Modules are of groups of distinctive functional combined for security and access control. Integrated Modules Move Management Services Record and manage all aspects of a move from entering specialized data on materials, crates, extra stops and segments, and billing information for all household, international, military and government, and special commodity moves. Create any number of quotes and monitor key safety features of crew and equipments while using a task-driven process to control the workflow and account profile definitions. Dispatchers can easily schedule daily services, organize and assign crew and equipment, process advances, create work tickets, and add on-the-fly services for multiple agents at one time for any number of local orders and long distance trips. Capture, track, manage, and settle an unlimited number of claims and critical claims-related data while alerting all users that a claim against an order is in effect. This program guarantees a successful transition into the new products and begins by helping the customer understand every facet of the application. The following sections list the specific requirements needed for a successful installation. System Requirements To install and run MoversSuite, a workstation and network must meet certain requirements. The following sections detail the requirements for hardware and software on a client, server(s), and related devices. Listed below is the minimum hardware and software infrastructure needed to operate MoversSuite and related applications. Additionally, high-speed internet access is needed to facilitate installs and to run Terminal Services for MoversSuite customer support. Hardware Requirements The following section lists the different hardware requirements for the client and server. Client Machine Pentium III 1.2 GHz minimum 256 MB memory minimum (512 MB or more recommended) 250 MB free disk space Database Server A dedicated database server for MoversSuite and Microsoft Dynamics GP is strongly recommended. Dual Pentium IV 2.4 GHz 2 GB RAM (4GB RAM recommended) RAID 0 minimum (RAID 5 recommended) 20 GB free disk space Tape backup device strongly recommended (although not required) Mover’s Suite Software, LLC 11 Introduction to MoversSuite Terminal Server* This is recommended if MoversSuite or Microsoft Dynamics GP is provided over a WAN. MoversSuite application has a memory footprint of approximately 70 MB per open session. The amount of memory needed per user session could increase depending on other applications running in conjunction with MoversSuite on the terminal server A benchmark of 50 users per terminal server is suggested for running the applications of MoversSuite, Microsoft Dynamics GP, Microsoft Office, Van Line Interface and QuickMove/Techmate. For specific information on scaling, please refer to Microsoft's Windows 2005 Terminal Server Capacity and Scaling document * Please confirm all third party software, including Microsoft products such as Microsoft Office, intended to run in the terminal services environment are properly licensed. Licensing agreements vary and a desktop license may not be transferrable to a terminal server. Microsoft Exchange 2003-2007 will be needed to access online calendars and scheduling functions that are integrated with MoversSuite lead generation functions. Supported Third Party Application Compatibility IGC QuickMove Version 6.4.244 TechMate FirstMate Version 3.1.139 MoversSuite Administration Tools MoversSuite offers two administrative tools to provide users a means of setting up and maintaining specific operational data, such as rates, personnel, equipment, security, etc. The MoversSuite Administration - web is a recently develop application that is browser-based and will eventually replace the existing MoversSuite Administration - web tool that is client-based. Reference the MoversSuite Administration topic for more information on administrative setup. Mover’s Suite Software, LLC 13 Introduction to MoversSuite MoversSuite Application This section provides a brief overview of the main interface components of the MoversSuite application. Startup Screen Once the application is launched a user will be prompted to enter their user name and password within the Password Dialog. Figure 1: MoverSuite Login dialog When the MoversSuite has been successfully logged into by a user, they will be presented with the Contents screen. This screen will always display upon initial application startup. From this screen a user can access functionality to which they have security access to (as defined within the MoversSuite Administration - web). Figure 4: Menu bar options The following drop-down menu options are available through the application’s Menu Bar: File GoTo Tools Reports Accounting Tools Third Party Applications Help The drop-down menu options may contain a checkmark ( )symbol. This symbol indicates which screen was last accessed. A second symbol, an arrow ( ), is used to let the user know that a sub-menu of more options is available. The user can simply click on the line containing this symbol to view the sub-menu. File Menu Option The File menu contains the Exit option. Select this option to leave the application. Figure 5: File menu options Mover’s Suite Software, LLC 16 Introduction to MoversSuite Go To Menu Option The Go To menu contains a link back to the Contents Screen along with all the button options available to a user through the Contents Screen. Menu Options Description Sales Leads Select this option to create a new sales lead. New Order Select this option to create a new order. New Foreign Order Select this option to create a new foreign. New OA Select this option to create a new order where the creator is the Origin Agent. The remaining options are detailed within the Move Management Services section. Standard Menu Items Calculator Description Displays the standard Microsoft Windows calculator. This