PeopleNet ® Web Time Entry with Meal Break, Rest Period and Time Worked Policy New Hampshire Other Time Capturing Methods Available: Time Clocks Email Time Entry IVR FAX Web Time Entry User Guide | New Hampshire PeopleNet® Overview This document provides instructions on how employees should enter and submit time through PeopleNet’s Web Time Entry application, as well as, enter breaks, rest periods and confirm acknowledgement of the time worked policy. First Time Users (Registration) 1. Please use one of the following links to access the appropriate login screen. If you are entering the system for the first time, please read the ‘Meal and Rest Period and Time Worked Policy’ and select OR . Note: Once the reading of the policy has been confirmed, it will no longer appear at login but will be available on the screen as a link (‘View Policy’) for future reference. 3 PeopleNet® Enter Time Worked 1. Select the correct ‘Week-Ending’ date. Note: You are allowed to enter time for the current week plus up to three previous weeks IF you have not submitted time for these weeks. 2. Choose an ‘Assignment’ from the drop down menu. 3. Enter your ‘IN’ time and ‘OUT’ time for the day. Note: Total hours for the day are automatically calculated based on the times entered. Web Time Entry User Guide | New Hampshire 4 PeopleNet® 4. Click on to add additional ‘IN/OUT’ times, ‘Assignments’, ‘Projects’ for the day or to ‘Copy’ the hours entered to another work day. Note: These ‘Options’ are only available after hours have been entered for the day. Enter Project Hours (IF REQUIRED BY YOUR COMPANY) 1. Click on . Select ‘Project’ and ‘Add Project’ from the menu options. Note: This option is only available after hours have been entered for the day. 2. Enter project names manually in the space provided - OR - click on to select from a list of projects that you have already entered. To add additional projects, click on beside the project name. Note: The total number of hours entered for the project(s) cannot exceed the number of hours worked for the day. Enter Breaks In New Hampshire, associates are required to take a 30-minute meal break if 5 or more contiguous hours are worked. Meal Break Enter the time you started your lunch break and the time you stopped your lunch break. Note: Once entered, the break length is automatically deducted from the hours worked. Add Additional Breaks 1. Select beside ‘Lunch Break’. 2. Enter the time you started the break and the time you stopped the break. Note: Select to delete breaks. 6 PeopleNet® Web Time Entry User Guide | New Hampshire Exceptions and Alerts 1. If a meal break is not entered, you will be prompted to enter your meal break or select a reason for not taking the required break: o o o I was permitted to take lunch while working. Client did not provide an opportunity to eat a meal. Client provided a meal period but I chose not to eat a meal. Select the appropriate reason. 2. If the meal break is less than 30 minutes based on the ‘Start’ and ‘Stop’ time entered, you will be prompted to select a reason for not taking the FULL 30-minute break: o Client did not provide full meal period. o I voluntarily returned early from meal period. Select the appropriate reason. Save Hours Select at the top or bottom of the screen to save the spreadsheet and enter additional hours at a later time. A confirmation window will appear. Select to return to the spreadsheet view. 7 Web Time Entry User Guide | New Hampshire PeopleNet® Submit Hours for Approval 1. Select at the top or bottom of the screen. A confirmation window will appear. Select to close the pay period and submit your time for approval. A second confirmation window will appear to confirm your decision. Select the pay period. to continue and close 2. Confirm your time record is accurate and acknowledge all meal and rest periods were provided to you, as entitled under the law. Note: This message will appear every time you submit time for the week. Select submission. to continue 3. Once you have submitted your time for approval, select to return to the main screen to ensure the correct time was entered. 8 PeopleNet® Web Time Entry User Guide | New Hampshire 4. To view daily transaction details, click on the time summary cell for the day you would like to view. Edit Timesheet To make changes to the timesheet, click on . Note: Once the timesheet has been approved, you are no longer able to make changes to the timesheet using the spreadsheet interface.
