier bills MAHLE Behr for the
goods removed based on goods issue notifications (VDA 4913, VA36), with the time of removal from
the consignment stock providing the basis for bill submission.
In addition, at the end of every working day, MAHLE Behr sends the current inventory data by
remote data transmission to the supplier (VDA 4913, VA35). Transmission of this remote data in the
VDA 4913 format takes place as a rule between 2h00 and 4h00 in the logical sequence of
transaction types 30, 36 and 35.
Bearing of risk, liability, insurance, terms of delivery
In connection with safekeeping of the goods, MAHLE Behr bears the risk of their accidental loss
when they are received into the consignment stock. MAHLE Behr is liable for any defects, loss and
damage of the supplier’s goods that arise from work performed by MAHLE Behr in the consignment
stock or if the safekeeping obligations are violated. For these cases, MAHLE Behr will take out
insurance that also covers the worth of non-MAHLE Behr goods in the consignment stock.
(Weather-related perils are covered by RB insurance). The previous terms of delivery for “CIP
Neustadt” retain their validity. The place of delivery will be consignment stock MAHLE Behr
Neustadt.

- 41 Inventory and Taxation Regulations
As long as the goods have not been taken out of the store, the supplier must include them in his
inventory. MAHLE Behr will undertake annual stock-taking of the tangibles and will inform the
supplier of the stock levels by fax or by computer file (depending on agreement). The supplier is
likewise responsible at the time of delivery of the goods by way of the consignment stock for
compliance with taxation legislation, in particular concerning value added tax, as well as the
regulations on commercial statistics.
In all other respects it has been agreed that the procedures for the consignment stock will be the
same as those for DC-internal consignment stock in accordance with MBST33.
The stores are so administered by MAHLE Behr that the owner can be identified at any time.
MAHLE Behr will conduct a check on receipt of goods for quantity, identity, defects and damage that
are apparent from an external inspection, as well as immediate notification of the carrier and the
supplier when these are identified and before acceptance of the shipment, and at the same time
embargo the stock concerned for goods removal. In the case of hidden damage, MAHLE Behr must
inform the supplier within five working days. Stock placement, stock keeping and stock removal is
done according to the FiFo principle (first in – first out), so that all goods placed first into the
consignment stock will also be the first to leave it. In addition, proper rendering of safekeeping
services (that is in particular for stores administration and inventory management) as well as
backtracking of the stock and transaction data will be guaranteed by MAHLE Behr.
The supplier is entitled to receive information on the stored goods as well as their stock and
transaction data during the usual working hours and, if needed, to check on and remove goods from
stock.
All other agreements between the supplier and MAHLE Behr (as long as these are not relevant for
consignment stock procedures) retain their validity, for example return of empty containers, transfer
and retention of title as well as agreements under transportation logistics, like commissioning
transportation workers and bearing risks on the transport route, special remote data transmission
regulations, possible acceptance obligations etc.

Guideline for external consignment warehousing at MAHLE Behr Kirchberg GmbH
Preamble and objective
The guideline should facilitate business with MAHLE Behr Kirchberg GmbH. The document is
especially for suppliers that are not able to deliver synchronized (daily) to MAHLE Behr due to a
certain production method or a production location which is far away.
Flow of Information
The following diagram shows the standard information flow between MAHLE Behr, supplier and
logistics service provider. It is assumed that the supplier is capable to work with EDI. If this isn’t the
case the interface between supplier and LSP has to be managed manually. Such additional costs
are not included in the standard tariffs that are shown later on.
Explanation
1. The Call of (4905) is the Basic contract with 4 weeks of production allowance and 4 weeks of
material allowance.

