This guide allows users to understand the basic operation of PSM and its interaction with the Pointspan system. Audience The targeted audience includes but is not limited to the following staff who are responsible for installing and testing Pointspan equipment: • PSM Users • Pointspan System Administrators This manual does not provide detailed background knowledge, such as knowledge of the PSM software platforms or components of the Pointspan system. Organization This manual contains the following chapters: Chapter, Topic Description Chapter 1, Introduction Provides a brief overview of PSM, its features, and systems supported. Chapter 2, Installation Covers software installation and customizing instructions. Also contains hardware, software, and configuration requirements. Provides procedures needed to effectively use PSM, and includes menus, workspace, Picker Lists, session and communication audit viewing, and user interface conventions. Includes obtaining the database from the switch (Get Configuration) and file maintenance. Provides procedures for adding, modifying, and deleting PSM users (operators). Includes assigning specific permissions. Provides procedures for collecting a series of moves, adds, and changes for transmission to the SYSTEM database. It also lists supported system and switch functions. Description PSM is a unified management framework solution that operates under Microsoft Windows 98, NT, 2000, XP, and ME. PSM can operate on a stand-alone PC or in a local area network (LAN). PSM enables you to quickly and easily make station moves, adds, and changes to the station database in your Pointspan switch. It also allows you to manage optional call accounting and voice mail systems. PSM extracts information from SYSTEM, call accounting, voice mail and system databases. With this information, PSM creates respective local databases. PSM allows you to make changes to the local databases and send these changes back to the SYSTEM, voice mail system, and call accounting systems. Capabilities PSM capabilities include: Table 1. PSM Capabilities Capability Description PSM allows administrators to view multiple database aspects in one place. For example; a voice line, port assigned, name, voice mailbox, and faceplate can be viewed in one window PSM allows multiple administrators to make changes simultaneously. Through record locking, the system protects each user from disruptive interactions. You may use PSM to plan and implement a big department move weeks in advance, while executing today's intermediate moves or emergencies. Users can send changes immediately, schedule them for later, or postpone them. They can also schedule recurring events. Filtering allows the creation of custom reports sorted by the criteria assigned For example, filtering allows the system to find and sort all users of a 12SD phone by extension and name. PSM Database Interaction After installation, your technician instructs PSM to retrieve data records from your Pointspan and Voice Mail (if purchased) system. The system then stores retrieved records in a PSM database. You can then use PSM to modify these records in the form of moves, adds, and changes. PSM stores these changes in the database until they are sent to the managed system. The system uses the sent changes to update the records in the managed system database. Transmission Control Protocol/Internet Protocol (TCP/IP) Software Developers recommend Microsoft TCP/IP as the transmission control/internet protocol. Customer Hardware Requirements An installed PSM hardware configuration may include: • Multiple Client Workstations • Communications gateway PC/Data Server • Serial communications devices and cables Listed below are the minimum hardware requirements for PSM. The customer must meet these requirements to ensure proper PSM functionality. Communications Gateway/Data Server Requirements Communications Gateway and Data Server requirements for PSM include the following: • Server must be dedicated to the Pointspan Sync Manager • CPU Requirements: Pentium class 2GHz CPU (or faster) • Operating System Requirements: Windows 2000 Server or NT 4.0 Server (Service Pack 4 or higher) • Memory Requirements: Minimum 1024 MB RAM with 1024 MB pagefile space Aastra - 2562-003 M M 9 Chapter 2. Installation • Disk Space Requirements (minimum): Application and System Data: 425 MB This does not include space for the Operating System • Pointspan Data: 22 MB per 1,000 Directory Numbers 3 MB per 1,000 Satellite Directory Numbers • Voice Mail Data: 2MB per 1,000 Voice Mail Boxed (if purchased) • Audit, Configuration, and Project Files: 400 MB • Pointspan Sync Manager server software V6.10.34 (Aastra provided - must be ordered in conjunction with the Pointspan Sync Manager) • MS Internet Explorer 4.01 or later • One Tape Drive (DDS-3, 24GB) for back up purposes. Back up to a network drive is an alternative. • Super VGA card and monitor with 800 X 600 minimum resolution display and 256 colors • 3.5" floppy disk drive and CD-ROM drive • Microsoft compatible mouse • Two (2) Network Interface Cards (NICs) to support 100 Base-T LAN connectivity. 100 Base-T connectivity is required for optimal data throughput for client access. The system will use one NIC for network connectivity to Pointspan. It will use the second NIC for network connectivity to the client workstations. • Network file sharing via Novell Netware or Microsoft networking • Access to Windows NT compatible printer • pcANYWHERE software (for remote support) • Intelligent 4-Port serial card (recommend DigiBoard). The system requires a minimum of a four (4) port intelligent serial. This card supports one (1) Voice Mail connection (if purchased), one remote support dial-up port, and one port for operator paging. To prepare the communications gateway/data server for PSM installation, Information Services must: • Configure and test the server per minimum hardware and software requirements. • Configure and verify serial and TCP/IP connectivity as required for each system to be managed via PSM. This PC must have an intelligent serial card. Developers recommend a four-port (or more) DigiBoard serial card. Install PSM You need a basic knowledge of your Windows. operating system to install. Ensure that you configure the hardware and operating system per minimum requirements. Check your PSM shipment for the CD-ROM containing the PSM program files. Aastra - 2562-003 M M 11 Chapter 2. Installation Install Client/Server System To install the client/server system: • Install at the communications gateway/ data server • Install shared data files • Install program files on a workstation Install at the Communications Gateway/Data Server You must install the appropriate network protocol software at the communications gateway/data server to enable the server to communicate with the client workstations. When using the Client Server model of PSM, observe the following points of security. • • • 12 M M Customer Network Access: PSM users must have network user names and passwords that are valid for the data server where the Faircom Server software resides and the file server where the PSMDATA directories reside. The users must have permission to read, write, execute, and delete files in these directories. DATA Server Access: After users log into the network servers they need to log into the data server. Users can create a generic user name and login in the data server for all PSM gateways and workstations. Installers configure the generic information into the PSM PCs when the PSM software is installed. These user names and passwords can be unique to the PSM workstations and are transparent to the user when logging into the customer network. Customers create user names and passwords at the data server by using the Faircom administration utilities. (See Faircom Administrator's Guide.) An example of a user name is: “rjones.” An example of a password is “psmusr.” Customers edit user names and passwords into the workstation’s Server section of the 2n.ini file for transparent access. PSM Login: When the PSM application starts, the system prompts the user to select from a list of defined users, and then enter the associated password. If you are not familiar with these concepts, refer to Windows documentation and tutorials. Start PSM You can start PSM from a shortcut you create or from the Start Menu. To log in, select System Administrator and click Log In. Set Up the Connection When you initially open PSM on the communication gateway/data server, the Connection Setup Wizard appears. Click Yes if you want to define connections now, Another option is to click No if