option is available through the keyboard shortcut of CTRL+K Mover’s Suite Software, LLC 18 Introduction to MoversSuite Calendar Displays the user’s Microsoft Outlook calendar. This option is available through the keyboard shortcut of CTRL+R Claim Alert Accesses the Claim Alert interface. Use this interface to alert other users of potential claims placed against the opened order. Optional Tools menu options Listed below are the menu items that will appear when the option is turned on or available. Optional Menu Items Description Import Estimate Use this feature to import survey and estimate information from IGC. Requires optional IGC API. This option will appear when IGC Software is built into the application. View Estimate Use this feature to view IGC estimate information for the current open order in MoversSuite. Requires optional IGC API. This option will appear when IGC Software is built into the application. Send to IGC for Survey Use this feature to send the current open order information in MoversSuite to IGC to create a survey/estimate. Requires optional IGC API. This option will appear when IGC Software is built into the application. UniGroup Upload HHGD Initiates a registration upload for household goods to UniGroup. This option is available through the keyboard shortcut of CTRL+F7 UniGroup Upload Special Services Initiates a registration upload for special services to UniGroup (available in Special Services only). This option is available through the keyboard shortcut of SHIFT+CTRL+K SIRVA – Download Request Initiates a process to receive information for orders registered in SIRVA. SIRVA – Registration Upload Initiates a process to register an order established in MoversSuite in SIRVA. Order Monitor Opens the Third Party Interface Order Monitor. Menu Options Description Account Profile Accesses the Account Profile Management interface. Use this interface to add, edit, and delete account profiles. Fixtures Accesses the Fixtures interface. Use this interface to add, edit, and delete fixtures by manufacturer. Manufacturer Accesses the Manufacturers interface. Use this interface to define manufacturers involved in a special services move. Resources Accesses the Resources interface. Use this interface to define and update equipment types and other information for equipment used in local or long distance service requests. Note: This data can also be accessed through the MoversSuite Administration - web. Stores Accesses the Stores interface. Use this interface to manage specific store information within Special Services. Third Party Application Errors Accesses the Third Party Application Errors Management interface. Use this screen to view and manage third party application errors. Note: This screen can also be accessed from the Third Party Application Errors Management button on the Information bar. Reports Menu Option Use the Reports menu to generate letters, invoices, labels, and reports. Report files can be viewed, exported, and printed. Letters Sub-Menu The Letters sub-menu contains templates for letters and forms to pull MoversSuite data into Microsoft Word documents. Accounting Tools Menu Option Figure 13: Accounting Tools menu The options available under the Accounting Tools menu are summarized in the table below. Menu Options Description Recurring Billing Management Opens the Recurring Billing Management interface. Use this interface to generate and view invoices for recurring billed items, such as warehouse storage. Commission Statement Management Opens the Commission Statement Management interface. Use this interface to generate, query, view, delete, and finalize commission Mover’s Suite Software, LLC 21 Introduction to MoversSuite statements by Vendor Class (drivers). A historical Customer Statement Generation Opens the Generate Statement interface. Use this interface to define and generate customer statements for a specific period of time. Customer Statement Reprint Opens the Reprint Statement interface. Use this interface to reprint statement runs saved within the Customer Statement Generation interface. Great Plains Order Inquiry Opens the Great Plains Order Inquiry interface. Use this interface to view Document and Distribution data from Microsoft Dynamics GP for a specified Order Number. Advance Processing Opens the Advance Processing interface. Use this interface to generate accounting and financial transactions for driver advances and to optionally generate upload files of transactions to a banking service provider. Third Party Applications Menu Option The Third Party Applications menu is available only when the particular interface is built into the MoversSuite application. For example, when MoversSuite is integrated with TechMate then the options displayed below (Fig. 14) will appear. Menu Options Description Online help Accesses the MoversSuite Online Help interface. Use this interface to quickly find help on a variety of topics. Mover’s Suite Software, LLC 22 Introduction to MoversSuite Customer Support Website Opens the Customer Support Website. About Displays the About MoversSuite dialog. Use this dialog to view the full version number of the application including the build-specific reference. Figure 16: Help > About Information Bar The name of the module and other important information will be listed within the Information Bar. Specific information about the record being accessed is displayed within this section along with a button to access the Third Party Application Error Management interface and a button to book the order. Figure 17: Information Bar Contents Screen The Contents Screen will initially appear when the MoversSuite application starts up and a user has successfully logged in. It displays buttons to access many common screens found within the application arranged by the following categories: Move Management Services Common Services Accounting & Financial Services Mover’s Suite