- 46 2. The supplier ships the material to the LSP, the goods should be customs cleared already. It is
possible to negotiate a bonded warehouse with the LSP.
3. MAHLE Behr demands the good by VMI at the LSP
4. Parallel to the shipment the LSP creates an ASN (4913 type 30, 35, 36) towards the supplier on
daily bases. This contains the stock balance, the received good as well as the shipments to
MAHLE Behr.
5. After the stock transfer MAHLE Behr releases the payment for the material.
Emergency concepts
1. Safety stocks
The safety stock should at least cover one standard shipment. If for instance one vessel will not
arrive, the stock should last until the next shipment arrives to avoid airfreight. The safety stock is
therefore directly linked to the shipping frequency.
2. Flexibility
The supplier has to take care that the flexibility oft he contract is available. The baseline is the
VDA recommendation of 15%.
3. Production capacity
If for whatever reason (e.g. Quality problem) the stock is blocked, the production has to be
covered by air freight. The production capacity must be sufficient to refill the standard supply
chain on parallel without risking a line stop.
Transfer of title and risk
MAHLE Behr Kirchberg assumes that the material will be delivered duty paid. Maybe the supplier
needs a fiscal representative in Germany. Transfer of title and risk will be at the goods receiving
department in Kirchberg. MAHLE Behr checks the quantity immediately and will inform the supplier
immediately about defect after having them in the standard business process. There will be no
further inspections of MAHLE Behr according to § 377 HGB. The supplier resigns on the objection of
a delayed claim.

5.6.1 Goods Receiving Times when “delivery at place (DAP)“ to Schwäbisch Hall Plant with
supplier’s carrier:
The delivery of plant Schwäbisch Hall shall be provided during the defined opening times of our
goods receipt. These are:

Any deliveries made outside of these times must be approved by MAHLE Behr service dispatcher,
and were notified beforehand to goods receipt internally.
In order to offer you the possibility to choose the suitable time bucket yourself, we decided to use
the internet platform Terminland.
Therefore the time buckets for full and part deliveries, as well as delivery or collection of empties,
have to be reserved in advance via www.terminland.de/ Behr-service/ soonest 24 hours before the
planed (un-)loading.
5.6.2 Packaging Data Sheet
The nominated supplier has to complete the packaging data sheet of the MAHLE Behr Service
GmbH (refer to appendix 19) ahead of the first delivery.
We request the supplier to suggest the packaging according to the above mentioned general
packaging requirements (chapter 4.4).
The supplier is not allowed to deliver anything before approval of the packaging data sheet by
MAHLE Behr Service.

It is mandatory for a nominated supplier to fill-out Packaging Specifications Sheet (see appendix 7)
before start of deliveries. Supplier is therefore required to send his suggestion of packaging style
considering above mentioned general packaging requirements (chapter 4.4). Supplier is not allowed
to supply the parts unless the Packaging specification sheet is accepted by MAHLE Behr Mnichovo
Hradiste. In case any help is needed please contact our packaging specialist.

6.2 Transportation
6.2.1
General routing instructions
Routing instructions will be provided to suppliers from the specific MAHLE Behr plant location for
each part number supplied. The routing instructions will either be generated from a MAHLE Behr
plant location or by a third party logistics company representing MAHLE Behr. Whenever there is a
need to deviate from the shipping instructions, suppliers will need to inform the planner in the
specific plant location in order to receive alternate instructions. Suppliers are responsible for meeting
their respective ship days, scheduled pick up and delivery window times, as directed by MAHLE
Behr planning or the contracted MAHLE Behr 3PL provider.