you wish to define them later. If you are installing PSM for more than one user’s PC, perform this procedure only on the PC that sends changes to the system. To setup connections now: Table 10. If you install PSM for more than one users PC, perform this procedure only on the PC that sends changes to the system and while PSM is logged in under the user name normally used at that workstation. If you have PSM logged in at this PC under a different user name, you do not have the administrative passwords available. To perform a connection setup after PSM startup: Table 11. It is the primary orientation-point in the software. You can move the division for the workspace, a vertical bar, left or right, if necessary. The area to the left of the bar is the Workspace Navigation Area. The area to the right of the bar is the Workspace Display Area. When the workspace is initially installed, it shows only the basic entities. Workspace Navigation Area The Workspace Navigation Area is similar to the hard drive file access system. Types of records listed on the top level, and a plus sign to the left of a record indicates that there are further levels of records under that record. The primary types of records listed in the Workspace Navigation Area are: Table 12. Clicking the plus symbol reveals your Pointspan system. Further expansion shows the record types that you can view or manage in PSM starting with ACD Agents. Workspace Display Area The Workspace Display Area is a convenient location for shortcuts to different types of data. When you first look at PSM, this area is empty. As you begin to work with your data and create records, icons appear in the Workspace Display Area that help you access information quickly and organize your work. The way you use this area is flexible and your method develops as you become familiar with PSM. You can represent any type of data in the Workspace Display Area. When you create a new record, it appears in the Workspace Display Area automatically, as a quick confirmation that the work was completed. 18 M M Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide You can quickly remove all icons from the workspace in the following way: Table 13. Right-click on any of the icons and select Put Away, Another option is to use the keyboard shortcut and click <CTRL>+<B>. Status Bars Locate the status bars along the bottom edge of the workspace window and the main interface window. The status bar on the bottom boarder of the Workspace window displays the system you are accessing. For example, if you have selected a Station record, the name of the Pointspan system where the record resides displays in this status bar. The two status bars on the bottom boarder of the main window displays: • Current operator • Log in name selected when PSM was started • Current project (the project where changes are stored upon clicking the Save button.) This does not apply to saving changes with the Send Now button. Send Now button changes are automatically saved into a new, one-change project that is immediately sent to the SYSTEM or message server. Export Allows you to export PSM Picker Lists into tab delimited ASCII text files for use with other products, such as a spreadsheet program. Print Setup Allows you to set PSM default printer settings. Print Allows you to print the “front” object, such as a Picker List or an extension. Exit Allows you to exit PSM. Open History Allows you to open past session audit files and other operator’s session audit files when your current session audit view is open. Other Undo Allows you to undo changes made to the PSM database that have not yet been sent to the SYSTEM, when the change is highlighted in a project window. The change status column updates to undo/redo based on the current state of the selection. Cut, Copy, Paste, Clear, and Select All Allows you to manipulate typed-in text in PSM text fields/areas as you would with any word processor. Find, Find Again Invokes a dialog that allows you to search quickly through the many items included in the PSM Picker Lists by initiating a search to match the criteria you enter. Filter Allows you to customize a Picker List. In effect, you filter out the items in the list you are not interested in seeing, thereby simplifying the list to suit your needs. Reset Filter Returns a Picker List to its full membership after a filter activity completes. Sort Allows you to change the order of items in a Picker List. Aastra - 2562-003 M M 21 Chapter 3. Picker Formats Allows you to define a Picker List format for your own use or to share with others. Also allows you to select a completed Picker List format. Session Audit Opens a list of the activity a PSM operator performed during day. With a session audit window open, the File menu contains a new option called “Open History” that provides access to previous days’ audits. Terminal Allows you to select a terminal emulation program without exiting the program.. Terminal can be used for “pass- thru” access to the switch. Current Project Opens a window that shows all changes and status of a current project. Window Menu ® The Window menu contains Windows functions that allow you to arrange your windows. If you are viewing two or more windows, you can arrange to tile or cascade your windows, Another option is to select a window that is open behind your current window. You can also arrange icons so they are aligned in the workspace. Figure 5. Window Menu Object Menus (Pull-down Menus) When you select an object in the navigation area of the Object menu, the system replaces the heading in the menu with a heading associated with the object selected. For example, in Figure 6, the port option is selected, so the menu reads Ports. When working with a SYSTEM (SYSTEM highlighted), the menu reads SYSTEM. Concepts and Procedures Options in these menus do not become active and in some cases do not appear until you highlight an item in the Picker List. Typical options in these menus are: Table 17. Put Away After you transfer an item to the workspace, the system replaces the Transfer to Work Space option with the Put Away option. Selecting Put Away removes the selected icon from the workspace. List Opens associated Picker List. Get Configuration Copies all the information from the SYSTEM source database or a voice mail system to your PSM database. Set Connection Opens the Connection Wizard that allows you to set the communication parameters necessary to communicate with the SYSTEM. Update Resources Allows you to access unassigned ports, directories, and user groups. Resynchronize Allows you to update the PSM database by extracting changes to the SYSTEM database that were made through the administrative console. Picker Formats Allows you to save your customized Picker List as a picker format. Manage Multiple Connections Allows you to modify connections or create additional connections from your workstation. For example, you can define a network connection for a system, and also have a modem connection defined if required. Help Menu The help menu provides on-line help. The right-click menus are composites of the pull-down menus on the command line. Selections in the right-click menus are those used most frequently. This provides quick user access to selections instead of having to pull down a menu on the command line. The right-click menus for icons in the icon area are the same as those for the corresponding item in the workspace. Keyboard Shortcuts Use the following keyboard shortcuts in PSM. Table 18. This is called an auto-configure or “Get Configuration.” Use Get Configuration for the SYSTEM and Voice Mail systems, as well as other databases managed in PSM. Get Configuration copies all the information from the SYSTEM source database, a call accounting server. The company field service representative establishes your initial Get Configuration. Get Configuration can take hours to complete. Length of time depends on the size of the source database and system speed. The process runs more efficiently during off-peak Aastra - 2562-003 M M 25 Chapter 3. Concepts and Procedures hours. The procedure below is a Get Configuration for a SYSTEM. The Get Configuration procedure from the other sources is similar. If you update the SYSTEM MCU software release to a new version, you must perform a SYSTEM Get Configuration, so that PSM will match the new version. Get the Configuration To get the configuration for a SYSTEM: Table 19. Get Configuration Step Action 4. Right-click a SYSTEM in the workspace. 