position description Title Department Reporting to Location Last Updated Start Date Coordinator, Team Operations Sport Manager, Team Operations MCA, Sydney 29 April 2015 May 2015 About the Australian Olympic Committee (AOC) The AOC: is recognised by the International Olympic Committee (IOC) as the National Olympic Committee (NOC) for Australia. has exclusive authority for Australia’s representation at the Olympic Games, Olympic Winter Games, Youth Olympic Games and the Winter Youth Olympic Games. is an Incorporated Association (in Victoria) whose members are the National Federations (NFs) on the Olympic program. is a not for profit organisation, independent of Government and Government funding other than contributions by State Governments to the Olympic Team Appeal. provides program and funding support to its member NFs and their athletes to assist with the preparation for Olympic and other international competitions. State Olympic Councils represent the AOC in every State and the ACT. derives its revenue from income distributions from the Australian Olympic Foundation (AOF), grants from the IOC, the licensing and sponsorship activities of the AOC and fundraising by the AOC, State Olympic Councils (SOCs) and their Corporate Appeal Committees. Purpose of the Role To assist in successfully planning, managing and implementing operational areas, with a focus on (but not limited to) Transport and Logistics, specific to the 2015 Port Moresby Pacific Games and the Rio 2016 Olympic Games so as to create an athlete centered Team environment. Coordinator, Team Operations Page 1 of 3 Working Relationships This position reports to the Manager, Team Operations and has no direct reports. The Coordinator will have key internal and external interfaces, including with NFs, Australian Olympic Committee (AOC) personnel, the AOC’s sports marketing company (SMAM) and contracted Transport and Logistics suppliers as required. Working Conditions This position is a contract position working in an office environment. The contract will commence in May 2015, and end in September 2016 (total 17 months). The majority of time spent will be in the AOC offices in an office environment, however during events, this position may be required to operate at an event venue (locally or internationally).The position may be required to work out of standard operating hours in the lead up to events. Major Accountabilities 2015 Pacific Games – Operations Coordinator Management of freight and logistics operations both in the lead up and on ground. Management of uniform distribution and swaps as required. Management of Transport operations including planning and implementation. Bump-in and bump-out planning and implementation. Assisting sports with all operational requirements including training location bookings, technical requests etc. Reports – assist with drafting of Team Reports and Publications as required. Rio 2016 Olympic Team – Operations Coordinator Management of freight consolidation, preparing inventory for customs, distribution of freight in the host city and return freight post-Games. Assistance with all Logistics planning including bump-in and bump-out process on ground as required, including all movements between OLV and sub-sites. Assist with determining equipment and resources requirements and implementation of the procurement process in conjunction with the AOC contracted supplier, Sports Marketing and Management (SMAM), and delivery within Olympic Games venues. Management of outfitting distribution process both in Australia and on ground in Rio as required. Assistance with Return Baggage as required. Assistance with Freight and logistics budget management. Reports – assist with drafting of Team Reports and Publications as required. Other Logistics support for the AOC as required including management of AOC storage. Other tasks may be directed by the Manager, Team Operations and General Manager, Sport as required. Knowledge and understanding of the planning and implementation of freight or logistics operations at a multi-sport event. A calm demeanour with the ability to remain focused in stressful situations. Demonstrated ability to plan, organise and manage multiple tasks with strong attention to detail. Ability to negotiate and influence. Demonstrated ability to work independently and to work in a team to achieve results and meet deadlines and timeframes. Demonstrated ability to provide creative solutions. Excellent interpersonal skills, oral and written communication skills. Detailed knowledge of Microsoft applications including word processing and spreadsheets. An ability to interact effectively with people from diverse cultures and backgrounds. A current driver’s licence. Willingness to work flexible hours, e.g. outside of normal office hours and on weekends to meet job requirements. Demonstrated ability to manage junior staff, interns or volunteers. Willingness to travel various distances to meet job requirements, including periods of overseas travel as required. Hold a current Working with Children Check clearance or be in the process of applying. Must be eligible and available to work in Australia. Experience Required Experience working in a multi-sport event environment, preferably at an Olympic Games. Experience working in the Freight or Logistics industries highly desirable. Experience managing complex projects, budgets and resources to achieve outcomes favourable. Relevant tertiary qualification in business or sport management would be highly regarded.