Trailer Requirements
The standard for trailers is 53 feet in length and not less than 98 inches in width and 106 inches in
height. Unless otherwise specified by the receiving MAHLE Behr facility, all trailers will be loaded
and unloaded using a standard fork lift. It is expected that all loads on trailers will be compliant with
the ease of unloading using a fork lift. MAHLE Behr does utilize “slip sheets” in place of standard
wooden pallets for international shipments. This shipping method requires the use of a “push pull”
attachment for the loading/unloading of the goods on Slip sheets. The suppliers are responsible to
use the proper material handling equipment to safely move freight without damage.
The supplier is responsible for contacting the carrier and obtaining a replacement when a trailer
arrives that is deemed unsafe or does not meet the minimum specifications from MAHLE Behr.
6.2.3
Approved Carriers
The carrier base will be selected and approved by Corporate and Group function in cooperation with
the specific MAHLE Behr plant. MAHLE Behr plants and approved 3PLs will assign premium
carriers to deliver expedited freight, even if the supplier acknowledges responsibility. Any plant down
time incurred from improper carrier selection, will be the responsibility of the supplier and the
appropriate associated costs will be charged to the supplier. Non compliance to the MAHLE Behr
specific routing instruction may result in a charge back to the supplier. Shipments sent at the
Suppliers expense must have a reason stated on the freight bill of lading.
6.2.4
Carrier Responsibilities
The freight carrier is responsible for ensuring that the truck and trailer meets the standards provided
by MAHLE Behr, the state and local governments and CTPAT guidelines where applicable. Carriers
that pick up freight at a designated supplier will be responsible for the safe and secure loading of
materials ensuring the quality and integrity of the packaging and contents. Carriers must provide
trailers that are road safe and free of defects. Carriers are expected to pick up product on a timely
basis to ensure delivery to the receiving plant as scheduled within the legal limits of the law.
Suppliers that incur issues with carrier timeliness or safety need to immediately communicate with
MAHLE Behr receiving plant.
Carriers shall schedule deliveries with MAHLE Behr receiving when the shipper’s bill of lading states
that an appointment is required for delivery. When an appointment has been made, the carrier shall
only deliver freight that has been scheduled for delivery. Over shipments sent are subject to be
returned or stored at the expense of the supplier.
6.2.5
Air Shipments
Suppliers that are not able to meet the scheduled requirements are expected to air freight at their
expense using a MAHLE Behr selected carriers that can be obtained from the respective plant 3PL
or Logistics team. All expenses for air freight that is deemed the responsibility of the supplier must
be sent pre-paid. Air freight companies must meet the needs of MAHLE Behr and selection of the air
carriers are the sole responsibility of MAHLE Behr. The supplier is responsible for notifying the

- 66 destination plant Freight Forwarder (Panalpina) of any International air expedite (Flash) shipments
imported into the USA.
6.2.6
Loading
Suppliers are responsible for the proper loading of trailers, considering quality preservation and
safety. MAHLE Behr’s expectations are to receive components correctly packaged and stacked
appropriately in the trailer to prevent damage and ease of unloading. Freight must be loaded with
the labels and bar codes facing the rear of the trailer. Materials that arrive in a MAHLE Behr plant
that are damaged will be assessed for root cause. If the supplier’s packaging or loading appears to
be an issue, then an RDR will be issued. The severity of the damage in a truck may warrant the
issuance of a supplier non conformance, and/or request for a corrective action process as dictated
by MAHLE Behr USA Inc. Slip Sheets may be used in some cases and the supplier must have the
proper equipment to move material on slip sheets per the directive of MAHLE Behr.
6.2.7
Shipping Documents
MAHLE Behr requires packing slips and ASN’s (refer to section 6.3.8) with all shipments clearly
showing the materials by MAHLE Behr part number, bill of lading number, packing slip number
#SID, MAHLE Behr PO number and quantity. Packing slips must clearly show the correct MAHLE
Behr release number in order to avert payment issues. All packing slips must be attached to the
product or skid in a clearly visible location. The last skid loaded on a full truck load shipment should
contain the packing slip in a clearly visible location. The receiving packing list is to contain a master
bar code label containing the entire load’s content. This will be scanned upon receipt, labels printed
and affixed to freight for proper storage, payment and traceability.
MAHLE Behr requests that the supplier avoid mixed skids, however, if the need arises to ship a
mixed lot, the skid must contain the label/paper “mixed load.” The mixed load label must be affixed
to on two adjacent sides of the package. One packing slip may be attached for the “mixed load” that
is placed in an easily accessible area of the packaging.
An electronic message, 861, is transmitted to the supplier when an RDR (receiving discrepancy
report) is generated. RDR’s issued must be answered within 24 hours.
6.2.8
Supplier Responsibilities
In addition to the guidelines stated in the previous sections, the suppliers are responsible for
ensuring that the carriers arrive to their plant on schedule day and time. Retention charges (supplier
at fault) that are incurred will be charged back to the supplier. Delays or missed shipments must be
conveyed to the appropriate planner in the receiving MAHLE Behr facility. Supplier Quality issues
(QR’s) must be communicated immediately to the Logistics group for any containment situations that
may be needed.
Suppliers are expected to use shipping terms as directed by MAHLE Behr USA Inc. This includes,
but not limited to: Carrier, Shipping mode, terms and frequency. Truck load cube utilization is strictly
enforced whether it is TL, LTL or MR. Preferred mode domestic is F.O.B. Origin. Preferred mode for