5. Choose Get Configuration from the pull down menu. Result/Notes Download starts. During download, a text box entitled “Building Auto-Configure Project” appears. After download is complete, an Event window entitled “Start Auto Config. . .” appears. 6. In the Event window, click Save to start auto configure. The Event Status window opens. The Event Status window indicates if the login is successful and the commands executed. Some commands may take more time to complete. 7. Verify that messages are coming to the window then periodically check the messages to make sure nothing stopped the process. To work with another Windows application, minimize PSM. You can move the message window out of the way if you want to work with another SYSTEM. If you leave the PC, make sure the system remains on. You can turn off the monitor if desired. Monitor Get Configuration with View Comm Audit You can monitor Get Configuration using the View Comm Audit option in Projects. Use the Create Date as an indicator to aid in your selection. 11. Click View Comm Audit from the Events menu. The Comm Audit summary opens in your browser. The summary shows a list of status updates from the project. To view a log of the communication between PSM and the SYSTEM, click the Display option in the last column of the summary. If the project is still in progress, you can update the view by clicking your browser’s refresh button. Get Configuration Completion When Get Configuration completes, the Event window closes. Repeat the Get Configuration procedure for each SYSTEM in the SYSTEM Picker List. If you opened a Comm Audit window, you must close or minimize this window. PSM Database Resynchronization After initially extracting station database information, you have a timesaving alternative to performing a subsequent configuration or differential auto configuration with database resynchronization. Database resynchronization allows you to update the PSM database by extracting changes to the SYSTEM database that were made through the administrative console. PSM uses the SYSTEM database update log to determine whether users made all modifications since the last successful resynchronization. PSM uses the list of keys in the SYSTEM update log as a basis for creating a small autoconfig project. The system sends that project to the SYSTEM to obtain fresh copies of the changed records. The customer site determines when to perform database resynchronization. For example, if a site makes almost all changes through PSM, the customer can have PSM re synchronize on demand only. On the other hand, a site that allows many administrative console changes can resynchronize on a regular schedule, such as hourly. Developerprovided applications that make station database changes via OAI are OAI-Nomad and Automove. Use of the dynamic agent sign-on features or a diagnostic Table Validation (TVAL) also Result/Notes in a “back door” database change. Scenarios are as follows: Aastra - 2562-003 M M 27 Chapter 3. Concepts and Procedures • • Site with few administrative console or OAI-based (back-door) changes: – Technician makes changes through administrative console or the application makes changes via OAI. – PSM operator selects re synchronize for that SYSTEM. – Event schedule is set to Now. – The autoconfigure event executes and picks up the recent changes. Site with many administrative consoles or OAI-based (back-door) changes: – PSM operator selects resynchronize for each SYSTEM. – System or user sets Event schedule to Recurring, and sets a schedule. – The resynchronize event runs at scheduled intervals, picking up the backdoor changes. Users implement database resynchronization as a variant of the autoconfigure event. PSM keeps track of the date and time of the last successful autoconfig for each SYSTEM. A full autoconfig includes a differential autoconfig, and a resynchronization to reset the time stamp when complete. The time stamp is based on the start time of the event, not the completion time. This creates an autoconfig from the log project and an autoconfig log subproject. As the event is executing, the system displays log items found in the project, and refreshes a PSM copy of the affected records. The autoconfig log subproject is a record of all the changes made. Do not send the subproject to the switch; it is for reference only. Workspace Functions The workspace contains four basic types of functions: • Database functions • Associated functions • SMAC Functions • Voice Mail Functions Database Functions Database functions consist of SYSTEM, Voice Mail, and Call Accounting. Table 23. Database Functions Function Description SYSTEM Allows you to retrieve and copy information from the SYSTEM database into the PSM database. You perform this initially when you install PSM and anytime thereafter, if the SYSTEM station database is modified without using PSM. You can also use the SYSTEM function to set your SYSTEM-to-PSM communication parameters. Call Accounting This option is available in a later release, however there is no information on that at this time. Voice Mail Allows entry to the voice mail database. The voice mail database provides access to system-level data for each voice mail system users set Configuration to manage. Aastra - 2562-003 M M 29 Chapter 3. Concepts and Procedures Function Description Voice Mail is a PSM purchased option. If you do not purchase this option, the voice mail function does not appear. Associated Functions Associated functions consist of Events, Operators, Projects, and Templates. Table 24. Associated Functions Function Description Operator Allows you to create, display, modify, and delete PSM operators or users. An operator is anyone who has access to PSM. Project Allows you to create separate projects that implement a set of changes to the SYSTEM configuration. You can also display, modify, and delete projects. Project actions vary. One project might be as simple as adding a new extension. Another project might be MACs for moving an entire department. Event Allows you to check the status of all scheduled projects and to change the scheduled implementation time of a project or delete a scheduled project. Templates Allows you to, create, display, or modify. Another option is to delete templates for ports, voice lines, authorization codes, directory records, wiring records, voice mailboxes. Additionally, Another option is to design complete stations. SMAC Functions In the workspace under SYSTEM are the SMAC functions that allow you to make Station Moves, Adds and Changes. This eliminates the need for scheduling a project while still providing notification of project status. In previous PSM releases, users had to define a project, save the changes to the project, and finally schedule the project to be sent. Use Send Now with all station moves and changes. Send Now Button Clicking the Send Now button opens a Send Now dialog. This dialog shows the project name and a block that allows you to set the date and time for PSM to delete the project. You can also select to not display the dialog next time. When the dialog information is set, you can send the project now by clicking the Send Now button. The Send Now dialog only appears if you select Show Send Now dialog in the Projects pull-down menu or in the right-click menu in the Project Picker List. Clicking Send Now automatically creates a project and schedules it to be sent immediately. It also has an automatic delete schedule set for 24 hours after completion. You can modify the name and delete schedule for the project in the Send Now dialog. Picker Lists A Picker List is a list of items or records associated with a PSM function. Each function has an associated Picker List. Picker Lists consist of columns specific to that list. Figure 8 shows an example of a Picker List. You can access a Picker List by double-clicking a function or associated icon in the workspace. For example, when you double-click Voice Lines, the Picker List of assigned extension numbers appears. You can select the extensions you want to work with by double-clicking them or highlighting them and transferring them to the workspace. Aastra - 2562-003 M M 33 Chapter 3. This allows you to open an event window from the icon instead of accessing the Picker List. To transfer a Picker List item or record it to the workspace: Table 29. When a Picker List column is too narrow you can widen the columns to display all of the information. You can also narrow it if there is more column width than you need. You can also use the mouse to adjust the width of the entire Picker List. Adjust Picker List Column Width Sometimes you need to see a little more of the column, in this case you can widen or narrow the column widths. To adjust column width: