For Support Email: timecard@amdexcorp.com Employee’s User Guide Go to the staff portal on the AMDEX website www.amdexcorp.com In the Staff Portal window click on the NEW Deltek e-Timecard Login link Click on Time Collection to access the login page 1. 2. After the Time Collection application appears enter the following: Login ID is your current Employee ID, preceded by the letter “E”, with a total of 6 characters. Example: Employee # 859 will be entered as E00859 For the first time that you login your password is your social security number without the dashes Domain is AMDEX (this is not case-sensitive) Press the or hit your enter key. The button will reset your login information and the will prompt you to change your password when you log in if the box is checked. (When your account has been reset you Temporary Password will be your Social Security Number) Note: If this is your first time logging in, you will be prompted to change your password. “My Desk Top” screen appears. Clicking the icon will always bring you back to the “MyDeskTop” screen. There are four basic purposes for the desktop: My Tasks - Shows any current workflow tasks that you need to perform. My Alerts - Are informational and do not require you to do anything. My Timesheets - Shows a list of your latest timesheets. My Menu - A quick launch of screen application (not applicable to most employees). Select the link from your menu bar to access your current timesheet or select a timesheet from the “My Timesheet” list in “MyDesktop”. The system is set to show your last 5 active timesheets. At the top left side of your timesheet you will see the following menu options: – Opens a calendar and enables the user to select the day, month or year of a particular timesheet. – Saves your current timesheet information. – Enables the supervisor to open, review, approve and reject employee timesheets. – Prints a paper copy of your timesheet. Remember timesheets are always resident in the system. – Shows all changes made to a saved timesheet. – Shows the current running balance of PTO. Includes beginning balances, PTO accruals and PTO taken – Used when correcting timesheets that were previously processed for payroll. Employee •Shows employee name. Copy Line •Duplicates selected line to the next available line. Class Shows employee pay class which governs pay types available. Delete Line •Deletes selected line from the timesheet. If timesheet is saved, the hours are deleted. Status Shows timesheet status: Missing-no data entered Open-timesheet in process by employee Signed-Employee signed timesheet Approved-Supervisor approved timesheet Rejected-Supervisor rejected timesheet Semi-Monthly Pay Period Ending Shows timesheet pay period. Reset Line •Removes the hours charges to the selected line. Revision Shows number of revisions made to the timesheet. Reverse Line •Completely reverses the selected line. Navigates between Timesheet periods. Add Line to Favorites •Adds selected line to the “Favorites Folder”. 1. Lookup – To invoke the lookup press the in the account field on the timesheet. There are a number of folders that contain your charge numbers. All codes you are allowed to charge can be found in the charge lookup. Select the authorized number by clicking on the drill down( )link or click the button to bypass the drill downs and go directly to the charging level. Note: Favorites Folder is maintained by the user. 2. Once you have found the number for charging, select it and click the button. 3. After selecting the account, you are now ready to enter hours. Enter hours by selecting the appropriate day of the week for that project and record your hours worked. If you desire to enter comments, press the comment link( ) for either the entire charge line or the specific day. If you are classified as a non-exempt employee as indicated by your Class code, you have rights to charge Overtime while exempt employees will have access to Regular Overtime. To record hours for either, add an additional line for the contract/account number you wish to charge the overtime. Allow the system to make your defaults as usual. Go to the in the Pay Types column that corresponds with line you wish to charge overtime. There, your options will be available. Select the “O” or “O1” Pay Type as applicable for your Class Code and the “OK” button when it becomes available. The line will change from “R” to “O/O1” indicating the time as overtime hours and the summary of regular and overtime hours will be summarized at the bottom of your timesheet. When you have completed your timesheet for the timesheet pay period, you must sign your timesheet. When you press the button at the bottom of your timesheet the sign dialog window will appear. You will then be required to enter your password. Your supervisor will approve or reject the timesheet. If the timesheet is rejected, you will receive an email and an alert advising you that your timesheet was rejected. If a timesheet needs to be changed after you have already saved it, make changes as necessary and re-sign the timesheet. 1. 2. 3. To add a number to your Favorites Folder, select the line from your timesheet and press the “Add Line to Favorite” link (found in your charge lookup menu just above the timesheet). If you routinely use the same numbers you have the ability to auto-load the charge number to the timesheet for each new period. To auto-load your charges, click the button from your favorites folder for the number you want auto loaded and click at the bottom of the sub-screen. To remove a charge number from the Favorites Folder, select the number and click the “Delete from Favorites” option from the toolbar. Future Hours Charging- Future charging is the ability to charge ahead of the current date. Time & Expense is designed to allow future charging only on Leave accounts (PTO, Holiday, and Jury Duty). The charge codes are located in the “Leave Charges” folder of the charge lookup. Unavailable Charging- If a project needed for charging is not found in your lookup folders, please contact your supervisor for appropriate work authorization. Changes to Previously Saved Entries- Any changes to previously saved entries will require a mandatory explanation. The comment dialog for this explanation will appear during the saving or signing of the timesheet. Correcting Timesheets- Contact your Timesheet Administrator for timesheet corrections – depending on the type of correction you will be given specific instructions on how to complete this correction.