- 67 international is FCA Supplier (origin) and DAP for consignment goods. Frequencies and ship date
are to be followed as directed by MAHLE Behr USA Inc.
International Suppliers importing goods into the U.S. must abide by the MAHLE Behr USA Inc.
Customs Manual located on the company’s Web Portal site as well as conform to CTPAT
guidelines.
6.3 Packaging
All packaging must be approved by a MAHLE Behr corporate packaging representative and/or
MAHLE Behr plant packaging personnel. MAHLE Behr packaging engineers develop the best
packaging methods using the standard MAHLE Behr containers. Suppliers are requested to review
all packaging that is submitted by the MAHLE Behr packaging group by testing the pack with actual
product.
The recommended packaging information will be emailed to the supplier packaging engineer or
supplier’s designee. The form will be entitled “Unit Load Data” or “ULD” and can be found in the
Supplier Portal at the link https://www.us.mahle.com/portal. Suppliers need to submit the completed
form to the MAHLE Behr Supplier Portal. Once the ULD is submitted to the Supplier Portal, the ULD
will be either be approved or returned to the supplier for modifications.
Suppliers are encouraged to make recommendations to utilize the best packaging available for
preservation of material and unit quantity per container.
Please note that Mahle Behr does only accept HSC Containers (Boxes with removable lids).
Lid Boxes (HSC) containers eliminate the need for Boxcutters and therefore reduce injuries and risk
of damaged parts.

6.3.1

General Requirements
MAHLE Behr NAFTA prides itself in the usage of returnable containers that are environmentally
friendly. Providing returnable containers to suppliers for component shipments is the first choice for
MAHLE Behr. MAHLE Behr requests that all suppliers provide assistance in maintaining the integrity
and cleanliness of the returnable so that it can be used frequently enough to pay for its use.
Materials received into a MAHLE Behr facility in the incorrect packaging will be subject to the
issuance of an RDR (Receiving Discrepancy Report). If a MAHLE Behr facility receives incorrect
packaging or non- approved expendable packaging, there may be charges imposed on the supplier
for repacking and/or disposal of expendable containers.
Suppliers are responsible for the removal of the bar code labels and the cleanliness of the
returnable containers in order to ensure there is no contamination of the contents.