Software, LLC 23 Introduction to MoversSuite Figure 18: Startup screen display Move Management Services MoversSuite Module Module Descriptions Order Information Accesses the Order Information module. Use this module to enter and manage general household goods, military, and commercial leads, estimates, and orders. Special Services Accesses the Special Services module. Use this module to enter and manage special commodity leads, estimates, and orders. International Orders Accesses the International module. Use this module to enter and manage international leads, estimates, and orders. Local Dispatch Accesses the Local Dispatch module. Use this module to reserve and manage local services for an order. Long Distance Dispatch Accesses the Long Distance Dispatch module. Use this module to reserve and manage interstate and intrastate long haul transportation services. Common Services Mover’s Suite Software, LLC 24 Introduction to MoversSuite MoversSuite Module Module Descriptions Tasks Accesses the Task module. Use this module to create, manage, and track tasks associated with an order. Claims Accesses the Claims module. Use this module to create, manage, and track claims data associated to an order. Accounting & Financial Services MoversSuite Module Module Descriptions Revenue Entry Accesses the Revenue Entry module. This module is used to enter and edit revenue and financial data. Cash Receipts Accesses the Cash Receipts module. Use this module to create and manage cash receipts. Payment Management Accesses the Payment Management module. All company payments can be managed from within this module. Display Options in Contents Screen Under each category are buttons that allow the user to open the screen listed on the button face. Only those screens that the user has access to will be listed as buttons. For example, a dispatcher may only have access to Order Information, Local Dispatch, Long Distance Dispatch, and Tasks, therefore only these options will appear within the Contents screen. Figure 20: Software version number on Contents screen Note: The version number along with the build number is found within MoversSuite > Tools > About. Problems are diagnosed and resolved rapidly, as we understand how valuable your time is, and that you're interested in getting on with your work as rapidly as possible. Details of technical support and its requirements are fully documented within the Product Support Agreement. Listed below is a brief description of the incident submission procedure. Incident Submission An incident is created each time product support is contacted and is assigned a priority level. The priority will need to accurately reflect the severity of the incident according to the following criteria: EMERGENCY An incident is an emergency when a major feature of a MoversSuite or Microsoft Dynamics GP product is not functioning and a lack of access to that feature has a critical impact on your business operations. Work cannot reasonably continue and the situation is urgent and a temporary workaround or alternative is not available. HIGH An incident is high if functionality in MoversSuite or Microsoft Dynamics GP product is severely degraded or restricted but business or operations can continue. MEDIUM A medium incident has minimum impact on business or operations. It may be a non-critical problem or defect that makes a MoversSuite or Microsoft Dynamics GP product inconvenient to use but does not affect its general functionality. LOW An incident with a low priority has little or no impact on business or operations. It may be a cosmetic issue that does not impact in any way the functionality of a MoversSuite or Microsoft Dynamics GP product. It may also be a feature request, documentation issue, or question on how to use a product feature. All product enhancements are classified as low. If you have an enhancement request that you believe is critical to your company’s business or operations, please indicate that when opening the incident. The following steps will need to be taken to ensure that the necessary information is available to resolve your incident: 1. Gather information on the incident Mover’s Suite Software, LLC 27 Introduction to MoversSuite 2. Log a new incident on the support website 3. Use the support website to manage the incident Gather information on incident Before submitting an incident to product support, gather the information needed to provide product support with data to reproduce and investigate the problem. It is very important to thoroughly prepare the description and supporting data to avoid delays in resolving the incident. Product support may need and request additional information depending on the nature of the incident. When logging an incident, the following information is required: Categorization of the problem MoversSuite or Microsoft Dynamics GP product name and version, e.g. Order Information 3.6.10.12345 Exact full text of any error message and the error number The exact steps required to reproduce the problem. After documenting the steps, try them again before sending them to product support to ensure that the steps are correct Other explanatory notes regarding the problem. For example, can you reproduce the problem or does it happen intermittently? Does the problem happen to all users or a select few? Does it happen on all workstations or only selected workstations? Incident type – question, problem, enhancement or training Any attachments relative to the incident Log a new incident After the required information has been compiled for product support to reproduce and resolve the incident, log the case with product support by either creating a new case through the support web site, the preferred method for submission and self-management of your cases, or by telephone. Submit an incident through the support web site To submit a new incident to technical product support, go to the support web site