Table 30. When the mouse pointer changes to a double-ended arrow, hold down the mouse button and drag the vertical bar to the right or left. Some Picker Lists have a large selection of column headings. In most cases, the PC screen is too small to show all the columns at one time. This requires moving the page to the right with the right arrow at the bottom of the screen. Picker Lists as Reports You can think of every Picker List as a report. You can add the data you want to display in the report as a column in the Picker List. You can then view and print the Picker List. Cross Reference Picker List Information Cross Referencing allows you to display Picker List information in two ways: • As represented on the SYSTEM or other device • In a more readable format Some Picker Lists do not support cross-referencing. Some Picker List content may be organized in such a way that cross-referencing does not show a different information format. Access Cross Referencing To access cross referencing: Table 32. By saving it as a new Picker List under a unique name, you can use the new Picker List as a report. You can define a Picker List to include only STE ports. The comparison operators available are: • Equal to • Not equal to • Greater than • Greater or equal to • Less than • Less or equal to • Starts with • Contains Contains is useful when you do not know the full text for your search. For example, to find all users of an ITE-12 you can set the operator to Contains and the value to 12 and not worry whether the expression contains ITE-12S or 12SD, etc. • Check Cross Reference in the View menu to check cross-reference names for the field value as well as the normal identifier. Another option is to right-click on the record type, and select the picker format name in the picker formats sub-menu. Sort a Picker List You can sort a Picker List with the Sort option under the Edit menu. You can sort on one or more fields from the Picker List, selecting ascending or descending order for each field. A plus next to the field name means ascending order, a minus means descending. When you click Save, it sorts. Sorts can take minutes to hours, depending on the size of the database and the sort being performed. Use the Find Option to Search a Picker List The Find option allows you to search a Picker List quickly. Select the Search field by using the drop-down box, and specify the string you are searching for in the “Find what” text box. 44. Specify the direction (up or down). The search starts at the highlighted portion in the Picker List and goes in the direction specified. You can also specify to match on whole word only, casesensitive, Another option is to choose to open the document, if found. The search stops at the first match. You can choose find next (F3) or the find again menu item to continue the search. 45. Type your search criteria. For example, if you are searching for extension/user group 2120/1, type this information in the “Find what” box. If you are searching for a name, type enough of the name to make it unique. When find recognizes your entry, the entry appears in the Picker List window. Edit a Picker List System record pickers in PSM have a quick edit feature. This allows you to edit a phone or voice mailbox directly in the Picker List, without opening the record. To make a system record change using picker edit: Table 36. The change you make to the top record applies to all the highlighted records. Export Picker List Information The export feature allows you to save Picker List information as comma separated files for import to Excel or as HTML format. This allows you to easily update and maintain intranet- based directory listings of SYSTEM or voice-mail information. To export picker information: Table 37. Click Save. Compare Records PSM allows you to compare any two types of similar records. You can generate a viewable and printable file that highlights the differences between the two records. Some examples of comparing records include comparing Classes of Service on two message servers or comparing two stations that should have the same function but for some reason do not. This feature allows you to compare two records on the same system or on two different systems. Compare Two Class of Service Records The following is a fictitious scenario. If you want to compare two records from different systems, right-click and select compare for one record, then use the Browse buttons in the Compare dialog to locate the second record. 67. The differences between the two Classes of Service appear in the format you chose. If you want to see this comparison in the future, save the created file within the browser. Sessions Audits and Communication Audits Session audits and communication audits allow you to see transactions between PSM and the switch. The Session Audit is a list of the activity a PSM operator has performed for the day. • Select Session Audit from the View pull-down menu. • The system creates a new session audit for each day, providing you shut down PSM overnight. • For a station that is left on continually, such as the communication gateway PC, the session audit file will continue on a single file until you restart PSM. The Communication Audit is a capture of all communications activity that occurs within a project. • Select View Comm Audit from the Projects pull-down menu after you send a project. • Another option is to select from the Events pull-down menu after an event executes. The session audit files have an .opa extension. For every PSM operator, PSM creates a directory to store the .opa file. Typically, the user creates these directories as \cmdata\audit\operxxxx, where xxxx is the number of the operator. You can then find the .opa files in each operator's directory. File Maintenance PSM creates files that store the transactions between PSM and your switch. Some of these files can be rather large, especially if your site is large. Developers recommended periodically backing up some of these files and then deleting the files from your hard drive or file server to conserve disk space. Purge Files Developers recommend periodically purging files that contain operator transactions (session audits) and files that contain transactions between PSM and the switch (communication audits). Deleting a project within PSM also deletes the corresponding comm audit file. Find, Copy, and Delete Files The following topics and tables outline procedures for finding, copying, and deleting files: Find Files Use Windows Explorer to search for file extensions. You can also find files or file extensions from the Windows Start Menu. Use Windows Explorer to Copy and Delete Files Read your Windows 98/NT/2000/XP documentation for a complete explanation of Explorer's options and display formats. Features of the Project functions include: • Collecting a series of moves, adds, and changes for transmission to the SYSTEM database. • Accomplishing related moves, adds, and changes, such as a department move coming next week, today's minor moves and changes, Another option is to a recurring nightly change to call forwarding. • Dedication to a single SYSTEM or can span multiple SYSTEMs. • Allowing multiple operators to organize projects - "Carl's Monday MACS," for example, Another option is to multiple PSM operators can combine changes into one project. • Adding MACs to a project after the project is sent. • Checking changes in different projects to see if they affect each other. • Moving changes to other projects, giving more control as to when individual changes are sent. • Undoing changes and then can reinstating them. • Deleting changes. Project Picker List The Project Picker List displays 11 selectable columns: • ID • Create date • Name • Owner • Permission • Status • Change count • Comm Audit File • Event • Delete Date • Systems in Project. Aastra - 2562-003 M M 49 Chapter 5. Project Function Picker List Status Column The Status column shows an aggregation of the status values for all the individual changes in the project. For example, if users send some of the changes in the project status successfully and others fail, the project status is "Sent-some failed." Possible values for a project are: • Saved • Sent OK • Send Failed • Sent-some failed • Partially sent Users see the partially sent status most commonly in two situations; in multiple-system projects where PSM was unable to send changes to one of the systems or when users add new changes to a project after it has been sent successfully. To complete the project as soon as possible, users can reschedule events associated with partially sent projects to immediately execute