- 68 Packaging that is owned and shipped by the supplier is acceptable to MAHLE Behr plants provided
there is a pre-approved agreement between the plant and the supplier. The supplier is responsible
for the packaging, preservation and shipping of all materials in supplier owned returnable containers.
The MAHLE Behr facility ship location will be responsible for ensuing that the supplier returnable
containers are sent to the supplier on a timely basis and that they are reasonably clean.
Suppliers are not authorized to ship in expendable containers within the United States, unless
authorized by the receiving plant. A corrugated box that is reused by the supplier is considered to be
a returnable container if so designated by MAHLE Behr. MAHLE Behr not responsible for back up
packaging without plant authorization number.
Packaging weight must not exceed MAHLE Behr specifications per container size. Each plant may
have its own specifications for maximum container weight that a supplier is expected to review. The
supplier is responsible for compliance for all MAHLE Behr facilities pertaining to weight restrictions.
6.3.2
Returnable Packaging
MAHLE Behr has developed a standard number of returnable containers of various sizes that will
handle most all components that will be shipped from suppliers. It is extremely important for MAHLE
Behr to be able to maintain a standard for containers so that reuse for other products or programs is
possible. Containers issued by MAHLE Behr will have the MAHLE Behr name embossed or there
will be a plate attached on the face.
Suppliers are expected to develop the best packaging using the MAHLE Behr available container
listing.
The MAHLE Behr logistics department will be responsible for the final approval of the packaging.
Upon final approval the document will be signed by the appropriate logistics person and then the
document will be returned to the supplier. All packaging documents will be kept on file for the
duration of the program the document supports.
6.3.3
Wooden Pallets
All wooden pallets shipped to MAHLE Behr facilities must meet USDA ISPM #15 and be of double
faces non-reversible wood construction with a flush stringer design. Single wing, double wing, or
block pallets are not permitted. Pallets must not be smaller in width and length than the load.
All deck boards must be 48” in length, no less than 5/8 inches thick and attached by a minimum of
two double screw nails on each side of the stringers. Acceptable pallet sizes for Dayton are 40 x 48
and 45 x 48 only. Containers must be secured to the pallet for shipping. The two acceptable
methods in MAHLE Behr are: Polypropylene banding and clear stretch wrap.
Slip Sheets may be used in place of the wooden pallet to save space on the container as well as
reduce the cost of packaging material. A special “push pull” attachment is needed to load/unload
freight from the container. Please consult your MAHLE Behr packaging rep for more information.

Cleanliness, appearance and quality of skids and packaging
Skids that are used for packaging of MAHLE Behr products are expected to be clean and free of
splinting wood and distracting marks. Missing or loose boards are not acceptable.
All pallets must have four way entries with a width of 40 inches and a length of 48 inches or a width
of 45 inches and a length of 48 inches. Any deviations must be approved prior to shipment to the
receiving plant.
Reuse
MAHLE Behr USA’s is concerned about the environment; therefore, reuse of pallets is widely
accepted provided that the pallets are not damaged or unsightly in appearance.
6.3.5
Expendable Containers domestic and international
All suppliers are responsible for carrying alternate shipping containers in case there is a shortage of
MAHLE Behr supplied returnable containers. The alternate methods may include expendable
corrugated as well as supplier owned returnable containers. Suppliers are responsible for
maintaining the quality and integrity of the parts they supply.
It is the supplier’s responsibility to prevent a returnable shortage by effectively communicating with
the associated MAHLE Behr facility.
International suppliers that supply products in corrugated containers must have the packaging
approved by MAHLE Behr logistics prior to shipment.
Supplier must enter the expendable packaging information to the approved Returnable ULD in the
Pool 4 Tool. Once the expendable ULD is approved, the supplier can ship in expendable with proper
authorization.
6.3.6
Corrugated Cartons
The selection of corrugated packaging is dependant upon the type of materials being shipped.
MAHLE Behr requests that the corrugated material selection for the wall thickness be based upon
the strength required to hold the product without spillage or damage to the parts or the carton. The
corrugated strength must be able to withstand stacking and material movement without collapsing or
damaging product.
Expendables that are packed in layers on a skid or in a larger container must be able to withstand
the stacking without crushing the bottom layers. Boxes of materials on skids must be secured using
either polyester banding which can be heat sealed or with appropriate adhesives.
Metal bands, PVC stretch wrap and other methods of securing materials to a skid are not acceptable
unless they are specifically approved in writing from the MAHLE Behr plant.
Transmissions of ASN’s (Advanced Shipping Notifications) must show the correct container being
shipped. Expendable packaging containers must reflect the correct codes of 0000EXP or
0000EXPM.
Labels must be attached to the expendable container on two adjacent sides in a clearly visible
place.
All applicable procedures that apply to returnable containers will apply to expendable containers.