available through support.moverssuite.com. Provide sufficient detail to allow product support to reproduce the problem and include all necessary attachments. Incidents logged through the support website are automatically placed into the support queue and will be resolved according to their priority level and the order in which it was received. Submitting an Incident 1. Access the support website at support.moverssuite.com, 2. Select Support > Submit Incidents from the main navigation on the left-hand side of the screen, Mover’s Suite Software, LLC 28 Introduction to MoversSuite Figure 21: Support > Submit Incident 3. If not already logged-in, then enter Username and Password on the Customer Login page. Note: Username and Password are provided by MoversSuite to designated technical contacts only. See the Product Support Agreement for details, 4. Once logged into the New Incident Ticket screen, fill in the appropriate information and press the Save ( ) or Save and Close Window ( ) button to submit the ticket. Figure 22: New Incident Ticket screen To ensure a prompt turnaround time on the incident, verify that all procedures specified within the Product Support Agreement have been performed and that the Status and Priority fields are accurately set. The existing incidents can be viewed by accessing the support site and selecting View Incidents. Additional information and attachments can be added to the incident from the support site detail page. Save the incident number and use it for any further communication regarding the incident. Submit an incident by telephone If for some reason you do not have access to the support website, you can call (970) 256-1616 and select Option 2 to create an incident. Incidents submitted by telephone will be entered in to the support queue at the close of current business day and will be in line to be resolved the following business day. This does not apply to the submission of emergency incidents. Once product support has entered the incident into the support site, an incident number confirming the information submitted will be emailed. The incident will be resolved according to its priority level and the order it was entered on the next business day. Additional information and attachments can be added to the incident from the support site detail page. Save the incident number and use it for any further communication regarding the incident. Call-In Options Menu Option 1 Function Sales and Marketing Select option 1 for our Sales and Marketing Department. 2 Support Select option 2 for the next available Support representative. All emergency issues related to Microsoft Dynamics GP (Great Plains), MoversSuite and TTI/RMS Software should be addressed through this option. 3 General Accounting Select option 3 for questions regarding billing and accounting of products and services. If you know your party’s extension you can dial at anytime during the menu option message. Mover’s Suite Software, LLC 30 Introduction to MoversSuite Using Online Help MoversSuite Online Help contains up-to-date information on the latest release as well as the ability to search on a variety of topics. A growing wealth of knowledge can be found all in one place. Online help is available to the user from within MoversSuite through the application’s main toolbar by Help > Online Help (keystroke: ALT+H+H) or by pressing the F1 key. When evoked, the online help will open a web browser window and pull up the application. The general layout of the online help includes a toolbar, navigation pane, and viewing pane. Figure 24: Layout of the Online Help The table below describe each function available to the help user. Main components of MoversSuite Online Help Button Description Backward/Forward Topic Navigation The two arrow buttons allow a user to navigate backwards and forwards through an entire topic regardless of where the user started reading. This option is different from the back and forward buttons available in most web browsers Mover’s Suite Software, LLC 31 Introduction to MoversSuite which navigate a user through accessed web pages. Contents Option Opens the Contents within the Navigation Pane (displayed). The Contents lists all formally declared and arranged topics. Index Option Opens the Index within the Navigation Pane. From the Index, a user can view all topics built into the online help; arranged alphabetically. The Index will automatically reference a topic based on what is entered by the user. Typing the letter “M” for example, will move the listing to the topics beginning with “M”. Search Option Opens the Search within the Navigation Pane. A user can enter a word or words to search through the online help with. The results of the search will display within the Navigation Pane as hyperlinks that the user can click on to navigate to the particular topic. Favorites Option Opens the Favorites within the Navigation Pane. A listing of all the user-specific favorite topics will be stored within this pane. Add Page to Favorites Pressing this button will save the page that the user currently has opened within the Viewing Pane to the list of Favorites (E) for the user. Print Topic Pressing this button will send the topic displayed within the Viewing Pane to the user’s printer. Email Topic Pressing this button will open a new email message window* containing a link to the topic currently opened by the user. The message will default the To party of the email message to documentation@moverssuite.com. This is a good way of submitting comments about the page directly to those responsible for making corrections. *-User must be setup and have access to a mail server, such as Microsoft Outlook. Online Help Help Page Opens the help page for the Online Help. MoversSuite Website Pressing this button will direct a user to the official home site of MoversSuite (www.moverssuite.com). MoversSuite Support Pressing this button will direct a