again. Other Columns The change count column shows the total number of change records in the project. Users can also display the name of the communications audit file associated with this project as a column in the Event picker. Additionally, users can display additional information including: • Project status • Comm Audit file • Change count • Permission • Create date, owner, and ID Comm Audit File Column The Comm Audit file column in the Project Picker List shows the name of the Comm Audit file residing in the PSMdata\audit directory with a .cma extension. This helps users view the file with a text editor, so they can use commands such as find or search. Project Window To open a Project Window: Table 45. For example, if you add an extension using PSM, you see the commands to add the extension listed in the Project window. If you view the Project window with Cross Reference turned on, you do not see the individual commands. You see only one line descriptions of each (MAC) Description Column The Description column shows the commands that users send to the SYSTEM database. The system groups commands under the umbrella of the configuration change they implement. When you click an individual command in a group, the system highlights all of the commands. You can then change the status of that group of commands from either saved to undone or vice versa. For example, you may: • add a Call Pickup group • change class of service features • or add an extension. System Column The System column shows the system where your project works. Project Window Status Column It is extremely important for you to understand status because it explains how PSM treats the change. Following is an explanation of each status. Always send all pending projects to the SYSTEM before performing a Get Configuration. Aastra - 2562-003 M M 51 Chapter 5. Project Function Table 46. Project Status Function Description Saved Changes Saved changes are entered into PSM but not sent to the SYSTEM. The changes are seen in the PSM database as if they are sent to the SYSTEM, unless a Get configuration runs before sending the project. If you run a Get configuration before of the all pending changes in a project are transmitted to the SYSTEM, the project's changes are no longer seen in PSM. When all project changes are saved within the project, they can be transmitted. To view the changes previously transmitted, perform a Get Configuration. If a set of commands is marked as saved, it means that it is saved in the PSM database and will be sent and implemented on the SYSTEM as soon as you transmit the project. You can undo commands that are saved but not yet sent to the SYSTEM. Sent OK Commands you sent to the SYSTEM cannot be undone. Changes must be made manually to the SYSTEM through PSM. Local A local change is made to the PSM database but there is no corresponding change to be sent to the SYSTEM, Another option is to the SYSTEM does the action as a consequence of a previous action. An example is adding an extension to a call pickup group. PSM updates the CPUG membership locally to reflect a step the SYSTEM does automatically. Undone Changes will not be sent to the SYSTEM, and the PSM database has reverted to the setup it had before those commands were saved. Commands that are undone are reinstated by highlighting the changes and clicking on the redo option in the Edit menu. This undoes the undo, and reinstates the change to a saved or local status. Send failed Send failed means that the transaction could not be sent successfully to the SYSTEM. PSM retries each time the project is sent in the future. To research the failure cause, view the comm audit for that project. If you decide you do not want PSM to send this change anymore you can undo it. This works just like undoing a saved change by removing it from the PSM database. Undo a Set of Changes Before transmitting the changes grouped together in a project, you may mark an individual change as undone. If you mark a change as undone it does not transmit to the SYSTEM. This allows you to selectively send changes in a project. 52 M M Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide If you undo a change that a later change depends on, the system attempts the later change but fails. An example of changes saved in a project: • Create a new extension 6609. • Modify Pick-up group 10 to add 6609 as a member of that Pick-up group. If you undo the creation of the new extension in the project, then the system attempts the modification of Pick-up group 10 but it fails. The system undoes in reverse order, starting with the most recent change. Redo changes in forward order. Use the Other Undo Option To use the other undo option: Table 47. If undo affects other changes a warning dialog opens. Reactivate Undone Changes If you want to transmit a change you previously undid, you can use the Redo option to reactivate your change. If the system sends a project with undone changes, the undone changes remain, available for redo. Users can re-send projects multiple times. This allows you to look at the file with a text editor where you can use Find or Search commands. Move Changes Between Projects One of the advantages of having multiple projects is the ability to move a set of changes from one project to another. The Move Change(s) To option on the Change menu allows you to make these moves. For example: Table 52. Sample Scenario for the Move Changes option Scenario Sample Problem Suppose you add three new extensions to Sales because you are told they are expanding. The system adds these changes to your current project. Then suppose you are told the expansion has been delayed for a month. You now have a project that includes some changes you wish to implement this week and some you wish to implement next month. Sample Solutions One solution is to mark the sales extensions as undone. You must remember these changes were in today's project and re-activate them when the expansion takes place. You also have another option. You can move the sales changes to another project. In this example, you could create a new project and call it Sales Expansion. The Move-To option is enabled only if another project exists. Autoconfigs do not qualify as another project in this case. To move a change: Table 53. Click the project you wish to move the change to, then click OK. The change or changes append to the end of the destination project. Transmit a Project After you complete a project, you transmit it to the SYSTEM so the changes occur in the PSM database. To transmit a project: Table 54. In the Event window, schedule a time for the project to be transmitted, Another option is to transmit now. Send Now Feature PSM allows you to send changes immediately to the SYSTEM, voice mail system; or the call accounting system. This eliminates the need for scheduling a project while still providing notification of project status. In previous PSM releases, users had to: Aastra - 2562-003 M M 57 Chapter 5. Project Function • define a project • save the changes to the project • schedule the project to be sent. Delete Projects and Project Changes Deleting project changes affects PSM based on the status of the project or its individual changes. If the status of the change indicates it has not been sent, the system warns you. Delete a Project To delete a project: Table 55. Delete a Project Step Action Result/Notes 131. If the project contains changes that were not sent, the system warns you. Delete Saved Changes When users delete saved changes, the system leaves the changes in the PSM database. This is useful if someone made changes to the SYSTEM without using PSM. To update changes to the switch, you can either use the Resynch feature, or input the changes in a PSM change viewpane, save them, then delete these saved changes in the project window. These changes remain in the PSM database and correspond to changes made directly to the SYSTEM database (without using PSM). Both databases match without performing a get configuration. Delete Undone Changes Undone deleted changes are completely removed from the PSM database as if they were never entered. 