- 70 The accepted method of sealing individual corrugated boxes is with standard strapping tape,
strippable in nature or with spot gluing. Any other form of closure is not acceptable unless specified
in written consent from the receiving MAHLE Behr plant.
Overall carton sizes must accommodate the full closure of the box with the product packaged.
Cartons must not exceed the full width of the skid that they are shipped on.
Pallet sized cartons must be securely attached to the skid so that general transportation and
movement within a MAHLE Behr facility doesn’t dislodge the carton.
6.3.7
Ownership
Returnable containers can be either MAHLE Behr or supplier-owned and be made of either metal or
plastic. Suppliers may NOT use MAHLE Behr returnable containers for any purpose other than for
the shipping of MAHLE Behr product.
6.3.8
Identification
All returnable containers, racks, trays, totes, etc. will have clear identification of their container
number in 1.5” letters, either embossed into the containers or painted in contrasting color. In
addition, supplier-owned returnable containers must have the supplier’s name and return point
clearly stenciled in 1.5” letters.
6.3.9
A.S.N.’s – Advance Shipping Notices
The “Associated Container” field must be entered for each buyer part, (BT) line item on the A.S.N.
To improve data integrity, enter data for this field at the same time as each A.S.N. is created to
ensure proper identification of the unique packaging actually shipped. A separate returnable
container line item must be created for each unique associated rack or container indicating the total
number for each included in the shipment.
Suppliers are encouraged to follow the ASN guideline for container information in order to prevent
shortages. Shortages that are the result of a failure to comply with container ASN information may
result in a supplier RDR and a charge back.
6.3.10 Container Shortages and Overages
Container, rack, and dunnage shortages as well as overstock conditions must be brought to the
attention of the plant responsible for the shortage and to the Logistics Department.
6.3.11 Implementation of Returnable/Expendable Programs
Once contacted by our design source for this program, the core team chooses a MAHLE Behr
standard container from the description in this manual and designs and provides a prototype of the
recyclable interior dunnage. A prototype review is held and test shipments performed, and
containers are allocated to the supplier.

weather conditions. Labels should be durable enough to withstand simple tearing that may in
transportation or the movement of product.

All product labels should comply with the ANA standards. MAHLE Behr’s minimum requirement is
the AIAG specification of 4” x 6 “, AIAG ISO size 6. B-10 Version 1.00, 5/95. The label must contain
at minimum the MAHLE Behr part number, quantity, production date, supplier code, MAHLE Behr
PO and part description. Suppliers should be prepared to have the capability of printing the location,
revision number and serial number on the labels. Lettering size must comply with ANSI standards
unless superseded by MAHLE Behr requirements.
All containers require two labels that are affixed on adjacent corners of the box or returnable
container. Labels must always be placed on the adjacent sides of the box in a clearly visible
location.

7.5 Slip Sheets
Slip Sheet means a flat sheet of paperboard which will be used instead of the wooden pallet to save
space on the container and as well as reduce the cost of packaging material. A special “push pull”
attachment is needed to load/unload freight from the container.
Advantages: a fraction of the cost of a pallet, increase pack density and space optimization
• Average cost of a pallet is $10
•
7.5.1
Average cost of a slip sheet is $1.50
Slip Sheet Space Utilization
Slip Sheets can allow for up to 15-25% more material in a sea container. For example (see picture):
These condensers normally ship 4 high with pallets, but the use of slip sheets allows for a 5th layer
to be added.
According to this example the space savings using slip sheets are approximately 212 ft3 per
container. This equals 9% of the available space in which 6 additional loaded pallets could be
shipped with slip sheet implementation.
7.5.2
Specialized Equipment – Push/Pull Attachment
For Slip Sheets you need specialized equipment. Using thinner and wider forks and a special slip
sheet gripper, the push/pull attachment allows for easy loading and unloading of shipments utilizing
slip sheets.

Packaging
When designing packaging, slip sheets must be taken into account.
Returnable or expendable Pallets can be used in the warehousing facility but the boxes should be
shipped in ocean containers with slip sheets only. Multiple boxes cannot be stacked on a single slip
sheet. Every box must have its own slip sheet.
7.5.4
Box Sizes
Here some standard box sizes that work well with slip sheets in sea containers:

It takes virtually the same amount of time to load a sea container using slip sheets as it does using
pallets.

