Blacktown Meals on Wheels works across two sites, the main office in Blacktown and an
office in Mt Druitt. Both offices are housed in Blacktown Council facilities. Policies, procedures
and processes are aligned at both sites.
The Coordinator position is a senior position, based three days at the Mt Druitt site and two
days at the Blacktown site. This is a client-centred position which also recruits and supervises
staff and volunteers. The Mt Druitt site has one part-time Food Assistant, a cook and a
cleaner. Approximately twenty volunteers provide service delivery at Mt. Druitt.
The Coordinator’s responsibilities include the coordination of meal deliveries, and volunteers,
to in-home clients, organising social inclusion for clients at centre-based days with freshly
prepared meals and various activities three days per week, and bimonthly Outings as well as
special occasion days and events. This position is also the First Aid Officer at the Mt Druitt
site; an allowance is paid for this responsibility.

Hours
34.5 hours per week to cover the following days:
Mt Druitt office:
8.00am-3.00pm
Monday, Wednesday, Friday
Blacktown office: 8.00am-4.00pm
Tuesday and Thursday
All days include half-hour lunch-break (unpaid).

Purpose of Position
The Coordinator will work with the Manager to coordinate the delivery of Food Services to
maintain frail aged people and younger disabled people and their carers who are at risk of
premature institutionalisation in their own homes. Basic financial and administration tasks are
required and include banking, receipting, data entry, correspondence, client intake and
volunteer training sessions.
Degree of Supervision
This position requires the recruitment, coordination and supervision of relevant staff and
volunteers at the Mt Druitt Office and Blacktown office.

SCHEDULE OF DUTIES Includes:
Administration














Attend to enquiries and be first point of contact
Ensure appropriate client files and documentation is up-to-date
Develop and maintain a reliable, well-trained volunteer base
Conduct training sessions with staff and volunteers
Develop and update volunteer rosters on a regular basis
Develop and implement organizational structures and systems to enable BMOW to
operate effectively in conjunction with the Manager
Develop reports, data collection requirements and monthly reports on clients and food
deliveries as required
Develop and maintain a Food Safety Plan for the service in conjunction with the
Manager
Order meals for the Mt Druitt area
Update social media sites on regular basis
Develop client and volunteer newsletters
Promote Blacktown Meals on Wheels to the broader community, through information
pamphlets and publicity, to increase client awareness and participation
Develop links and networks with relevant organisations to promote Blacktown Meals
on Wheels services to increase client numbers
Work with CALD communities to develop joint partnerships and ensure that service
delivery is culturally appropriate
Referrals

Intake and assessment of new referrals, reassessments, bus assessments

Referral to other agencies in appropriate timeframes

Receive client referrals and instigate necessary paperwork and data entry

Maintenance of assessment records, service variations and referrals

Client reassessment as required, either annually or to fit with client needs
Financial





Exercise delegation of power to incur expenditure as per Manager’s directive
Undertake financial duties as directed by Manager
Maintain client payment records and initiate volunteer reimbursement
Maintain office and equipment in good working order
Compile Stationery orders for Mt Druitt
Professional development



Attend relevant seminars and training sessions to keep abreast of developments in the
food service area and Commonwealth Home Support Program
Actively participate in staff, volunteer and client meetings
Other duties as directed by the Manager

Selection Criteria
1. Tertiary qualified or similar and/or demonstrated experience in a related field working
with older people
2. Demonstrated staff or volunteer supervision skills and experience
3. Demonstrated coordination skills e.g. events, projects
4. Demonstrated high level computer literacy including MS Office Suite, data base and
social media skills
5. Demonstrated high standard of reporting, written and verbal communication skills with
people at all levels and from all backgrounds
6. Demonstrated high standard of team work
7. First Aid Certificate or willingness to attain as soon as possible
Desirable Criteria
 Experience directly managing staff and/or working with volunteers would be highly
regarded
 Demonstrated understanding of the Home and Community Care program, Disability
and Health program guidelines or experience in this area
 Second community language