58 M M Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide Delete Unsent Changes You can delete changes not sent to the system. There can be also have changes that were saved but not sent but failed as indicated in the Status column of the Project window as “Send Failed”. You have the option of undoing the unsent change if the change does not match what is already in the system. Another option is to delete the change without undoing it if the change was already made outside PSM. To delete an unsent change, that has a status of Saved or Send Failed: Table 56. You have the option of undoing the unsent project if the change does not match what is already in the system. Another option is to delete the project without undoing it if the change was already made outside PSM. To delete an unsent project that has a status of Saved or Send Failed: Table 57. Automatically Delete Projects You can automatically delete successfully sent projects. To set up for automatic project deletion: Table 58. Troubleshoot a Failed Project There are three possible reasons why a change you made to a phone or mailbox in PSM may not appear to have been completed on your system or message server. 1. The system did not send the change to the system or Voice Mail system because of scheduling issues. 2. The system is missing a communication link between the PSM server and your message server. 3. PSM encountered an error when sending the change to the message server. Check the Status of Your Change When you send a project or perform an auto-configure, PSM creates an event. An event is the scheduling component of the project. To verify that PSM successfully sent an event: Table 59. Check the status of Your Change Step Action Result/Notes 147. (Table 61) Postponed The event has been postponed and is not sent unless rescheduled. Someone postponed the project. If there is no reason to wait, re-send the project. Wait-Station Busy (only for systems with serial connections) The event is waiting for a modem to become available to send the change. Allow time for a modem to become available. Project Function Identify the Problem If the event has a status of “Error-View Comm Audit,” check the project to determine which change(s) did not complete successfully. Correct the Problem Many problems occur because the PSM database is not updated to reflect the systems database. Correct this by: 62 M M • Performing a resync if the problem occurred on the Pointspan system. • Performing a Get Configuration if the problem occurred on your Octel message server. Common Problems, Causes, and Solutions Problem Possible Cause Solution When trying to create a mailbox an error saying the mailbox already exists appears. Mailbox number was used outside of PSM. In the Comm-Audit window, make sure the mailbox is the same one you are trying to build. • If mailbox looks correct, ignore the error. • If mailbox is not correct, modify it through the SMT. If mailbox number is in use by another subscriber, undo your change in PSM and recreate with a different number. In any case, re-auto configure your system as soon as possible. When trying to modify a mailbox, an error saying the mailbox does not exist appears. Aastra - 2562-003 Mailbox was deleted outside of PSM. Find out why the mailbox was deleted. If there should be a mailbox there with that number: • Undo your current changes for that mailbox. • Delete the mailbox in PSM. • In a separate project, rebuild the mailbox with the attributes you wanted. PSM initiates an event and the Event window when you: • send station moves and changes (SMAC) to the switch (Chapter 9) • when you send a project (Chapter 5) • when you perform a Get Configuration (Chapter 3). Double-clicking on Events in the navigation area opens a Picker List of events that are either: • in progress • waiting • complete • postponed • error status. Double-clicking on a scheduled event in the Picker List opens the Event window. In the Event window you can modify, Another option is to delete the event. The Event Window The Event window, shown in Figure 12, consists of three sections: • Scheduling • Recurring day • Recurring time The window also contains four buttons: Connections, Options, Save, and Cancel. Event Window Scheduling Section In the Scheduling section, you can set the time that PSM either retrieves database information from the SYSTEM or transmits a project to the SYSTEM. Recurring Time Section The Recurring time section of the Event window lets you set two parameters: Table 65. Recurring Time Step Action Result 158. Repeat every The recurring interval when more than once per day, on the days selected above. 160. “From” and “To” The time period in which the event can be sent The “From” time is usually set for later than the current time. The “To” time is the end of the range for an event to occur. Connection Button Click the Connection button to open the Connection Wizard shown in Figure 13. The Connection Wizard allows you to connect to your SYSTEM. Unless you are working on the communication gateway PC or on a single-user installation, this button will be disabled. This window contains six sections: Figure 14. Event Options Window 68 M M Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide • Operator permissions • Project errors • Auto configure options • Listing • Script errors • Project deletion The Event Options window allows you to: • Set the time period PSM waits before resuming communication after a failure • Record the number of times it attempts to send the event before giving up Options are only valid when sending changes to the SYSTEM, versus receiving information. The items presented in the options window are left at their default settings. You only need to change them on a special-needs basis: Table 66. Event Functions Option Function Operator Permissions PSM can allow interruption or cancellation of an event by: • Anyone - Any user • Any operator - Any PSM user with a username and password Creator only - Only the user who starts the event can cancel it. This option protects you against accidental or indiscriminate use of the Abort button on the Event Status window. If the user clicks the Abort button, the Login dialog appears. Entering an incorrect password causes the system to ignore the abort request and interrupt the event in. Clicking OK, allows you to click a second time on the Abort button, and the system displays the Login dialog. You can once again attempt to enter the correct password. Once you enter the proper password, the system grays out the Abort button. Project Error Number of minutes PSM waits before attempting the event again if there is a data transmission error includes the number of times PSM attempts to perform the event when it encounters errors. This is useful when trying to perform moves, adds, and changes on an instrument in use. For example, if you set the length of time at five minutes and the number of retries at ten, PSM waits five minutes when it has a problem and retries ten times before aborting. PSM pages an operator if it encounters an error it cannot resolve. Define pager numbers via the Operator function. A modem must be accessible by the communication gateway PC for PSM to page. Events Function Option Function Auto-Configure Options The Event Options window presents the following options for obtaining and processing intermediate files from the switch. Always select Differential auto-configure after the initial auto-configure. In making option selections, you can select: • One if you just want to review, • One and two if you want to build a new database from the intermediate file • All three if you just want to update your (PSM) copy of the database. Synch PSM generates a record of the switch database (an intermediate file). It uses the differences between it and the current copy to update the current copy. It also generates an “auto-config log” project that contains all the changes made to the database. The box for Synch dims if the system does not support Synch or if the event is not an Auto-Configure event. Obtain Intermediate Files from the System PSM polls the switch and generates an intermediate record of the switch database. This clears the PSM database. This option is useful if you want to review the switch database but do not want to take action at this time. If you want to pick up only the differences, check differential auto configure as well. Build Databases from Intermediate Files PSM reads from the intermediate file and creates a new PSM database. This is useful for trouble-shooting operations only. • Check before each change - List the database configuration before issuing any change command. • Check after each change - List the database configuration after a issuing a change command. This is extremely helpful in reviewing what happens in the communication audit after PSM sends changes. Typically, this is not required since the switch automatically lists the database configuration after it confirms the change command. Listing Script Errors In case of script errors, you can set the time to wait before PSM resends an event and specify how many times to try again. Project