Corporate Services Coordinator Quickload Logistics Prince Rupert, B.C. Play a key role in the growth of Quickload contributing to the ongoing expansion of the Port of Prince Rupert. Quickload is looking for a dynamic individual to join our team as the Corporate Services Coordinator. This position directly supports the Director in the successful growth of the business. The successful candidate will embrace the multi-tiered responsibilities of supporting Administration, HR, Marketing, Business Development, and the Operations of the Container Examination Facility. The Corporate Services Coordinator will be involved in many aspects of the business, building a broad platform for potential future opportunities within the company. * * * * * Job Description Key Duties and Responsibilities: Administrative • Coordinate travel arrangements including conference registration, hotel, air, and car rental for executive. • Create and reconcile expense reports. • Provide timely and accurate administrative support to the office including sending & receiving emails and faxes, data entry, scanning, photocopying, etc. • Act as first point of contact at Reception for visitors, outside vendors, deliveries, etc. • Receive all incoming phone calls, provide appropriate information, and route calls accordingly. • Coordinate all office service providers/vendors, and track & replenish all office supplies. o Facilitate internal office supply orders, price compare, seek approvals, order and receive goods. • Manage and facilitate in-house library. • Administer minutes when required. • Track and report data as it relates to various financial and operations’ needs. • Organize all staff moral events for the company staying within approved budgets. • Cross-train with Accounting Clerk for various core accounting functions. • Other duties as assigned. HR • Coordinate all Health & Benefits paperwork for all staff/crew at both facilities. • Track crew hours to ensure minimum coverage requirements met. • Act as point of contact for Benefit Insurance providers once programs established and implemented. Marketing, Sales, & Business Development • Monitor website activity and ensure rapid response to sales inquiries. • Manage social media component of marketing platform. • Administer, facilitate, and manage marketing and sales database. • Coordinate marketing and promotional materials. • Seek and facilitate advertising and promotional opportunities. • • • • • • • Conduct thorough and quality research for various projects as required. Edit various documents as requested. Coordinate annual Sponsorships & Donations: field and track inquiries, and organize sponsorship deliverables. Coordinate tours for visitors. Support/Attend community/professional events as appropriate. Coordinate Green Marine Partner responsibilities. Other duties as assigned. Required Skill Set and Character Traits: • • • • • • • • • Post-secondary education in Business, Administration, or similar discipline is strongly preferred. Excellent computer skills and in-depth experience with full MS Office Suite, primarily, Excel, Word, and Outlook. Experience with Publisher and PowerPoint would be an asset. Exceptional organizational & multi-tasking skills with a keen attention to detail. Ability to work independently and follow directions accurately. Flexible and thrives on working in a fast-paced, changing environment. Coordinate projects with resourcefulness and solve problems innovatively. Ability to develop effective and positive internal and external working relationships. Strong interpersonal and positive communication skills (both verbal and written).