user to the user support site for MoversSuite (support.moverssuite.com). MoversSuite Blog Pressing this button will direct a user to the MoversSuite blog (www.moverssuite.com/blog). Online Help Contents Mover’s Suite Software, LLC 32 Introduction to MoversSuite From the Contents pane, a user can open a book by clicking on the book icon ( ) and a list of subtopics will display beneath it. A user can continue opening books throughout the topic. The user must click directly on the book icon in order to access the topics beneath the listed subject. When the book is successfully opened the open book icon ( ) will appear. Figure 25: Open topic and open book example In the example above (Fig. 25), the user has clicked on the book icon next to the Bookmarks topic to open the book. Within the Bookmarks topic, a user can continue opening books, such as Accessing Bookmark Files, until the last topic in the line is reached (denoted by a symbol). When only the topic name has been selected it will appear in bold font, as in Bookmarks above. Another means of browsing through topics is by using the backward and forward topic buttons. These buttons will allow the user to work through a topic in the intended flow. Pressing the forward button, for example, will take a user to the next logical topic. These buttons are different than the backward and forward buttons available from a web browser, which direct a user to previously viewed web pages. If a page has topics below it, then a user can view and access them directly through the Read On listings. Clicking on a title within the Read On listing will take the user to that page. Breadcrumbs help the user identify where they are at within a topic and allow the user to jump quickly to any topic along the chain. Figure 27: Breadcrumbs Online Help Index The Index will display every single topic in alphabetical order. This feature is excellent for easily seeing all topics associated to a particular name, such as Driver Advances. A text box at the top provides the user a quick way of navigating through the list. Once characters are entered, the index will automatically jump to that location in the list. Entering “D” will jump the user to the first listing beginning with that letter. Adding an “R” to the reference will move the user down the list to the first topic beginning with “DR.” Mover’s Suite Software, LLC 34 Introduction to MoversSuite Figure 28: Index Tip: A majority of MoversSuite topics begin with a common name. As in the example above (Fig. 28), a user can readily identify all topics associated to Driver Advances using the Index since the all begin with the common name. Online Help Search Use the Search function to find a specific item within the help. With the Highlight search hits option checked, a user can readily see the found word(s) within the search results. Figure 29: Search pane functions The search mechanism is based on keywords, which is very handy if you’re looking for a specifically named item, such as “advances”, but does not do so well at listing the results of compound words and phrases. It will give precedence to the topic that contains the most total occurrences of all the combined words and not the topic that may be most relevant. For instance, entering “driver advances setup” would return a list of topics that contain the most hits of all three words combined which may not be the most relevant; in fact, the actual topic titled Driver Advances Setup is not at the top of this list. Mover’s Suite Software, LLC 35 Introduction to MoversSuite We are currently working on enhancing the search engine. In the meantime, attempt to use a word or combination of words that would be unique to what it is you are looking for. For example, searching for “advances” will yield the best results for the subject “driver advances” since advances is used almost exclusively within the Driver Advances topic. Note: Most special characters specified within the keyword search, such as a hyphen, period, and quotation marks, will be ignored. Online Help Favorites The Favorites option will allow a user to store frequently accessed topics. Store the topic listings within the Favorites pane by pressing the Add to Favorites ( ) button when viewing the desired topic. Figure 30: Online Help Favorites Saved favorites will remain listed in the online help until either a newer version of the online help application is rendered or when the browsing history is deleted. Added Features of Online Help Contacting Documentation Please feel free to email us at documentation@moverssuite.com for any request, comment or suggest you have regarding our documentation. Email Documentation your thoughts on a particular topic by clicking on the Email Topic ( ) button. Pressing this button will open your default mail utility and a message will be created with a Subject of the active topic and a hyperlink to the exact page your are viewing. Tip: Update the mail To property to send the message to other recipients. Printed Help Manuals and other printable material are available throughout the online help. Look for the Adobe Acrobat Reader ( ) or Microsoft Word ( ) icons in the utility. Pressing these icons will open a printable version of the current topic. Figure 32: Printable-version icons in the Bookmarks topic If you wish to print just the contents of the opened page then pressing the Print Topic ( create a printable copy of the current page and direct it towards your printer. ) button will Glossary Terms There are two types of hyperlinks within the online help utility: one will take a user to a different topic or to external website or document and another that will provide a terms definition. Terms will appear as one to a few word hyperlink that is not an online help topic or external reference. In the example below (Fig. 33), claim is a glossary term that, when clicked, will open definition box displaying its definition.