8.4 Delivery Order
Mahle Behr Gerenciamento Térmico Brasil Ltda reserves the right to send to every 2 weeks the
programmed order foreseen for the next pick up. If the programmed order was not sent in 2 weeks,
the supplier will consider the last programmed order sent by Mahle Behr Gerenciamento Térmico
Brasil Ltda. The dates expressed on the programmed orders are the delivery dates by freight
forwarder in Mahle Behr Gerenciamento Térmico Brasil Ltda. Like this, the date of delivery of the
components for our dispatcher will be 45 days before, e.g. if the programmed orders informs August
24th, the provider should make available the components on July 10th.
The logistics flow:
1. Mahle Behr Gerenciamento Térmico Brasil Ltda sends the programmed order for the
supplier.
2. The supplier produce the components and informs immediately Mahle Behr Gerenciamento
Térmico Brasil Ltda when the components are prepared to pick up by freight forwarder.
3. Mahle Behr Gerenciamento Térmico Brasil Ltda will send the Shipping Instruction for the
freight forwarder and the supplier
4. Three days after (=45 days before the arrival date at Behr) the freight forwarder picks up the
components at the supplier.
The supplier is responsible to carry the material into the truck in the negotiated time.
The supplier should send the amount described in the Shipping Instructions, as well as following all
the instructions contained in it. The freight forwarder only can pick up the programmed material in
the supplier when the Mahle Behr Gerenciamento Térmico Brasil Ltda’s Import Department sends
the Shipping Instructions. All of the Shipping Instructions' information should be accomplished so
that Mahle Behr Gerenciamento Térmico Brasil Ltda not has problems during the customs clearings

case with possibility of stop of the productive line, the responsibility of the aerial freight will be of the
supplier.
8.5 Goods Labels
The supplier must guarantee that all packaged items and containers carry a label. Each goods label
must contain the basic information: at least Behr Brazil’s code, the description, the quantity, lot date,
and place of delivery. Mahle Behr Gerenciamento Térmico Brasil Ltda suggests the use of the VDA
standard 4902, version 3.
8.6 Differences at the work calendar
The supplier has obligation to inform by e-mail to Mahle Behr Gerenciamento Térmico Brasil Ltda
with 30 days before about the collective vacations.

Behr Asia-Pacific Management (Shanghai) Co., Ltd. (hereinafter use BAP as short) is
responsible for setting up the supply chain from Chinese suppliers to MAHLE Behr Global
Locations (except to the Chinese Joint Ventures SBTS, DBTS, SSB) in accord with the
MAHLE Behr strategy and the MAHLE Behr valid standards.
11.1 Communication
The supplier provides a contact list to BAP, including the project manager and the responsible
persons for Quality and Logistic (incl. contact persons in case of emergency). Furthermore the
supplier has to name the responsible contact person for EDI or Web-EDI. The Logistic Datasheet
must be filled and sent back to MAHLE Behr before the kick off meeting. The supplier has to submit
monthly the production plan (inclusive the safety stock) to BAP and to the receiving plant.
11.2 EDI/ WebEDI
Generally EDI is used for data-exchange between the supplier and MAHLE Behr. As alternative the
supplier can also use the MAHLE Behr Web-EDI-system. BAP supports the Chinese suppliers,
representative for the receiving plant, to implement and to work with the WebEDI-system.
11.3 Documents
The “Checklist of Logistic Processes” (Appendix 4 of this Guideline) must be signed between the
supplier and receiving plant before the 1st delivery. The Export documents have to be prepared
according the BAP standard documents to comply with the country-specific import requirements.
11.4 Packaging
The supplier must provide the packaging proposal with detailed parameters and photos to BAP and
receiving plant for confirmation. All wooden packaging should follow the IPPC-Standard (ISPM15)
and only heat treated wooden packaging material could be used for deliveries to MAHLE Behr. NonWood Packing Declaration is required for other packaging.
11.5 Incoterms
All deliveries are conducted by a MAHLE Behr predefined Forwarder. Chinese suppliers deliver
decoupled DAP (Delivered AT PLACE (…named place of destination)) or DDP (Delivered Duty Paid
(…named place of destination)) via consignment stock.