Deletion Allows you to set a date and time to automatically delete a completed project. Cancel and Save Buttons • 70 M M Cancel The Cancel button clears any changes to the Event window during this session and closes the window. If you select the Execute Now option, click Save to tell PSM to get or send the information immediately. When you save a Get Configuration event, leave PSM running. If you quit PSM, the activity does not occur. Event Picker List You can set the Event Picker List to display information under the following columns: Table 67. Minimize PSM if you need to use your system for other work. • If running on a local area network In this environment leave the communication gateway workstation on with the ability to communicate with the remote system. Minimize PSM. Event Status The event Picker List displays a status column indicating the state of a particular event. When you pair the data in this column with the data in the project Status column, you can determine whether a project requires your attention or not. The Event Monitor also allows you to view the status of multiple events in progress from a single window. To monitor an event or events: Table 70. Monitor an Event Step Action 168. The SYSTEM function is your gateway to station moves, adds, and changes (SMAC). SYSTEM Information Window The SYSTEM information window, Figure 15, consists of information sub-windows accessed by pull-down windows. The window displays the name of the SYSTEM, the product line, and the model number. When the window opens, the System Parameters window appears. From the information window, you can view and modify SYSTEM information. Figure 15. SYSTEM Information Window SYSTEM Sub-Windows SYSTEM sub-windows consist of the following: Table 71. If you set this to System Administrator, only the person using the System Administrator login can run an auto-configuration. • Lists the selected equipment and the domain associated with it. When installers generate the PSM site license file they enter each SYSTEM and Voice Mail package under a common Domain name. DID View Areas 76 M M If the license links the switch to a voice mail system, the records are maintained as a block and you see them associated here. If they are not linked in the license, the records are not maintained together and they are not shown associated here. • Block start and Block end These fields identify the DIRN ranges that are DID numbers. Click the Add button to add the range entered. Use the other buttons to remove, replace, or import from a text file to change the list of DID blocks. • DID Blocks list Displays the current DID blocks. This information is useful when doing MACs. When creating or modifying a voice line, divide the available system DIRNs are into different lists for easier selection. This makes it possible to select DIRNs based on their allocation as DID, Non-DID, Assigned or UnAssigned. • Range start, Range end, and Range name These fields associate SYSTEM circuits with physical or logical locations. The Range name can be a building, floor, etc. associated with physical SYSTEM hardware. Click the Add button to add a range of circuits. Use the other buttons to remove, replace, or import from a text file to change the list of areas. Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide Option Function • System Parameters • • Range list Lists the defined areas and associated circuits (stations). This information is useful when doing MACs. You can configure the Picker List to display only the circuits associated with the physical or logical areas where the MACs are processing without having to list the system wide resources. Wiring Station Field Identifies the field in Wiring Look-Up that has the Station number. This information is used as a key by PSM to associate the database with a circuit. Last autoconfiguration update Displays the date and time of the last PSM database update from the SYSTEM. The update can be a Get Configuration or a Resynchronization. SYSTEM Picker List You can access the Picker List by right clicking on a SYSTEM in the navigation area and selecting List. Available columns in the Picker List are: • System ID • Name • Make • Product Line • Model • Software • Last Autoconfig. Work with the SYSTEM There are several common steps to use when working with the SYSTEM directly. • Get the configuration • Transfer the system to the workspace • Modify system information Get the Configuration Before you can perform SMAC, you must retrieve the current SYSTEM database configuration from the switch by performing a Get Configuration. Voice Mail is a PSM purchased option. Currently, only the Octel Messaging Division voice mail system is supported. Other Voice Mail Systems will be added in later versions of PSM. Procedures Common to ALL Databases Procedures common to all PSM databases: • Accessing a database (get configuration) • displaying Picker List columns • transferring a record to and from the workspace Octel Networking, System Permissions and System Hierarchy The Voice Mail window (Octel) contains three view panes: • One allows the administrator to set permissions for modifying mailboxes for a specific operator or for every operator. • One allows system hierarchy viewing. • Octel Networking allows you to enable networking features in PSM if you manage more than one Octel system from PSM. System Hierarchy displays the relationship of the Voice Server to its related SYSTEM(s). The relationships can be displayed as either one voice mail system to one SYSTEM or one voice mail system to many SYSTEM(s). Access the Voice Mail Window To access the Voice Mail window: Table 74. In addition, the changes you initiate in PSM are automatically uploaded to the Octel message server. Screen views in this chapter are based on Octel Aria. Octel Serenade views are similar. There are five sub-functions under the Octel 250/350 Mailbox function, and five subfunctions under the 200/300 function. Operations available within these functions vary depending on whether you right-click in the Picker List, right-click from the workspace hierarchy, or right-click the icon in the workspace. Networking PSM supports multiple Aria or Serenade networked message servers. This feature assists with the following functions: • You can view and select mailboxes from other message servers licensed in PSM for distribution list membership. • PSM displays the network nodes and numbering plan configuration for each message server. • When you delete a mailbox, PSM automatically deletes references to the mailbox on networked message servers. For the network feature to work in PSM the network feature must be enabled in PSM and the serial number for each system in the network must appear in the Network Node table. Turn on the Network Feature You must turn on the network feature for PSM to allow you to add and remove mailboxes from system distribution lists on networked message servers. If you have remote references on your network that existed before PSM installation, you may use PSM to delete the remote references. PSM may not delete a remote reference if one of the remote systems is also being autoconfigured. Delete all remote references if you see a reference on a networked system to a mailbox you know has been deleted. To delete remote references: Table 92. In managing SMAC, PSM emphasizes on voice lines. Although the Pointspan switch architecture centers on stations, system administrators receive change requests described in terms of people and directory numbers. Stations (ITE, STE, SASI, BRI, T1ITE, and OPX) You can: • create • modify • display • delete • copy • move phones and equipment • swap locations • print a copy of the faceplate. You can also access all related aspects of the station, primarily associated with each station. In addition to supporting the above stations, PSM supports work at home stations and stations for ACD teams. Create a Station Record To create a station record: Table 93. Setup and print labels are on a special perforated paper so that they can be separated at the perforations and inserted on the phone. The faceplate view shows the handset label block. Work at Home Stations You use the Work-At-Home (WATH) station to construct a pointer to an off-premises phone, usually an (ACD) agent station that behaves as if it were connected locally to the SYSTEM. A WATH station looks like a (ITE) station except for its station address. Instead of specifying a circuit location (such as a cabinet.shelf.slot.circuit), the station address specifies only a serial position in the set of configured WATH stations. The SYSTEM represents the stations address as W.nnn, where nnn is an integer from 1 to the 102 M M Aastra - 2562-003 Pointspan Sync Manager 1.2 User Guide maximum number of WATH stations configured. For example, an unassigned station chooser displays WATH stations as W, 1 through W, 108. Voice Lines Voice lines provide access to the SYSTEM Directory Number definitions for those numbers configured as voice lines. Using the Voice Line function, you can create, display, modify, delete, copy, and renumber extensions and related information. The application indicates which objects are invalid and provides error details if requested. • Provides a status dialog when any part of the procedure takes more than a few seconds. • Allows editing of any object to resolve validation problems or provide further modification as needed. • Lets users hande up to 1,000 creates in one session. Create Multiple Authorization Codes Sometimes the need arises for creating a batch of users with the same permissions. Creating several thousand-authorization codes, even using PSM, is difficult to accomplish one by one user. However, the templating and multiple create features of PSM allow you to create a full list of authorization codes in a single step, without having to type in names or ID numbers. Create the Auth Code Template The best format for implementing a large list of users is Excel. We will assume that you have an Excel Spreadsheet list when you use the following examples. Click Authorization Code in the workspace. 501. Pull down the Authorization Code menu and click Create. The Create Authorization Code dialog box opens. 502. Enter auth code number 1 and click OK. The Authorization Code window opens. 503. Create a “dummy” or placeholder auth code and select options that correspond to the way a user auth code should look. 504. Use the name of “place holder,” user group 1, and COS 28 (where COS 28 is the appropriate class of service for students). The system then creates this auth code. Actual numbers and names replace the number and name when the user list is processed. Provide an arbitrary auth code number and the name. 505. In the Object menu, select Save as template 506. Type a name for the template and click OK. The Select Parameters dialog box opens. For complex templates, such as one for a telephone, there are several sub templates--for example, one for station settings, one for directory name, and one for wiring. In this example, all of the auth code settings are one screen. 507. Click the check boxes next to those two fields. For each auth code created, the authorization code itself and the owner's name varies. This means that the Auth code and Name fields must be template parameters. 508. Each of the fields (auth code and name) that were defined as parameters when the template was created appear. 511. Fill in the required name and auth code number, and click OK. This creates the new auth code. Use the Template to Create a List of Auth Codes Using the auth code template, an Excel Spreadsheet, and PSM’s multiple create feature, creating all of the auth codes is an automatic process. In Microsoft Excel, open the spreadsheet. 514. In the save as dialog, select the save-in path created in Step 1, and select file type as Text [Tab delimited] [*.txt]. The ability to export or “save as” tabdelimited text is common to most commercial database and spreadsheet application programs. 515. Click Save. 516. Click Generate records from file because in this example the auth code numbers and names are coming from a data file. The File Selection dialog box opens. If this is the first time multiple create has been used to create a list of auth codes, you must create a format file to describe how to interpret the data file. (Once this is done, you can use the same format file repeatedly, as long as the layout of the data does not change.) 519. Click New in the Format file section of the file selection dialog. The New Format File dialog box opens with one field for each of the template parameters. The system requires auth codes are required in column 1 and names in column 2. Compare the default format with the layout of the Registrar's spreadsheet, and observe two differences. First, the spreadsheet lists names to the left of auth codes. Second, there is an additional column in the spreadsheet titled Department Code. The system does not need this extra column to create auth codes. 520. Using the move and insert buttons in the New Format File dialog, adjust the format to match the data supplied in the Spreadsheet. The columns now match (first column is name, second column is ignored for the purposes of templating, third column is auth code number) and you have specified a file name to use for saving the format. 521. The “Header lines” field has been set to two (2). This causes the column headings in the spreadsheet data to be ignored. 522. Type a name for the format file, ‘user.fmt’ in the file name field. 523. Click OK. The File Selection dialog box opens. Notice that the location of the new format file appears in the Format file field. 524. All of the new users auth codes are listed in the project. 530. Click Send Now to send the change to the system. Another option is to click Save to save the change to a project to be sent later. Create Multiple Phones In most companies, it is a routine task to create phones for new employees. With few exceptions, these phones are alike. They have the same button template, the same voice line class of service and the same call forwarding options. Create a Template Use the template feature of PSM to create a template that contains all of the common telephone features. Creating a phone then becomes a matter of using the template and simply filling in the information that changes from one phone to the next. To create a template: Table 142. Select the “Stations” list in the PSM workspace, click the right mouse button, and select Create from the popup menu. Choose an ITE station from the list of available stations. As with the station number, this is an arbitrary choice. The system actually creates the selected voice line. It merely serves as a placeholder while the template is being built. 536. Switch over to the ITE Station view pane, and click the Alphanumeric display checkbox to indicate that the phone has a display panel. 537. Switch to the Voice Line view, and assign the common class of service, call forwarding, national calling party number, and other line-related options. Switch to the Directory view, and click the Add button to add a directory entry. Again, the choice of name is arbitrary and serves only to fill out the template. 538. To make this prototypical phone into a template, select “Save as template” from the Object menu. 539. The Set Template Name dialog box opens. 540. Type a template name. This can be any name that helps select a template from all the templates defined at the site. 541. Click OK. PSM presents a multi-page list of all of the phone attributes that apply to this phone. You must decide, for each attribute, whether it is common among all phones created using this template or if it varies from one phone to the next. 542. Multiple Create Create Multiple Mailbox Parameters You can use a template to create a group of mailbox numbers from the available resources. This is useful when creating a group of mailboxes in a range. Before beginning, create a project or make sure the project you want is Set Current. To multiple create from parameters: Table 144. For fields like Mailbox Number, supply the first available mailbox number in a range that supports the number of mailboxes you want to create. 560. For the Name field, you can use the name New Employee if these are for future use. 561. Click the Range checkbox to the left of each field if you want each value to be different. Any field that is not required to be unique allows you to choose whether you want the values to be the same or different on each mailbox. PSM increments each entry by one if you choose Range. 562. Click OK to begin creating the mailboxes. 563. Review the columns of data in the preview area. (If you want to edit any of the records, select the row and click the Edit button to make the necessary changes.) In the File selection dialog, point PSM at the text file exported from the spreadsheet application. From now on, as long as the format of the incoming data does not change, this process does not need to be repeated. 566. Click the View button to verify that the data lines up in the right columns. This step is not necessary once the format is known to be correct. 567. Click OK. PSM generates the eight new station, voice line, and directory records.
